Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

For a small to mid-sized company with limited business development and marketing resources, Hubspot is an excellent alternative to Pipedrive (lower-end but cheaper) and Salesforce (higher customizability, but requiring dedicated resources and management). Once you’ve spent time with the tool and learned its quirks, regular updating and management is a breeze. Mass changes to customer lists can shorten tedious research and list-building activities. Once you start to require more intensive dashboards and reporting, however, the limitations of this tool start to become very apparent. Anyone who requires more than basic levels of insight into how effectively they are positioning themselves into target organizations may want to consider hiring dedicated staff to manage the tool, building additional complementary tracking via Excel/Sheets, or looking slightly up-market. If your organization’s rate of growth is fairly high, I might not recommend investing in Hubspot CRM, as the investment of time and resources may negatively impact your ability to quickly pivot into a more advanced tool once you outgrow its capabilities.

  • Hubspot CRM is fantastically easy to navigate and use. Having used three other big-name CRM systems, I would say Hubspot has been by far the easiest to set up and use on a regular basis. The list and contact profile views are beautifully designed and intuitive to manipulate as needed.
  • Hubspot CRM's Lists functionality is so convenient for segmenting your master contact list in all sorts of ways. I use it anytime I need to find out how many or who from our list fits a narrow set of criteria. Even in past jobs where we had other database tools that we could use, Hubspot was the fastest and easiest to get that information.
  • Hubspot makes it easy to import your contact lists from other tools and sources. The migration tool is intuitive and works reliably. I was able to onboard a list of about 500 contacts in less than 10 minutes, including the time it took to diagnose compatibility errors on the first import.

Cons

  • I hate that Asana does not have time keeping functionality inbuilt. I use Asana with lot of contractors and I would love if there was a time keeping function.
  • Asana sends me a lot of notifications. Sometimes it is super helpful but often I opt out of notifications. I would love to see if Asana can optimize or change the notification frequency in a unique way.
  • Asana does not allow me to chat if the other user or team members are online. I would love to have that feature instead of just commenting.

  • UPDATE: The view issue has been fixed! HubSpot listened to their users and they have now changed the marketing view of a contact to look just like the sales view so that I can make all the same edits and adjustments I could in the sales view right from the marketing view! This has been a major improvement.. There's not a lot of improvement areas I can think of. There was at the beginning and they have fixed quite a few of them like timezone issues, default field issues, and view issues when going back and forth from sales to marketing contact views. I'd say the views issue is still something to work on. When a marketer is viewing a contact and a sales rep is viewing a contact I'd like to be able to (as an admin) control what each team members sees. Instead sales rep have ability to change fields they view and it makes it challenging to have a consistent experience for all users.
  • More templates instead of just 5 for emails would be useful as well.
  • The first reporting dashboard you see after logging in should be much more useful than it is. It really doesn't do much for reps or managers.
  • Reporting is still a big weak spot. I like all the things managers and admins can do when we use custom views, but a few template reports to quickly customize would be nice to see as well.
  • From a manager/admin perspective there's much that could be done to give us more options on what we control as far as which users see which fields and be able to control and limit customization of end users.

I am using Asana at the free level tier and have applied it to my own task tracking and planning. My other stakeholders who have implemented Asana would rate the renew question much higher as it is critical to their business. That being said, I am a bigger fan of LiquidPlanner (paid) and Trello (free).

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

They were quick to respond to questions we had regarding the Hubspot system and would log in to our account directly to see exactly what we were seeing to help resolve issues.

They'd explain the solution so we could learn how and why. If something we were trying to do wasn't possible, they also explained how and why.

Alternatives Considered

Trello is a very simple board based project management tool. It lacks clear display and organization. On the other hand, Asana provides a much better layout on all devices including mobile phones. It is cross platform and has much more advanced features than Trello. Asana is also better because of the comments, likes and inter-communication options.

Both of the CRMs I've worked with in the past were too bulky and cluttered. They also did not have the integrated database with marketing that give me such powerful closed loop analytics. From first touch to sold this helps us track what happens to leads better than any I've ever seen. It is simpler to use, cleaner, and helps reps sell better than any I've ever seen

  • Allows us to keep on top of grants and sponsorships that we might otherwise miss and keeps track of our answers, comments, and files from one year to the next.
  • Allows us to see when we need to report to the government and makes sure we don't accumulate any late fees.

  • Due to the cost, we will be able to implement a CRM across our company. This would have been more difficult to budget for other CRMs.
  • With its integration with Sidekick, the HubSpot CRM will have the potential to help us reach customers more quickly and when they are thinking about our product.
