Looking for a Change
Overall Satisfaction with Paylocity
We switched to Paylocity as a tool to address all of our HR needs: payroll, LMS, benefits, communication, recruiting, etc. While it is much improved over the previous system we used, it isn't without issues.
In my experience,
Implementation: There was a general lack of direction given by their implementation team on best practices and they were more concerned about checking a box to move to the next item than they were ensuring we were doing it the right way.
Support: We are on our 2d support person and neither of them have been very knowledgeable. They will tell us something cannot be done and my team will spend time figuring it out on their own.
Modules: We ended up dropping the LMS and Benefit modules. The LMS was not b/c it was a bad product, but rather b/c it wasn't able to perform the way we wanted. In my opinion, the recruiting module is very limited and if you have a complex process, it is not a good option.
Overall, I think if you are a small company that only needs a cookie cutter product, this is likely a good fit for you. We are multi - brand, unit and state with almost 1,000 employees and in my opinion we are just outside of their expertise.

Pros
- Onboarding
- Workflow
- HR Events
Cons
- Implementation
- Support
- Recruiting
- Prorations
- Offboarding
- Workforce Visibility
- Reduced Errors
- More consistent processes
Payroll and TA have been an improvement over the previous provider; however, I think TA is still very archaic and lacks many basic functions such as requisitions, application aging and candidate visibility. Time & Labor have improved our ability to ensure employees are clocking in and out per policy and the snapshot shows that it is the actual employee clocking in. In my opinion, other features such as scheduling and performance tracking are very clunky and require a lot of additional work to use.
In my experience, the survey feature has been very helpful and easy to use. So far, we have used surveys for new hire feedback and overall engagement pulse. The community tool, replaced GroupMe for us and has allowed us to have more control over communications and engagement.
In my opinion, ADP was a terrible and antiquated product. Paylocity is a big improvement in all areas except recruiting.

Evaluating Paylocity and Competitors
Yes - we replaced kronos. Kronos was limited to payroll and we wanted a system that could meet all of our needs.
- Ease of Use
Ease of use was how it was pitched to us, but I have found that to not be the case.
I would ask a lot more questions around integration, API, reporting and would explore the other modules in depth.
Paylocity Implementation
- Implemented in-house
Change management was a minor issue with the implementation - more communication is better
- getting employees to actually set up their account
- clocking in on the kiosks
- the implementation person for HR was not helpful
Paylocity Training
Configuring Paylocity
Do not try to make it fit your current processes. Determine what is a best practice in the field and move your processes to fit the system when possible.
No - the product does not support adding custom code
Paylocity Support
Pros | Cons |
---|---|
Quick Initial Response | Slow Resolution Poor followup Less knowledgeable Problems left unsolved Not kept informed Escalation required Difficult to get immediate help Need to explain problems multiple times Support doesn't seem to care |
I was not aware it was an option.
Yes - One time it was resolved but not timely. The other time it was not resolved and communication was not timely
After numerous complaints, I did finally receive executive support and they also provided us with a credit for the time the system didn't work.
Using Paylocity
Pros | Cons |
---|---|
Technical support not required Well integrated Convenient | Do not like to use Unnecessarily complex Difficult to use Slow to learn Lots to learn |
- expense
- data insights
- time keeping
- recruiting
- reports
Yes - it works fine for some modules such as approving PTO and expenses, but the information is limited
Paylocity Reliability
Integrating Paylocity
- Scout Logic background
- WOTC
- ERP
True configuration isn't possible even when they tell you it is and there is not an open API. They use a file transfer system that fails frequently.
- File import/export
- API (e.g. SOAP or REST)
investigate in great detail if you are told your system can integrate with paylocity
