It's very well suited to act as an intranet, where it's only going to be used internally by employees of a company. It works well to share documents, provide lists of reference materials to users, provide a place for departments to have their own discussions and calendars and other collaboration purposes. It includes "workflows" unlike its predecessors, and those can define the flow of a process or task and walk the user through that flow very effectively. In fact, an employee's entire job could hypothetically be scripted using SharePoint workflows. It can scale OK in small scale terms, as I have experience of using it in networks with under a few thousand users. I don't know how it would behave if there were tens of thousands of hundreds of thousands of users, but provided the infrastructure is scaled proportionately, I don't see why it wouldn't work well at that scale as well.

Before I took the intermediate training, I was so frustrated with Paligo that I mentioned it negatively in a networking event. Now that I have taken the training, I will be correcting that comment at the next one. :)However, part of what I inherited was a badly managed library, and I am working hard with my fellow writers to restructure and re-present the content. I have only been working with Paligo for a month and a half, and while it's been a struggle to get here, I'm glad I learned it so that I can truly utilize its content reuse strengths across three different product lines. It probably would not be ideal for desktop layout or on-demand production environments.

  • With MS Sharepoint you can share (in my case) projects, initiative trackers, with ID and the information I need to start my developing.
  • It offers cloud acaccessibility, so you do not need to maintain your documents on your hard drive.
  • It allows Office 365 integration, which for me is really great. Using MS Excel and MS Sharepoint.

  • Topic reuse - many of our tutorial and how-to articles include procedures with the same first steps. Reuse allows us to create these steps once, including images, and reuse them in as many articles as we need.
  • Single sourcing - At any time if the text or images in reused topics need updating, we just update the original topic and the changes reflect in every article that uses that topic.
  • Content management - the topic and media management is excellent. we can organize however we need, rename topics and images as needed and move them around within the folder structure without breaking any links to the topics / articles they are used in (each topic and asset has a unique ID number that doesn't change, allow us to rename and move assets to best suit our needs)
  • Filtering and variables - we can create a single topic that includes all the information for different markets (in this case, different content for accounts in different countries) and by using filtering and variables when building the content and in the publishing workflow I can publish just the US content to our US help center, the UK content to the UK help center, and the Australian content to the Australia help center, but using manage a single article within Paligo itself.
  • Translation and localization workflow - the translation workflow (sending topics to be translated into another language) and localization workflow (publishing the same content in multiple languages) works well within the ZenDesk integration. It uses the ZenDesk localization settings to ensure the proper translation ends up in the correct articlein Zendesk.

  • SharePoint sometimes has a challenge with the Share feature in Office 365. Traditional best practices are to govern collaboration with permissions groups and manage access at the group level. Share can sometimes undermine that by creating ad-hoc situations unintentionally.
  • SharePoint's success in many organizations is really a function of user adoption and training. It is such a large platform that it is often deployed without much governance or direction.
  • SharePoint's lists and libraries can leverage Excel services and like-kind tools, but the ability for a list to do math in the same way that Excel does is very limited. It still has a room for improvement in the business intelligence features of metadata management.

  • The SaaS platform occasionally hiccups on us. This has never resulted in lost content, but we'll occasionally get "Cannot connect to server errors". Admittedly, this hasn't happened much at all lately.
  • The ZenDesk publication feature is great (no author Help Authoring Tool has it built in), but the feature set could be expanded.

The only drawback is the price, it's quite costly to buy and requires Microsoft professionals to run at its peak capabilities. It works very well with large quantities of employees, has powerful search capabilities and a huge community. However it might not be a good fit for smaller companies who don't handle a large number of documents and employees and who don't exert high security requirements.

SharePoint is easy to use for basic tasks. If you're trying to do something a bit more complicated, though, it can be difficult to figure it out on your own without going through a lot of trial and error. Most people will likely only be performing basic tasks, though, so I would rate the usability pretty high.

I'm glad that it's cloud-based, so I can access it from home or work. But I do wish it were a little more intuitive on the front end for new users; the alt key is more useful than the ctrl key, initial layout is confusing until you learn the depth of the tools, and you really do have to take the $400 training in order to truly understand how to use the product. I don't know what my company pays for access to the software, but I know it's something.

Support varies by tech and by vendor. I've used Microsoft's support channel and for the most part have been successful to get my questions answered. I've also used third party vendors and have gotten some answers resolved as well, though sometimes getting them on the phone is difficult. It all depends!

Alternatives Considered

While SharePoint isn't as easy to use as Igloo or Squarespace, it comes bundled with Office 365 and drives the backend of those tools. I don't see SharePoint as a place people want to go and see stuff, but rather as a glue that supports all the other Office Products. If we get more in house expertise, then it could be a place that people manage work, but it's not used that way right now

Paligo is the only structured authoring tool that natively publishes to Zendesk. My team is forced to publish to Zendesk, so this was easy.

  • We moved from DocuShare to MS SharePoint and it's been proven very effective.
  • Using MS SharePoint has provided immediate access to documents to staff where in the past, they would have to wait for an admin staff to forward to them.
  • It has been a positive impact for our organization - our newer staff has really benefited from MS SharePoint.

  • I am not involved in the financial decisions for my company regarding Paligo; the decision to migrate our content to this environment predates my hiring. However, I know that the migration effort from WordPress to Paligo was an initially heavy lift, but any content migration effort would be. I believe that ultimately, getting our content out of WordPress was a positive move, and I look forward to seeing what Paligo will help us accomplish in the future. Sorry, no hard numbers from me. :)
