Alfresco Content Services

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

Bonita BPM is well suited for:
  • UI design and experience in general.
  • Connectors: Data Base connectors with almost every DB suite.
  • BPMN language and standard: Very good instantiation of Business Process Management Notation.
  • Sub-process.
  • Roles and automation of business process.
  • Great business rule engine.
  • Perfect integration using Java code, which is easy to maintain and improve.
  • Great reporting tools.

  • Integration with other applications, namely Drupal and Moodle, was simple and works beautifully.
  • The UI is intuitive, clean, and friendly. Users have required little training for basic functionality.
  • We have been pleased with the overall system performance of Alfresco Enterprise Content Management.

Bonita Platform

  • Bonita seems particularly suited for processes requiring a great deal of human interaction. Its user model allows you to control access to business processes in a fine-grained way. This allows for business processes to move smoothly between users and services as the process advances.
  • The definition and usage of custom forms from the latest version of Bonita seems particularly powerful. It allows for a thorough customization of the look-and-feel and does not require complex developments.
  • The web interface and administration section have greatly improved in the latest versions. Installation and configuration of processes has become more flexible and more structured. The administration section gives a good view on failed processes, allowing to analyse problems in an efficient way.

  • Alfresco Process Services and Alfresco Application Development Framework integration makes for best functionality/application of ECM.
  • Use case alignment - Marketing content and documentation of specific business requirements and user stories being available as reference material/documentation.
  • Integration with multiple silos for content.

  • There is only one business data model. Even if deploying new processes does not require stopping the platform, the BDM update requires it.
  • During the platform evolution often new bugs were introduced so it was risky to deploy the platform in the low minor version. For example, there were memory leaks from 7.2.0 to 7.2.3.
  • The administrator portal could be improved. It is hard to look at subprocess data, for example and it is sometimes better to investigate with SQL queries. I don't like new (7.3) task list either.

As per the current market and the line of products that are available for content and document management system, Alfresco is a very good option compared to other systems in terms of features and cost. Plus the community support is great. Also since the product is open source, it can be extended or understood in a better way.

Alfresco Content Services' UI has never been its strength from the beginning. Therefore, rating it from a usability standpoint, I will not rank it high. However, Alfresco Content Services can easily be integrated with any application and leveraged as a backend CMS or DM system. With the new Angular-based UI approach, it's very much possible to create custom UI on top of it as required.

Engine itself is efficient enough for most cases I dealt with. It can also be extended by clustering. I have done performance tests with JMeter and only managed to induce the crash of... JMeter. If there are efficiency issues they usually concern bad design/implementation of created apps or bottlenecks in integrated systems. Although I have met two cases with efficiency loss.
1. Java 7 related PermGen saturation caused by big number of installed apps (there is no jar dependency reusal between apps option).
2. Big number of waiting event handlers in processes stresses the database.

All software has some pros and some cons. Alfresco has some good pluses, and suits our environment very well. It fit perfectly in the place that we are working on. That is why we decided to go with this software. Overall, the kind of content management that needs to be done in an organization is what would determine which software to use.

Bonita Platform

Bonita BPM does have some nice visual tools. The annual maintenance is not so high and we particularly liked the visual tool to create business rules. Bonitasoft’s color-coded tools make life a bit simpler and more memorable for beginners or non-coder people. We really like Bonitasoft’s color-coded tools for creating rules.

Respect of BPMN standard over the long term. Good enhancements by Bonitasoft for new use cases, for example the introduction of a real form editor even if it has been technically difficult to manage. Once done though, we have far greater possibility of human interaction.

  • No longer losing important documents - Previously with paper files things would go missing and those could be costly reports/assessments.
  • Ability to secure documents and provide access to only those who should be allowed to see that content

  • Business processes are now more transparent to the users as Bonita allowed us to integrate the data from multiple systems in one place, so decision making is now easier.
