I use Accruent EMS to reserve rooms for meetings using 30+ conference rooms and 16 Zoom accounts. EMS is incredibly helpful to not allow double booking in conference rooms. I use the book for particularly busy days to get the full picture of what our conference room usage looks like. It helps to make decisions on where certainly meetings should be booked. Having the room count feature on the book is very helpful to my EMS users who aren't as familiar with the conference rooms as I am, so that they know how many people can fit in each conference room to help make the best decision on where to put a meeting.Sometimes Accruent EMS can be less appropriate to run reports. It can be difficult to get a report on exactly what I'm looking for w/o being able to specify exactly what I'm looking for. The browser feature is helpful, but still does not allow to get more specific.

SmartDraw

I believe SmartDraw is a great tool for small- to mid-sized organizations for simplifying the production and management of org charts. We've also had the PMO experiment with the use of some of their flow charts as well.If an organization has an HCM with the capability of producing (good!) org charts, that is likely the best option... but many that I have used in my 30-year HR career don't. So there is definitely a need for SmartDraw in the market!

  • Accruent EMS is very easy to use. It has a straight forward approach to entering information, making us very time efficient.
  • It has a great ability to create personalized reporting to focus on specific needs requested by our client.
  • We utilize the API to work with digital signage on our account. This has been a very helpful feature for our team.

Cons

Accruent EMS Software

  • Making background changes is easier for me (IT person), but may not be for a regular user.
  • HIGHLY recommend the purchaser read the administrative paperwork. I did and tried to load and configure it myself and actually did most of it correctly. However, I would recommend having an EMS technician show you, then you do it. That allowed me to learn the back-end really well so I could make changes throughout the years.
  • Two-step process to add a user to really use it. After they try to use it, they need to alert me to do the second step to complete their user profile.

SmartDraw

  • SmartDraw can still be a bit slow at times. While the ability to create complex charts and and figures that have multiple connecting (and intersecting) lines has improved, there are still some instances where SmartDraw can improve in (i.e.- sometimes I'm forced to freeze lines that I don't want a newly created line to automatically connect to).
  • Restructuring the ribbon to be more user friendly and intuitive could also go a long way. I am not sure why text alignment is all the way to the right of the ribbon on the user interface. It is nearly non-existent when I minimize my window. To me, the functionality in the Design ribbon does not make sense (only because I use PowerPoint and Word on a daily basis). Design is more content creation and editing, sort of like the functionality in the Home ribbon.
  • Creating additional right mouse click shortcut options would also save lots of time. I don't want to have to go to the ribbon every time I need to group or ungroup different sets.
  • Printing and properly adjusting printing is a nightmare. It is not intuitive, manually adjusting only complicates things, and there aren't enough options that allow for properly adjusting your window for printing. Printing functionality is too complex and a real deterrent when attempting to share content with clients.

I am frustrated with the customer service when calling for EMS support. When prompted to leave a message I never get a call back, and furthermore, not only do I have to leave a message, but I have to send an email to make sure someone knows to call me back. This method is unacceptable and I am currently seeking a new software.

Most new users would greatly benefit from (or possibly require) at least some training on how to use EMS, but the training doesn't need to be extensive for the users to get comfortable with it. Most functions are easy and straightforward, so users tend to not have many issues with it.

when looking at large reservations from say a year or two ago it does take a long to time for them to be loaded up but that may be because of the server and the way the software archives the info. that also goes along with running reports of old data that may of been archived that takes a long time to get

Since the merger, our team has found that there are a select few of the tech team that can actually support our questions. More often than not, we have already tried the suggestions that they give us and they are either unable to answer our questions and submit them as update suggestions or they have to be sent to supervisor for an answer. Once or twice in the last year we have received bad advice that resulted in system issues.Prior to last year, the customer support system was at the top of the list of tech support departments that I have ever had to deal with, especially during our upgrade to 4.0.

At my past institution, I started when 25Live was being introduced to the campus. Even though the scheduling software was easier (visually) to navigate, I find EMS has more potential - billing, requests, analytics, etc. I think EMS has the capability to do a lot - but it just takes time to figure out how to set up the framework

EMS handles all of our needs very well. Even with a growing staff and growing resources and services, we're still able to work well within EMS capability. For example, while we have a limited amount of rooms, we have growing amount of items that are listed as "rooms" such as group tours and pre-set lunch reservations. We are constantly adding new resources and there is no danger of outgrowing EMS.

  • The most noticeable improvements in our usage of EMS is our ability to process requests more efficiently using a standardized form that has a professional presentation. Before we began using EMS, we processed our parking requests by simply typing an email with a few details. Pricing was jumbled in with the wording and clients often did not read the fine print. EMS has definitely made an impact with projecting a professional image to our clients when they receive confirmations and invoices.
