Amaxus is well suited as a development platform and content management system for companies who have a dedicated, experienced development team because it has such complex functionality. It is not well suited for companies whose main content updater will be a person with limited development experience, because it is so hard to learn and understand how to use.

What are the document volume, the throughput - currently and expected in year, 3 years etc.? Is the company doing content management on international level, where access from multiple locations is needed - then Documentum can be good investment. What ECM system will be used for - document storage, document lifecycle or retention? Or all of the above? - Documentum works very well if all 3 items are combined, yet for storage there must be cheaper and more easily adaptable solutions available.

Pros

  • There is a lot of flexibility and power with what you can do.
  • The client has a lot of power to make changes on their own without needing a development team.

  • Documentum's backend repository engine is probably one of the most robust, best-designed repository's currently available. While other vendors seem to constantly release new "implementations", Documentum's design has remained virtually unchanged since it was first released, yet it continues to address the content management needs of users.
  • Although there are many document and content management platforms available today, Documentum probably has the largest collection of modules to address varying functional needs.
  • Recent releases of Documentum have provided significant improvements in user-friendly development and configuration tools, making it easier to rapidly configure and deploy applications based on the Documentum platform
  • Documentum provides a large number of interfaces and APIs for managing the application as well as for building custom solutions/add-ons. This makes it an extremely flexible platform that can be used to build most any kind of application
  • Documentum's support infrastructure and the general online community is well established and broad

  • There is a huge learning curve for developers. All our new website builds were going beyond the timeline because of the learning curve.
  • It is very complex and teaching our clients how to use it required several training sessions.

Stability is a key factor as well as its flexibility. Also, any organization that deploys Documentum will have made a significant investment in terms of time and money, so not renewing its commitment can come with a significant cost. That said, the decision to deploy Documentum initially should come only after extensive evaluation, knowing that once deployed it will likely remain the platform of choice.

Alternatives Considered

I have used an in-house CMS which was very simple and only allowed the user to update very basic templated content, and I have used Sitecore, which is sort of like a middle-of-the-road. Sitecore is great because it allows for the user to have a lot of control over templates and updating content, but it's not so complex that it is very difficult and time-consuming to learn how to use, like Amaxus.

We have evaluated IBM Filenet, Alfresco and Oracle WCM. Documentum has a very strong business process management system, security and scalability. It's not just a web content management system, it's an enterprise content management system with very good capabilities for Integrations. It has good compatibility with industry leading scanning solutions.

  • Documentum has often been a solution to avoid bad situations like FDA, FCC, etc. regulatory requirement fines and shutdowns. It has been the de-facto, at least in my experience, go to solution when regulatory oversight can impact the business. It is hard to measure how much ROI Business Continuity has but we can find examples of shutdowns that cost millions of dollars a day.
  • Documentum also has a mature security model and a proven history. Private info; like HR and Health records; secret info; like government documents, executive decisions and information, marketing/strategy/IP; and multi-tenant, multi-purpose content are all well kept.
  • For smaller enterprises, Documentum is harder to justify. It has targeted sales towards companies that can spend and has additional options, like dedicated support engineers, for those that have the money to burn. Unless your small company has the money, and needs all the things that Documentum can provide in a single solution, it might be better to compromise with a lighter solution that has a forward path that will meet your needs as you grow.
