Overall Satisfaction with Paylocity

We switched to Paylocity as a tool to address all of our HR needs: payroll, LMS, benefits, communication, recruiting, etc. While it is much improved over the previous system we used, it isn't without issues.

In my experience,

Implementation: There was a general lack of direction given by their implementation team on best practices and they were more concerned about checking a box to move to the next item than they were ensuring we were doing it the right way.

Support: We are on our 2d support person and neither of them have been very knowledgeable. They will tell us something cannot be done and my team will spend time figuring it out on their own.

Modules: We ended up dropping the LMS and Benefit modules. The LMS was not b/c it was a bad product, but rather b/c it wasn't able to perform the way we wanted. In my opinion, the recruiting module is very limited and if you have a complex process, it is not a good option.

Overall, I think if you are a small company that only needs a cookie cutter product, this is likely a good fit for you. We are multi - brand, unit and state with almost 1,000 employees and in my opinion we are just outside of their expertise.

Payroll and TA have been an improvement over the previous provider; however, I think TA is still very archaic and lacks many basic functions such as requisitions, application aging and candidate visibility. Time & Labor have improved our ability to ensure employees are clocking in and out per policy and the snapshot shows that it is the actual employee clocking in. In my opinion, other features such as scheduling and performance tracking are very clunky and require a lot of additional work to use.
In my experience, the survey feature has been very helpful and easy to use. So far, we have used surveys for new hire feedback and overall engagement pulse. The community tool, replaced GroupMe for us and has allowed us to have more control over communications and engagement.
In my opinion, ADP was a terrible and antiquated product. Paylocity is a big improvement in all areas except recruiting.

Using Paylocity

950 - Users
Managers
Human Resources
Talent Acquisitions
3 - payroll and benefit administrator
executive
hr director
  • payroll administration
  • talent acquisition
  • timekeeping
  • attendance tracking
  • the data insight dashboard allows us to easily send out monthly reports
  • sign offs for acknowledgment outside of onboarding
  • electronic osha recording
Their customer support is really bad. We are repeatedly told a process or action is not possible; however, my team will discover a way to do it. The recruiting module is clunky and difficult to track candidates. Most reports are not customizable and paylocity charges $350 to create custom reports.

Evaluating Paylocity and Competitors

Yes - we replaced kronos. Kronos was limited to payroll and we wanted a system that could meet all of our needs.
  • Ease of Use
Ease of use was how it was pitched to us, but I have found that to not be the case.
I would ask a lot more questions around integration, API, reporting and would explore the other modules in depth.

Paylocity Implementation

The HR rep was not helpful to use and could not offer best practice suggestions when we asked. She relied on us to tell her everything.
Change management was a minor issue with the implementation - more communication is better
  • getting employees to actually set up their account
  • clocking in on the kiosks
  • the implementation person for HR was not helpful

Paylocity Training

The training was live online, but was with a group of other companies. We did not receive any personalized training with our team. Whenever we would ask for training, we would be sent a peak article link or a video. It felt like the reps we dealt with didn't know the answer to the questions.

Configuring Paylocity

I think it is configurable; however, our hr rep was not helpful and didn't help us so we didn't get much configuration out of it
Do not try to make it fit your current processes. Determine what is a best practice in the field and move your processes to fit the system when possible.
No - the product does not support adding custom code

Paylocity Support

Customer support is pretty much useless. Their reps know less about the product than my team.
ProsCons
Quick Initial Response
Slow Resolution
Poor followup
Less knowledgeable
Problems left unsolved
Not kept informed
Escalation required
Difficult to get immediate help
Need to explain problems multiple times
Support doesn't seem to care
I was not aware it was an option.
Yes - One time it was resolved but not timely. The other time it was not resolved and communication was not timely
After numerous complaints, I did finally receive executive support and they also provided us with a credit for the time the system didn't work.

Using Paylocity

There are features that are easy to use such as expenses, data insights and timekeeping. Other areas are more complicated such as scheduling and recruiting.
ProsCons
Technical support not required
Well integrated
Convenient
Do not like to use
Unnecessarily complex
Difficult to use
Slow to learn
Lots to learn
  • expense
  • data insights
  • time keeping
  • recruiting
  • reports
Yes - it works fine for some modules such as approving PTO and expenses, but the information is limited

Paylocity Reliability

we use this in 91 locations and in our home office
there are frequent issues with the recruiting module not fully working and there is no rush from paylocity to fix it
pages load in an acceptable amount of time, reports come back quickly, but integration is very complicated and hasn't been possible

Integrating Paylocity

We have not integrated b/c it has not been possible for us.
  • Scout Logic background
  • WOTC
  • ERP
True configuration isn't possible even when they tell you it is and there is not an open API. They use a file transfer system that fails frequently.
  • File import/export
  • API (e.g. SOAP or REST)
investigate in great detail if you are told your system can integrate with paylocity

Relationship with Paylocity

We loved our sales rep and she would return calls very quickly
Vendor relations after our sales rep were limited and not productive
