Asana

Asana is completely customizable! I would use it for almost all of my daily, weekly and one off tasks. It does take some time to start to think in "Asana-brain" rather than in "Email-brain." Asana works best when your whole team is on board and commits to using Asana as the main mode of internal communication. While it is easy to create templates out of tasks, you can't create project templates easily, so using it as a training module, for example, is difficult

Webex Meetings

WebEx is great for business meetings where employees are located on different campuses and many of the staff work from home. This allows better collaboration on specific projects especially artifacts such as documents, spreadsheets and PowerPoint presentations. Also, we have used WebEx with third-party vendors to detail issues with their products as well as viewing potential thrd-party presentations.WebEx is not well suited for meetings with over 100+ participants. It tends to lag and too many participants make it hard to understand.

Pros

  • Asana does organizing and keeping track of tasks really well. It has smart views which allow you to see and customize a smart view for tasks such as recently completed, sort by deadline, sort by assignee etc.
  • Asana does a good job of allowing people to collaborate. The fact that I can comment and ask question on other people's task is very helpful to me. This removes the need of multiple emails in a way that everyone in the organization or part of the team can see it. Being able to add attachment is also really helpful.
  • Asana does an incredible job of setting privacy and securing my tasks such that tasks in one team of the organization cannot be viewed by others. I can decide to make it publis or private. This is very useful as it allows me to keep tasks secure and effective at the same time.

Cons

  • If you don't have a champion, the tool won't be used. Just like a shared drive, it has to be kept clean and organized or no one will use it.
  • No Gantt chart functionality.
  • Printing customization doesn't exist - i.e. doesn't show sub-tasks.

  • During our initial deployment we had difficulty installing the client on systems which already had a previous version of WebEx installed. There was no WebEx cleanup utility that worked properly which forced us to write our own to clean previous versions off of systems prior to installing a new client.
  • The WebEx client and server tends to update very frequently which introduced difficulty during our initial deployment. This was especially true with our associates who do not have admin rights on their PC.
  • Technical support during the packaging and deployment stage of our implementation could have been a bit better. We ended up creating our own solutions and resolving issues frequently where WebEx was not able to.

Asana is adding more useful features and it makes the work of their entire team more organized and more efficient. It really helps us in achieving greater achievements as a team. It helps us to earn more revenue since we have more satisfied clients, simply because we are able to finish their project on time or even before the due date.

I think it’s very easy to use and serves its purpose well. Most first time users are able to login quickly to webinars and understand the flow of the presentations.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

I did not implement it, only used it, so I can't really comment on how it was implemented.

Alternatives Considered

Outlook Outlook can track tasks. However, it's not very collaborative; you can send tasks to other people but you can see what them after that. This feature as part of Outlook was a disaster. The only benefit that currently exists is that it was free; it never really fit in with what we wanted.Wunderlist When we looked at this, it was a better application for tasks than Outlook. However, it still was really hard to use as a team (it seemed better suited for an individual). It was simpler to use (and lacked some of the depth of objects) that was a positive but we couldn't figure out how to get the mobile app and the desktop app to sync really well. TodoTXT This was the simplest product to use. It also meant that it lacked all the nice features of the other application.

WebEx Meetings and GoToMeeting are both great resources for businesses that need to hold web meetings and share content with attendees during the call. I've used both and don't notice too many differences between the two. They are both easy to use and provide multiple features and functionalities to presenters that improve meeting flow and design

Return on Investment

  • Based on stakeholder feedback, Asana has been an effective way to help them organize their business. It has become a critical tool for their task management and scaling their business processes across the team.

  • We had a lot of upset employees and clients when we implemented another solution that turned out to not function as well as they were used to with WebEx.
  • We have a much higher rate of participation in online training classes with WebEx.
