Overall Satisfaction with DataMotion

We used DataMotion as our secure email option for clients. We included a link in our email signature to allow our clients to send us secure encrypted emails. With the level of detail and sensitive information that we as auditors receive, having a secure option that was easy for our clients to use gave our clients the confidence to send the information that allowed us to make further progress on our procedures. The business problem that the product addresses is the need for a quick, convenient method to securely email sensitive data, and this product allowed for this.
  • Platform is intuitive and very easy to use from both a receiver and sender of the email.
  • The "open" and/or "read" notifications serve as great documentation that a client has successfully seen and obtained the information that was being provided.
  • The ability to include a simple link within an email signature prevents clients from having to go through a cumbersome portal or process to send a document securely.
  • Integration with a contact list and/or an MS Outlook address book would allow for much more efficient use of the email composition process.
  • Allowing for integration of an MS Outlook signature to ensure that the sent email still maintains a professional feel received by the client.
  • The portal/inbox does seem to take a while to navigate/get to the clicked on area.
  • Increased efficiency with information sharing as it prevents the need for a cumbersome portal to transmit information/documentation.
  • Allows for accurate detail of document timing and deadlines with the tracking of emails sent and read.
  • Complies with a number of our audit industries standards for secure encrypted data transmission.
Overall the integration is easy to use and effective. The only item preventing a 10 rating would be the inclusion of integration with an existing address book (i.e., MS Outlook) to make sending to existing clients easy and more efficient. Otherwise, all other aspects meet or exceed the expectations.
Clients have enjoyed it tremendously. We have included it as an option within our email signature that allows them to easily send us sensitive document/information without needing additional portal login credentials, etc. They can click the link, drop and drag the file(s) and click send. They then know when we receive the information/document and do not need to do any follow-up making sure it was sent successfully. This saves everyone time and energy that are at a premium.
DataMotion was the most integrated and allowed for the smoothest transition between "standard" email and the secure email platform.

I would consistently recommend this as a great option to both send and receive sensitive client data in an effective and documented manner. In the audit industry, with the forwarding of sensitive financial and personal information, security and encryption are the biggest factors that our clients demand. DataMotion provides these characteristics and allows our clients to send information without concern or hesitation. Additionally, from an audit perspective, being able to have a tracking mechanism for when an email is opened/read also allows for us to maintain an accurate timeline of information flow.
