Why I Use Pandadoc for All My Proposals

Overall Satisfaction with PandaDoc

I use Pandadoc to prepare NDAs, Professional Services Agreements, Master Services Agreements and Statements of Work (SOW). I have used it as well to invoice with and receive payments from clients. It helps me with templates, and as well, it is integrated with Hubspot, my marketing and sales platform, which means I can generate most documents directly from a contact record and it will fill in all the fields I have predefined using tokens.

  • Provides many useful templates.
  • The table builder could be a little more robust.
  • It can be difficult to figure out which token to use so it can grab the info from Hubspot
  • It could offer better integration with meeting tools so you can go over proposals with clients.
  • Helped improve cash flow from the ability to collect payments
  • Helped me keep track of which contracts a client has signed (way harder than it sounds).
  • Templates have allowed me to both standardize proposals yet allow rapid customization for each specific customer, a key capability.
I use templates extensively, and their template library often provides a good starting point. The content library is critical, as it allows you to organize, find and reuse critical content components. The eSignature capability means clients aren't struggling to sign-off documents, and I generally get signed documents back quickly, or know where they got stuck. The Hubspot integration is absolutely critical to our operations.
Pandadoc has greatly streamlined what used to be a lot of back-n-forth cycles. The ability to redline and make comments, collaboratively with both internal and external team members, including clients, mean we cut way down on communication cycle times. The eSignature capability, which seems to work about anywhere, means I can do business everywhere, and do!
It comes out-of-the-box with professional templates and design. The migration team helped up onboard our documents, and achieve or 'on-brand' look all within the system. It has steadily improved over the years, and I expect it will continue to do so.

It is ideal for going from phone call (or even while on a phone call) to sending an NDA or SOW out to a client. I have done this often, and have found the faster I get them out, the higher the likelihood of getting a signature. While it is more than capable for many proposals, for very complex proposals, numbering in the 100s of pages (not uncommon for complex ERP proposals), it is not the right tool. If you incorporate Powerpoint Slides in your proposals, it is not great for that either.
