Xactly Incent

If you are currently using a manual process of pulling data from your CRM and compiling commission in spreadsheets, this tool is for you. The setup takes some time, but once you have it dialed in, the time savings are big, allowing you time to work on other projects (i.e. forecasting, whatif scenarios for commissions and early planning for the upcoming year).

Pros

  • Anaplan is great for headcount reporting. We have reports by dept, office location, and subsidiary that is great for planning and also for full company reporting.
  • Although they can be complicated to set up, Anaplan is also great for setting up complex P&L views. For example, setting up a P&L with a combination of subs/depts., that still needs to consolidate to the total P&L.
  • Systems-wise, I like that it's impossible to #REF the model! Anaplan shows you where everything is referenced, so it's very difficult to break anything.
  • I also like that formulas copy across, so there is no chance of pointing to the wrong cell, like in Excel

  • The statements show an easy to understand/customizable view of orders, credits, and commissions. It reduces the amount of effort sales reps need to put in to understanding their payments.
  • The automation that was implemented to connect to SFDC saves us a lot of time and frustration in having to validate and upload order details.
  • The flexibility of the tool helped us change our plans in a way that we couldn't have easily done in Excel.

Cons

  • I'd like to see a back button. While there is restore from backup, it is a long process that only Admins can perform. And all users lose changes of course.
  • As an Admin, my #1 request is: why can't we select multiple list members with check boxes? For example, if I have a list of depts., and want to see HR + Recruiting (two list members). Yes, I can build a line item that does that. But every combination of list members must be custom built.
  • Another one that I get asked for are hierarchies for line items. For example, if I have a List on pages, there will be "+" to group items. For example, I might have Finance, HR, and Recruiting, all in "G&A" which I could then open the "+" to expand and collapse (G&A) to show the detail. If I am pivoted on a Line Item on pages, this isn't possible.
  • Another big one I get asked for, is "why can't I save views?!" Of course Admins can, but I think users would really appreciate it this one. Please consider it!

  • I would like to be able to run our analytics reports more frequently, especially at the end of the quarter. Currently the information updates every two hours so if you miss the deadline you need to wait another two hours.
  • I would like a better reporting for payout forecasting to our finance departments.

Cost and in-house administration are the two biggest drivers of my renewal decision. If based solely on functionality, my rating and likelihood to renew would be lower.

There is a dependency in this rating - in that I find Anaplan extremely easy to use, but I've spent the necessary time developing a strong understanding of the platform. Once you understand how to use it, the platform is flexible, easy to use, and fun to use.

In nearly 3 years, I have only had 1 issue of being unable to access my model for an unplanned maintenance. Even planned maintenance windows are handled during low traffic hours on the weekend.

Performance

Everything is calculated in memory in the cloud. It's nearly instantaneous updates when you make changes. The only time things get a little slow is when you have a massive model with very intricate calculations...but "slow" for Anaplan is not what I would call "slow" for something like Hyperion. We used to have Hyperion calcs that ran for 60 mins before you could use data. The equivalent would be 60 seconds in Anaplan.

I feel like the support team is a little lacking in product knowledge. Several times I have contacted them to get help, and ended up finding a solution to my own problem before the team could get back to me with anything useful. I have also submitted a few bugs, and never got updates to when they were fixed in later releases.

In-Person Training

The in-person training is simply not worth the cost. After a few weeks of playing in Anaplan, I went to the basic training and knew more than the person teaching it. a year down the road, I was the first person to complete the advance training, and again could have been teaching the class better than the person running the session. Spend some time on your own trying out different things and you will get all the understanding you need to be successful.

I'm giving this a 5 simply for the anapedia outline of calculations. The online videos and trainings leave a lot to be desired, but having anapedia around to help you understand calculations has been helpful. The drawback to anapedia is the depth they go into for calculations, it is lackluster at times. Because of that, I have been working through a much more in-depth look at each calculation on my website for users to reference: http://www.anaplanguru.com/formulas/

Xactly offers training on new releases on a monthly basis and training on basic principles regularly via registration. My experience with both is that they do not provide the in-depth knowledge necessary to truly master the system and advanced courses still do not go to the level needed to autonomously manage the system and plans. Professional services are a large part of any cloud based service such as Xactly and I feel a reliance on such paid consulting services is a great money-maker for Xactly.

Alternatives Considered

Anaplan has a much more powerful modelling engine compared to Adaptive Insights. Adaptive might have prettier dashboards, but their product is inferior at it's core. We were impressed by everything Anaplan could do and are glad that we chose it over the competition. We also are very impressed by Anaplan's customer success team and their knowledge

I have used Incentive before. I feel that Xactly is superior. There were some nice features with Incentive, but it did not allow reps to view their statements, which is a super feature with Xactly. While I did not make the decision to select Xactly I am totally happy with it. Incentive no longer supported the version we were using, and it eventually broke down leaving no choice but spreadsheets for several months. Xactly has great support and we generally enjoy it.

Lines of Business and Business Impact

We are early in our implementation therefore, Anaplan's impact is not fully measurable. It will cut one to two days off of our revenue forecasting by eliminating individual spreadsheets and through use of the data hub that feeds the spoke models. We have not yet measured the impact it has on our sales ops team, but we expect that it will cut at least a half day from central sales ops and hours of time across multiple regional sales ops teams each week.

Scalability

It's going to handle most of what you can throw at it. The problem lies in the sparsity of some datasets. When you have over 5ish dimensions of sparse data, the size of the model gets bloated for not much value. In several cases, I have had to adapt my model to account for sparsity in a way that minimized use of space, but also made interacting with the data more cumbersome.

  • Workforce Planning efficiency - so much easier than excel to maintain sensitive information planning
  • Long range plan lead time - the old excel model took weeks to update. The Anaplan model takes hours

  • Increased sales ops efficiency: Reduces processing time allowing sales ops to concentrate on other tasks, reduces errors dramatically and faster roll out of new plans/plan changes to the reps. Management will be happy to know they can do more with less in regards to staff.
  • Increased productivity from sales reps: Ease of access and review of commission/bonus/MBO results, drill down to transaction order data answering many of their questions without the need to call sales ops. Due to the ease of implementation, system flexibility and what if capabilities, a company can implement the comp plans they feel will properly motivate and monitor the success of their sales reps.
