Kronos Workforce Central

We use Kronos Workforce Central only for it's timekeeping and scheduling/forecasting capabilities. It absolutely meets our needs for these areas. The reporting functionality also serves us well; exporting reports in excel covers the needs for most teams that use the system. Finally, business leaders and local HR crews are able to run reports on the teams they support.

Pros

  • Friendly user interface and easy on the eyes. Users utilize multiple functions through menus much like a standard website. My company also uses SAP, which can be somewhat difficult for those who are not technically proficient.
  • Easy to update settings and workflow.
  • Implementation team was helpful and friendly.

  • Kronos is extremely robust and has many features that we have not begin to use.

Cons

  • Reporting in ADPR is not intuitive or user-friendly
  • Lacks advanced technology that other payroll systems provide
  • It is not as integrated as they think
  • It is too hard to get the capabilities you need to be successful in using the system

  • Kronos can take a simple task and make it overly complicated. This is the problem when the program is so incredibly robust.
  • All of the tax withholding and filing was handled autonomously by our previous payroll company. We had little knowledge of what they were doing. With Kronos, we are required to provide filing schedules, specific EIN for each locality, etc. This is something we would have preferred not to concern ourselves with and was much easier on us when the previous company was handling.
  • Kronos seems to be geared toward large organizations with a payroll department, accounting department, HR department, etc. Our company is small and has only one employee in each of those roles. As such, Kronos can be a real burden on that one employee to do a lot of work that should be handled by a team of people, especially in the implementation phase.

Now that the system is installed and operational, the "pain is gone"...therefore we see no reason to change to a different application. There is no functionality that is missing from the system that would drive us to consider another solution at this time. Maintenance support from Kronos is sufficient and updates occur regularly.

Having no experience with Kronos prior to using it in March 2016, their customer service team taught me how to use it the right way after my initial training at work. I am well-versed in data analysis using Excel and Access primarily, so once I discovered that Kronos had a reporting feature built in, I've used the feature quite a few times to help our properties evaluate their production costs and make good labor decisions. I give Kronos a 10 because once a person takes the time to learn how to use the software, they'll realize that Kronos is far more effective than most, and gives users more ways to access their information where and when they want to.

A lot of set ups vary from company to company so parts of our training we found it difficult to relate it to our processes. They have TONS of training modules available and a streamlined process for what you should complete and when. Would have been helpful to have onsite training for how much one pays for the system.

Workforce Central was our selection because it capable of being virtualized (using VMWare), utilized SQL as the back-end database versus Oracle (which was cheaper to license and talent was easier to find), and because the price-point beat out their competitors. We did end up spending more money than anticipated on consulting services, but that was due to continual changes to the project scope as more features were found to be useful.

  • We were able to completely do away with a number of paper forms once we rolled out the online capabilities for staff to update information and gather their own pay stubs and W-2 forms.
  • Locations that previously relied on paper timecards were able to use online clocking to clock in and out, eliminating a lot of effort and creating a much more efficient system, without having to purchase time-clocks for each of these locations.
  • HR was able to eliminate a number of Access and home-built databases and now store all of that data within the single Workforce Central application.
