Overall Satisfaction with Adobe Acrobat Sign

We mainly use Adobe Acrobat Sign at Uniper to better streamline our internal business processes. This digital signature solution helps us tackle several business problems and optimizes our workflows. We previously would have to manually sign documents using digital signatures in Microsoft Word, and some formal approval processes were limited to traditional paper-based document signing processes which were time-consuming and prone to errors. Adobe Acrobat Sign is used across the company and in various locations, so our employees, suppliers and clients are able to securely sign documents from anywhere and on mobile devices. Security and compliance is under particular focus in the energy sector and so the security features included in Adobe Acrobat Sign such as encrypted signatures and audit trails make it easier for our internal controls colleagues to ensure that procedures are correctly followed.

Primarily, we were looking for a simple, easy-to-use and easy-to-rollout digital signing solution that could be rolled out across the entire Uniper business without the need for long, complex training sessions and asking employees to spend hours reading user manuals. Previously, documents were signed via a digital e-signature in MS Word, with a digitally-signed email, or in some cases with a traditional paper-based signature scanned in, and we were looking for a simple tool to replace these. Adobe Acrobat Sign seemed to be a good fit for our particular use case at Uniper.

  • Faster decision-making since time-sensitive decisions and approvals can now be processed much more quickly by using e-signatures.
Adobe Acrobat Sign generally provides a clean and intuitive interface that guides users through the signing process, this has meant that is has been rolled out across the company without the need for long, complex training sessions and documentation. It is also compatible with many different devices including laptops, tablets, and smartphones which is useful for remote or field-based workers. However, the user experience on mobile devices is not quite as good as on larger-screened devices such as laptops. It would benefit from additional options for customization like the option to add corporate branding.
In the energy industry, regulatory compliance is of high importance and so having an efficient e-signing and document management solution is essential. For example, Uniper frequently engages with suppliers and contractors for plant equipment, engineering and IT services, and maintenance services. Adobe Acrobat Sign simplifies the process of signing and storing contracts with these vendors digitally to provide an audit trail which can be checked by internal compliance teams at a later date. It is also used in several internal approval processes including environmental impact assessments, safety documentation and project approvals which are also required to be auditable (including annual external audits).

Both Adobe Acrobat Sign and DocuSign are prominent e-signature solutions on the market. Adobe Acrobat Sign has much better integration with other Adobe Suite products such as Adobe Acrobat and Adobe Creative Cloud which are also used at Uniper. It also has a more user-friendly interface so it was easy for users across the company to adapt quickly, whereas DocuSign has more advanced features which were not required for most use-cases.
Adobe Acrobat Sign is well suited to contract signing scenarios, where multiple parties (e.g. suppliers) need to sign a legally binding agreement. It streamlines the process by eliminating the need for physical signatures and enabling secure e-signatures. This also makes remote collaboration much easier as often we are dealing with suppliers based offshore where traditional signature methods would be slow and unreliable. We have also had some issues with digitally-signed mails and are trying to move away from this towards Adobe Sign. It is less suited to scenarios with extremely intricate and conditional workflows (other automation tools probably do this part slightly better) and highly-sensitive transactions where higher levels of security and encryption (like MFA) may be required.
