ActiveCollab

Scenarios where ActiveCollab works well1) ActiveCollab works well for small teams specifically T&M teams. Its invoicing feature is unique & can make your life easy.2) It is very easy to use & posses good range of filters like on the task list, we can drag/drop tasks, Filter by assignee's,
tasks lists, due dates, or completed tasks. 3) It has some simple but awesome features like when you're in
the middle of writing something i.e a comment on story and get interrupted,
it retains what you wrote.4) It allows you to tag team members in threads of comments to grab their attention, its really needed when teams are distributed. Thus helping team members to collaborate easily & stay on same page.5) It integrates pretty well with other web apps like quickbooks , Slack, Trello, HubSpot, Zapier etcScenarios where ActiveCollab did not work well1) Tasks can not have multiple assignee's here so if two members are working on same task it did not allow you to reflect that.2) Sorting capability is not their under invoicing3) It did not work well for larger teams4) Search option is not very detailed & you may end up wasting lot of time searching one particular bug or issue.

Workfront

Pros and cons shift inevitably based on what functions you perform. My own is that of support and as such my hammer and nail often revolves around issues and my ability to both deal with them in a time effective manner as well as automating what can be automated both on the front end in work flow as well as output in terms of process. The application functions well for the majority of level 1 and some level two issues surrounding almost all organizations but can be unwieldy when it comes to things like merging issues or creating global tickets. These are functions fairly unique to support applications but in that venue they are extremely important for both results and clarity. Larger scale items which I do not see as part of this type of package would include integration with more technical tools such as network discovery or heartbeat ability while not necessarily a normal consideration in an Enterprise application of this nature, would make it extremely attractive to those who have to support its use over its lifespan. On the upside and along these lines, Workfront can boast a large suite of APIs making the integration of packages outside of its borders such as legacy application from whom the org cannot disassociate easy and, with the help of Workfront personnel when needed, fairly straightforward. The management of resources and workflows is another of the strong suites of Workfront contributing to the smooth fulfillment of daily operations

Pros

  • Its billing & invoice feature worked pretty well for T&M teams. ActiveCollab version 5, the current version, allows you to directly track time to tasks using the Timer app and later create invoices based on those time entries. Their statuses will change through phases, as you are pending payment, or after they are set as paid.
  • Here cost can be easily assigned to each team member, Team members can start the timer after they start their work, then allows you to export the time records of team members making it easy to complete the billing.
  • File sharing feature is very useful for distributed teams as we can we can easily share files, screenshots.
  • Also ActiveCollab ability to connect to Google docs, attach images and link to web pages make it unique from other project management tools.
  • AC easily allows you to track your daily tasks & serves reminder if miss on the targets defined by giving daily / weekly reminders regarding tasks and any that have gone over due dates.
  • ActiveCollab is quite easy to use. With just a few clicks, you can create a new project.
  • The dashboard and options are easy to see and it is well laid out.
  • Here user have an opportunity to select the number of emails they receive from ActiveCollab and for some email providers, such as Gmail grouping is enabled. So rather than getting multiple mails, it send you a summary of all the daily notifications in one mail.
  • It allows users to upload several files at once on task comments, and if you are set with the owner role, or have the member role but are a project leader, you have a Batch Edit option available on project level. This allows you to edit multiple tasks at once and change all the details on them, such as assignee, due dates, labels, importance, and more.

  • Workfront's support system is great. Their support reps respond quickly and are patient even when you are not. If the support rep doesn't always know the answer they are great about researching and following up with you.
  • Workfront is incredibly customizable so you can configure it in a way that works for your company. We find that when building process into Workfront there are several ways to go about it.
  • We love the custom forms and the ability to put metadata on every object in Workfront.

Cons

  • It does not provide support to scaled agile frameworks like SAfe which is there for Rally & Agilecraft.

  • Having worked in two different environments with Workfront as the main project management tool, I have to say that having more examples of best practices for implementation by industry would be helpful. I want to know how other people manage Risks (need to be able to outline a mitigation plan in the project schedule automatically), best practices for teams, groups, approval processes.
  • When moving tasks around in a project or from project to project, I would like to see the hierarchy structure more clearly defined. I don't like having to scroll through hundreds of parent tasks and children tasks to find the location where I want to move the new tasks.
  • In the Agile environment, I would like to know when the sprint will begin and end. In addition, I'd like to see what stories/points the team started the sprint with and what they ended with.
  • Setting up new users...when I'm creating a new user, I'm not sure what their initial view in Workfront will look like and often it isn't what I want them to see. I would like to either better understand how to create users with an immediate view that I've predefined (I almost think this is Layout templates and I'm just not familiar with them) or understand how others set up users to do this.

We ended up not renewing based on the sole factor that AtTask could not be a general ledger/invoicing system. All other aspects of the system were great to work with.

I gave a rating of 10 on overall usability because Workfront is cloud based and very easy to use. Workfront also provides collaboration on projects which is critical to a projects success. The tool gives everyone high level visibility in their projects down to the smallest detail. Wonderful project management system, allows you to cut down on emails, meetings and no more spreadsheets for tracking your projects.

It would be nice if the support forms were more dynamic so you could add more information to the support ticket when you enter it to reduce back and forth with the support team member. Also communication on escalated tickets isn't always great. It's gotten better over the years but still needs improvement. Other than that, initial response on support tickets is really quick and the people I've dealt with have always been very professional.

Alternatives Considered

We chose Active Collab overall because we liked its easy to use user interface, project management suite and agency/vendor/client interaction capabilities. We also chose it primarily because it was offered as a web-based platform that offered very clean and easy mobile access for our off-site users as well as clients and third-party vendors. Mavenlink and Basecamp, at the time, were more suited to specifically be used for project management on a more granular scale for project managers, not necessarily the whole team, including vendors and clients collaboration.

They don't compare... People say that MS Project is easier to use... But where's the reporting? You can't perform resource allocation with a drag and drop, nor can you build the dynamic reports that Workfront provides. Not to mention automatically distribute those reports at pre-defined intervals... Nothing compares.

Return on Investment

  • Active Collab has helped us to move to a completely digital project management system, moving away from physical time sheets and assignments many years ago. Since then, the platform has grown very quickly and very adeptly, and that is why we continue to use it.
  • The Active Collab platform helps us with quick, easy access to our project management system, even for off-site users, vendors and clients.
  • Time tracking and profit analysis has been great to help us price new agency services and change requests.
Jorden Beatty profile photo
  • We are far better able to schedule upcoming work and make changes on the fly
  • Our Account teams and executives have real-time access to the current status of their projects and can gauge their overall "health"
  • We've entirely eliminated paper/job jackets for day-to-day operations
  • Easier collaboration among our related agencies since our processes and tools are nearly identical now
