(UPDATE: Please note that my review was for the Version 5 of their apps. They have recently updated 2 of their main apps to V6 which show a lot of improvements. The sad thing however is that many of their 40+ apps never even made to V5 let alone V6. V5 to V6 has taken over a year and only the core apps are getting attention.)

As it stands Apptivo is only useful for one person or sole trader type entities. If your business wants to use all the apps and works internationally then Apptivo will create headaches and frustration rather than increasing productivity. They may solve many of the 100+ items we provided them with free of charge in an upcoming release, but we left with a bad taste in our mouth. Countless hours lost in our business while we acted as bug finders for Apptivo while paying for the product.

Teamwork Projects

Teamwork is a great way to keep track of all your projects and tasks. It's a great way to be organized with your team members and clients. It is important to use a program like Teamwork if you want to use your time wisely and not waste time doing other things. I 100% recommend Teamwork!

Pros

  • Built in support for new users.
  • Basic crm works...just dont expect it do anything well beyond the basic.
  • Price.
  • Google Apps integration is better than a lot of the competition who charge and anwful lot more.
  • They are open to and try adapt quickly based on customer feedback.

  • Projects allow you to create insanely detailed task lists and production schedules. One can assign projects to different users, set due dates (which update in your calendar), and set up simple scripts for task accomplishments based on previously completed tasks. There is a lot of variety to the ways you can set up task lists, so much that I continue to find new and better ways to use the system. You can also create templates to easily copy similar tasks to new projects.
  • Projects allow for client customization and project lists. It's very simple for me to create a new client and assign projects to them. If you are working on multiple projects for a client, the UI makes it easy to copy projects (to carry client details over). Clients are also listed under the project pane and it's so simple to jump from project to project.
  • Projects have a built-in task time tracker. This is great. Other applications either have unintuitive time trackers or nothing at all, meaning you'll need a third party application to track time. Project and business management are always done best if you can contain more of your work into a single software. That's the reality. You can clock time for projects specific to a task on the task list, and later do an in-depth analysis to see which projects or tasks are sucking up your time.
  • Teamwork has great customer service and troubleshooting. I've had a few issues, even initially with selecting a project management software, and getting onto chat with the team has been super fast and easy.

Cons

  • Homescreen claims to be the center of the application however the sub sections are mostly flawed or do not function as one would expect.
  • The built in email client kinda works but depending on which section of the app you are in the default font will be different from your signature. Also you cannot add a cell phone to staff signatures. I asked about this for months. It was never fixed. When will CRM companies learn that email is STILL the center of many business. It is unacceptable to have different fonts in the same mail and signatures that change from client to client.
  • They frequently messed up our contact data.
  • Multi currency exists on invoices but not on other apps.
  • Fragmentation with their apps....some apps are still on version 3 some on 4 and some on version 5. This means you are forced to deal with 2 or more different user interfaces within the same app.
  • No consistency between the apps.
  • Often there is little or no integration between the apps inside Apptivo.

  • The gantt chart is hard to work with. It's mainly just the user experience. It is hard to navigate and view. There are some very simple things they could do to make the experience much more intuitive.
  • The task list/task structure can be confusing for new users. It is a very useful feature, but not the most intuitive feature and can cause some confusion, especially for new and non-technical users.
  • The Kanban board is a great feature, but again not the best user experience. The blocks are large, and you can't fit a lot on one screen without reducing the resolution. I believe it is fairly new, so am hopeful it will improve as the feature matures.

We are already at an annual contract, and have been for the past 5 years; so far the system has delivered, and our personal is already trained in it. A major overhaul of our entire infrastructure (as in moving everything to a single, unified platform) might change the current continuity of Teamwork Projects on our organization, but that's not feasible in the near future.

Our uses kept running into bugs that stopped them from doing simple things like creating a contact or selecting an item from a custom drop list which is required to save the contact or item. This of course is after time was spent filling out all the previous data which gets lost when you cannot complete the form. This is just one example of many.

The UI is clear, well laid out and very user friendly.The authors of the Teamwork Projects product have managd to cram a lot of detail into a small real estate without over-burdening the user.Adoption by my users has been extremely rapid with very little re-familiarisation required once they've got going.I do like the fact that there is an element of first-time user support embedded within the application. It means that I can point users to a sign-up page and spend very little time with them thereart

The support service provided by Teamwork is excellent, and one of the best I've experienced. This is for the following reasons:(1) The speed at which they respond to queries I raise(2) The depth of understanding they have of the product(3) The way in which they are able to understand my questions without needing me to re-explain(4) The quality of the documentation available online(5) The openness they express about current issues and downtime

If you are starting a business and want a free app or nearly free app that can grow with you....then apptivo could be for you. However if you grow faster than them then you will be quickly seeking alternatives

Alternatives Considered

Sellsy is the app that comes closest in terms of feature set. It is a lot more expensive but even with its flaws and terrible Google integration is still is a measurably better product in terms of taking care of your business. Unfortunately for Apptivo it tries to do everything with its 40+ apps but not one of those apps succeed in being great when compared to the competition. The competition in all cases are much more expensive than Apptivo but it is a case of you get what you pay for.

Solve360 is probably the best Google integrated crm product on the market today however it is not a business management platform. Work[etc] is another great platform with excellent Google integration but doesn't do stock management or multi-currency. Also way over-priced!

On the whole Teamwork Projects comes across as the preferred solution due to cost, speed of adoption, support for multiple devices, licensing models, support for internal/external users, email services, integration capability and the support services. Furthermore, the commitment of the company to constantly evolve the product is a great plus-point for us.

Return on Investment

  • It cost us money.
  • We lost a few hundred man hours on this. We stuck with them for a while based upon the promises received and the excellent speed at which support would reply to concerns. However fixes to the big issues still have not arrived a year later.

  • Very good value for money - the licence model supports a large user base at a comparably low cost footprint meaning that I can bring on board large numbers of new users (employees and third parties) at no added cost
  • The ability to manage all aspects of the organisation's project management process within Teamwork means that I don't need to support additional tools meaning that the cost of running my PMO has fallen
  • Ease of use means that we have managed to achieve adoption and utilisation very rapidly meaning that process standardisation has been very rapid
  • The ubiquitous access to the product means that we are now working in a model where all activity is mastered, captured and managed out of Teamwork - this has given us unparalleled access to real-time status updates as well as better control over project activities and progress
