Amaxus

Amaxus is well suited as a development platform and content management system for companies who have a dedicated, experienced development team because it has such complex functionality. It is not well suited for companies whose main content updater will be a person with limited development experience, because it is so hard to learn and understand how to use.

EMC Documentum

Documentum is best used in medium to large institutions that can afford it, have alternate solutions for web publishing, and who have either in-house developers or can hire good Documentum developers (not the ones who know Java but do not understand ECM). It is, in my opinion, the best heavy duty ECM solution out there, assuming OT is not gutting it as we speak. That is my only hesitation to not giving it a 10, OpenText is an unknown quantity in this and I worry that they will only support Documentum until they have figured out how to fill the gap between Documentum and OT and then offer a migration path to OT with a Documentum sunsetting as an incentive.

Pros

  • There is a lot of flexibility and power with what you can do.
  • The client has a lot of power to make changes on their own without needing a development team.

  • For transaction based content management, xCP product from Documentum product suite works excellent, supporting easy and fast development, huge throughput and integration with other products, like scanners etc.
  • Documentum Content Server is probably the most robust and most advanced in the ECM field, which does an excellent job out of the box but provides much of extensions to be developed for specific client needs. Yet, for companies that don't require so many features, there are definitely cheaper solutions that gets the basic ECM work done.
  • Newly changed interface approach for xCP and D2 products are quite appealing to customers and very fast, when in comparison with web based applications. Yet, with Documentum 7, even wdk is faster and more robust.

Cons

  • There is a huge learning curve for developers. All our new website builds were going beyond the timeline because of the learning curve.
  • It is very complex and teaching our clients how to use it required several training sessions.

  • WDK framework has been the biggest drawbacks from the application speed point of view, as well as client complexity and not so natural look and feel. Yes, with the latest releases much of these features are improved.
  • EMC is very expensive to buy, own and support, where some products require many dependent Docuemntum products to be installed to work at its best.

There are already resources that know Documentum and can do customization to meet company needs, thus changing to a different ECM would be more expensive and there would be steep learning curve.

Alternatives Considered

I have used an in-house CMS which was very simple and only allowed the user to update very basic templated content, and I have used Sitecore, which is sort of like a middle-of-the-road. Sitecore is great because it allows for the user to have a lot of control over templates and updating content, but it's not so complex that it is very difficult and time-consuming to learn how to use, like Amaxus.

There are numerous other products available including SharePoint, Stellent, FileNet, etc. Most offer many of the same solutions and modules that Documentum provides, however some, such as SharePoint, still have significant shortcomings when it comes to true, enterprise-level document management that require workaround solutions, either via architectural or custom tweaks. The Documentum platform tends to excel in its flexibility due to its available APIs and configuration options. In addition, the stability of its backend repository makes it ideal for global, enterprise-level solutions.

Return on Investment

  • It has a negative impact because it put us back on our timelines.
  • It had a negative impact because our customers didn't like the learning curve to use it.
  • It had a negative impact because it caused so much stress among our team to learn it.

  • Increased document throughput and automation for transaction intense business processes.
  • Increased document turnover time for reviews and approvals.
  • Increased employee efficency
  • Easier adherence to document retention as required by governing institutions.
