Cvent Event Management has streamlined our processes, allowing a small staff to manage our events effortlessly. From event set-up through feedback, the software integrates all elements, reducing duplication of effort. Our contact database tracks our membership, allowing us to charge the appropriate registration cost and send event emails based on registration type. Using the Attendee Hub App, we have eliminated the paper program and communicate instantaneously with our attendees. Printing the badges onsite has allowed us to keep registration open longer and gain more attendees.
Hopin is very suitable for large events involving 100+ people where there are only a couple of people speaking. You can have a bunch of features such as networking and all in all, is quite a professional experience to use. For smaller groups, It takes too much effort to set up and isn't worth using over Google Meet or Zoom.
Allowing more in depth paths for registration questions (i.e. drill-down questions as needed)
Hotel widget does not model in a user-friendly way, allowing for customer confusion and cumbersome work-arounds
Flex Email customization widgets need to integrate into the emails more smoothly and be able to customize to have the same look, feel, font of the written text. At this time it does not allow for the same level of customization.
The biggest hangup we've encountered is from guest speakers who need to join us on either tablets or smartphones. Hopin doesn't play well with mobile devices for onscreen guests.
I'd like to see the broadcasts in vendor booths be recordable in the way broadcasts in the sessions or on the stage are.
We are very pleased with the features that Cvent gives us. The ease of use and the immediate support when something does stump us. Cvent provides us with everything that we need to run a successful event. The only reason I did not Rate Cvent as a 10 is the cost

I'm a pretty tech-savvy person but I still feel that Hopin was pretty user-friendly even for those of you who are less tech-savvy. Great thing is, you can play around and test the platform with the free version which allows you to get familiar with it before committing to the paid. I learned most of it on the free version which then made me more confident when deciding to use the paid version. Not only did it help me on the setup side, but it also proved to me that this was what we needed to do what we needed to do.
Cvent does go down pretty frequently. And while it often doesn't impact day to day use usually, if it does go down at the wrong time, you may not be able to access very important event information when you need it. Usually outages do not last very long, but it could still be a very bad situation if this happens at the wrong moment
I have very rarely needed support, but when I did, it seemed that there was an underlying push for a webinar, training session, or multiple phone calls. If I have a question or a need, that should be addressed nothing else.
For the most part you're able to get a response from a support person within a few minutes, but there was a stretch when Hopin was reshuffling its staff that it sometimes took 24-48 hours, which is too long. However, as long as the staff remains stable - which seems likely - then its Support team is usually quite responsive.
Our on-site trainer was very knowledgeable in the product and gave us very important pointers on best practices and how to perform tasks in the simplest manner
It would have been nice during implementation if we had received more pointers on how to organize our parked report folders, libraries, etc. to avoid the mess we find ourselves in today. If we had known ahead of time the limitations we could have planned better.
Eventbrite is not able to handle the complex registration forms that Cvent can. It does not collect as much information, cannot produce the save level of reports, and does not allow for multi-leveled and/or multiple registration types within one form. Being able to offer, and compare, those is vital to determining our ROI and event planning efforts. Additionally, Eventbrite does not provide as many customizable options or branding opportunities.
We were with a company before Hopin - we explored elsewhere due to cost. Pros were design and custom look. We moved to Hopin, it was innovative at the time, although the design wasn't strong the features were. The majority now have the same features. So we did leave Hopin for another platform again because we wanted a custom look, and we were preparing for hybrid. Hopin wasn't ready. We soon realised other platforms we came across are complex, difficult to use. We left and came back to Hopin.
Without Hopin, it would have been impossible to host an event at the scale and user interface that we did, with the staff limitations we have. Hopin enabled us to execute a very high standard with limited resources. For example, before Hopin, we could only attract about 100-200 attendees. With Hopin, we 3x our registrations and attendees.
The data collected from their system on attendees allows us to more accurately speak to our target market based on their tracked habits during the event.
