Podio

I think Podio is flexible enough to be useful to almost any non profit or business. We built a suite of apps for event planning that completely streamlined our planning and logistics.

Zoho CRM

Well suited for basic sales and pipeline management. Not appropriate if those leads or prospects need to be transferred into other organizations or companies. Good to use on more individualized sales teams, but not particularly great when it comes to collaborations. Limited tagging and chatting options for collaborative sales. If you are planning to work a pipeline to generate sales and are not in need of a great deal of communication between employees, this will be great for you.

Pros

Podio

  • Very easy for people without coding or technical skills to set up and maintain information in "Apps".
  • Platform is very easy to learn and adopt--it's intuitive.
  • Project management potential is awesome--instead of having to fit your projects into a structure that is industry specific, you can build an app that tracks what you want, in the order you want it.
  • Has a "relationship" field that allows you to relate an individual item or record to a record in another app. It effectively gives some of the functionality of a relational database.
  • Very useful for information sharing when staff members are in different regions or places.

Zoho CRM

  • The reports and filters are very user friendly and intuitive.
  • Very trustworthy - never had any issues about data integrity.
  • Easy to navigate - never had any issues finding what I needed.

Cons

Podio

  • Podio has different types of "contacts," including Workspace contacts, and that is a form of hard-wired data that is hard to figure out how to use. You also can't easily import or export contacts.
  • For longer term record keeping, it takes some strategic thinking to figure out how to archive, or make dormant, old or outdated information. It can be done in a variety of ways (by manipulating "views," using "category" fields or cloning apps and data to an archive workspace, but it takes some real thought.

Zoho CRM

  • I think the entire dashboard and interface could be more aesthetically pleasing.
  • I would like to see Zoho reduce the amount of "clicks" that are required to navigate and edit a potential, specifically when updating close dates, changing the name of the potential, or adding attachments.
  • On the Lead page I think it's great we can put "notes" in there, but I would like to be able to select which notes are carried over when the lead is converted into a potential. Many times I have information that is great for the Lead page or the Account page, but is really nothing more than a basic description of an organization. I don't want those notes in my potential as I want the notes there to be potential specific and not other information.
  • ZoHo could make the analytics easier to figure out. It's not tough - it just takes time to, again, figure out which module to pull from and some reports you run produce no-data even though we know there should be some there - then you have to work backwards to figure out where you added/didn't add something to the report.

Cost factors and ROI are always the driving force on adoption, implementation and retention. When and if our ERP systems are upgraded, we will see what CRM capabilities are offered and a decision will be made whether to keep Zoho or use CRM tools offered by ERP product.

Zoho CRM is extremely intuitive and allows users complete visibility of sales data through reports/analytics. The platform has wide native integration with other cloud-based business solutions. But, it's fairly simple to write scripts with their publicly available API.

Although you can implement Zoho CRM yourself but the effort required in learning the application is demanding. Always choose a professional who has some sort of processes to define CRM scope before implementation.

Alternatives Considered

Podio

Unlike Trello, Podio allowed us to establish a structure for the data, to be used by all team members, and establishing a clear workflow. (Podio can mimic the Trello “card” look, and integrates with it).Basecamp seemed too rigid, or complex to modify. It's a solid tool, but not for our application.Zoho (last time used a few years ago) was very cumbersome to update, and slow (again, years ago). Asana is very likeable. Crazy fast to use with very intuitive keyboard shortcuts. I wanted to like it, but the inability to create my own apps –for CRM, milestones, and other more specialized functions– ultimately forced me to go back to Podio.

Zoho CRM

Sometimes it is a bit costly and involves navigation complexities. Also, at times it appears a bit slow while executing large queries. Despite this, Salesforce Marketing Cloud appears powerful. Why Zoho CRM :
  • Amazing connectivity with Zoho apps and integration with G-suite apps works extremely well.
  • Easily customizable, seamless switch between languages.
  • Clean and intuitive mobile user interface for better management of tasks, meetings, calls, emails, etc.
