I think 10000ft is good for bare minimum project monitoring, we used it a large company because we didn't need to have exact numbers - it was just a rough idea to see where freelance resources were over burning. If, however you work a much smaller company and really need to know detailed information it's not as effective, there are many other software options that really allow for much closer and precise tracking. I would recommend 10000ft for companies that just need to monitor large freelance teams, track hours and higher level projects that are also monitored on other project management tools. It's a tool I would only use in conjunction with something else.

Well suited for keeping documents organized and accessible to the team and keeping things updated in real time without too much extra work. Not so well suited for actually marking up documents.

Pros

  • Tracks freelance resource hours.
  • Tracks multiple small projects and milestones within the projects.
  • Tracks budget information and scope creep.
  • Procore does an excellent job of collaborating with the whole team. By not limiting the amount of users they allow everyone to be involved and share information even if they are not a Procore user.
  • Procore is good at keeping you focused on where you should be on a project. Once you have a project set up, Procore will send you reminders/prompts on the things that you should be focusing on. For example, if you have a submittal that is overdue, Procore will send you reminders daily until it is complete. This allows you to be confident that as long as you follow the Procore prompts, you are devoting your attention to the most important tasks within each project and nothing is going to be forgotten.
  • Procore has done a good job with sharing information between office and field within our company. If new drawings are issued due to a CO, we can upload them to the office and they are automatically distributed to the field. This ensures that the guys doing the actual work have the latest drawings and information necessary to complete the project.
  • Procore has a very active team that is constantly working to make their product better. If you have a problem with something or think that they should change something, you can make a suggestion. They are constantly reviewing suggestions and make the necessary changes so that their product is offering the users what is best for them.
  • Procore's support is second to none. From how to videos, to live chat, to calling in, Procore is always available to help you in whatever way is convenient for you. I value customer support and Procore's customer support has been phenomenal for our company.

Cons

  • It's often confusing to use and find things, I sometimes find it to be a little counterintuitive as to where functions are (e.g. for tracking budgets and pulling reports).
  • When pulling a budget I always struggled to comb through the large amounts of data and time inputted. When I select a filter the page often wouldn't refresh or i'd forget to de-select a filter as it wasn't in an obvious place, which sometimes left me with pulling an incorrect budget.
  • The data is only as good as the people entering the time. Often with so many small tasks people would enter time incorrectly, in the wrong milestone or project. It lists all of your projects on one page, so it's not easy to enter it and there's a lot of room for error.
  • Notifications driven by the user would be beneficial so that the user can control how many notifications they get.
  • Bulk uploading of submittals i.e. drawings
  • Bulk downloading of submittals i.e. drawings
  • Number sets driven by trade i.e. SIS for Space Interior Systems.
  • A mechanism whereby drawings can be transferred from submittals to drawings when they are approved or reach construction status.
  • A day file: one place showing all the rfis open/closed, submittals open/closed, new drawing revisions and perhaps certain document folders across the project each day
  • a mechanism for sharing documents similar to google drive (live)
  • A daily summary notification as an option to replace the notifications as they happen.
  • For a submittals there should be a field which is is the tech sub spec compliant.
  • submittals - field which says for approval/for construction/for information away from the description which should be the description of the item submitted.
  • Flexible dashboard/home page so users can order the page to suit themselves

I think there's limited uses for the tool and much more comprehensive options out there for multiple tools in one. With more people working remotely, it's hard to just use email and face to face, in some ways you need to have a tool that's a fall back and a record of where you are + where you're going

The entire team is pretty much hooked on Procore. I can't see any possibility of switching to another program. There's nothing else out there that has all that Procore has to offer.

Any time I have had to use support, it has been a great experience. The chat feature is super convenient. If chat support can't help for whatever reason, they transfer it a support tech and you get an email with the issue and who is working on it. I have always found that they keep in contact regarding any issue and follow up once it is resolved.

A lot of the older generations are very skeptical of using Procore at first since they think it would be a waste of time and effort but Procore makes it really easy to understand and use most features. It does not take much software knowledge to do basic tasks like look at drawings, photos, RFI's, etc...

Alternatives Considered

Although an interesting tool, compared to Basecamp or Workfront, 10000ft really struggles on the collaboration aspect of the tool. It's great for the bare minimum, recording hours and pulling a budget, but we also relied on email for collaboration and face to face meetings - which is no bad thing! Although for big companies and small projects it's nice to have everything all in one tool so there's less jumping and room for error. That would be my recommendation for any company evaluating it
Procore was the system of choice for BW as our sister companies in the US and Australia also use it.The main difference I notice about Procore compared to other systems I have used is the flexibility of the system in terms of meta data for example.

Return on Investment

  • Positive - We were able to track multiple projects at the same time and record accurate hours.
  • Positive - Able to pull budget and excel reports which can the be analyzed further and relatively simply.
  • Negative - There were a lot of times when hours were entered inaccurately which left us in a bind with budget and freelance billing.
  • In so many cases, Procore has allowed files and documents to be retrieved for reference. The cloud-based software is very user-friendly
  • Marked up drawings and revisions are instantly visible to the entire team.
