Likelihood to Recommend

Formstack

I would use it for Admissions, HR, and Administrative purposes. It automates and streamlines processes like no other. However, I would not recommend it for someone unaware of the third party integrations. You can pull a CSV, but that can become burdensome. If you know Google Sheets, you can create a filter to make the data manageable. For someone who knows how to do this, Formstack is wonderful; if you don't, be prepared to feel lost on data until you get the hang of it.

Google Forms

Google Forms works well for relatively simple input needed, like participants registering for a workshop. It wouldn't work very well for a more complex sign-up, like volunteer coordinating where they need to pick a day and time and/or activity, because Forms isn't set up to track spots filled (you would get the info and have to manually handle it on the back end). It also isn't ideal for more sensitive situations or functions that need to comply with regulations like HIPAA or FERPA, since the user cannot ultimately control the security of the data.

Pros

Formstack

  • Formstack allowed us to customize the look and feel of our forms to match our branding. It was easy for our engineers to integrate the forms within our onboarding process to deliver a seamless experience.
  • Formstack integrates well with HubSpot, our marketing automation platform of choice.
  • Formstack offered us a lot of flexibility in the types/formats of questions we could deploy (open-ended text, multi-choice, single choice, etc.). This made it easy to get data the way we wanted and facilitated getting that data into HubSpot.

  • Setting up our multi-step form took some getting used to. Some of the branching logic configuration wasn't as intuitive as would be ideal.
  • Since we were pushing data directly into Hubspot, I found it cumbersome to deal with data storage limits within Formstack. I would get frequent notices that new responses were not being stored in Formstack and that I needed to upgrade or delete data. I got tired of that.
  • More/easier support for custom fonts would have been a huge plus. We were able to customize the form's appearance, but had to make some concessions in that regard.

It's been great so far. Our only decision might be to increase our account as we are consistently running up to our limit of 100 forms. It would be nice to have a plan between 100 and 1000 forms that might be better suited to small businesses/non-profits of our size

I love google forms, it is simple enough to get all the voting and attendance done that we need. I rate it this high because I have recommended it to a lot of my friends at school who run clubs. It is very user friendly and I had almost no problems with it what so ever

Formstack has awesome support! They are always quick to respond and genuinely care for their clients' success. They will work with you to find a solution or let developers know about your feature request. There are a few things on the feature request forum that I wish they would implement sooner, but I am at least grateful that they give clients a space to voice their ideas and take them into consideration.

I like the support and the support team is very helpful. I do wish that there was an online chat instead of email, I don't know if this has changed because I haven't needed help in a while but that is the only thing that I wish google forms would include

We implemented on one of the earlier versions. Through continuous engineering improvements, the interface keeps getting easier and more intuitive. Therefore, later implementations keep getting easier and better.

Alternatives Considered

Formstack

For run of the mill data collection, I have used Google Forms, Office 365 Excel Forms, and SharePoint lists. And in WordPress I have used Gravity Forms.Google Forms and Office 365 are nice tools with not nearly the same feature-set available from Formstack. While they are usually included with your SaaS subscription, they just don't offer as much formatting and conditional routing, nor the integration and notifications to other systems.SharePoint requires a huge capital investment and a PhD in order to build data collection mechanisms. Even though forms and data can integrate very well to MS SQL databases on the back end, they are clunky and dated in their operations.Gravity Forms is a solid competitor in the WordPress space. Often costing less with the ability to collect the data to a local database (mySQL). The feature set of Gravity is geared towards a different need and in my case Formstack was a better fit in all situations.

I use Qualtrics when collecting IRB-regulated research, because of Qualtric's privacy protections. However, for day-to-day data collection for event registration, RSVPs, voting in student/professional organizations, I choose to use Google Forms because it is easy and intuitive to use.

Return on Investment

Formstack

  • Formstack has given us a much more streamlined system for volunteer inquiries and lost and found. The forms populate our spreadsheets directly so we don't have to spend time transcribing and responding immediately with the "we're on it" message. We have the time and focus to be able to follow up only once we have an update. It has saved a lot of time there.
  • Formstack is much more user friendly than the old Drupal system we were using for our volunteer sign-ups. As a result, our Volunteer Coordinator is able to not only turn out the updated form more quickly but she is also able to provide additional detail in the options to our volunteers and track these details without it having to include a lengthy notes section at the end of the forms.
