What is SharePoint?

MS SharePoint / SQL refers to Microsoft Sharepoint, a web-based collaborative platform, being used in tandem with Microsoft SQL Server to provide business intelligence analytics and reporting. They can provide BI content such as data connections, reports, scorecards, dashboards, and more.

With Sharepoint, users can share files, data, news, and resources. Sites can be customized to streamline teams’ work. Team members can collaborate inside and outside the organization, across PCs, Macs, and mobile devices.

Sharepoint also supports the ability to discover data, expertise, and insights to inform decisions and guide action. SharePoint’s content management features, along with connections and conversations surfaced in Yammer, enable organizations to maximize their velocity of knowledge.

Users can also accelerate productivity by transforming processes—from tasks like notifications and approvals to operational workflows. With SharePoint lists and libraries, Microsoft Flow, and PowerApps, they can create digital experiences with forms, workflows, and custom apps for every device.

MS Sharepoint is being used by our entire organization, every department. With MS Sharepoint we can integrate with MS Excel, and with Office 365, so as I do my projects in MS Excel I can share them in MS Sharepoint. The good thing about MS Sharepoint is that all the data is uploaded to the cloud through the internet portal, so anyone with authorization can access anytime. Furthermore, as I work with VBA and MS Excel, there are some projects that I need to upload a series of files to the cloud, and MS Sharepoint gives me that possibility.
  • With MS Sharepoint you can share (in my case) projects, initiative trackers, with ID and the information I need to start my developing.
  • It offers cloud acaccessibility, so you do not need to maintain your documents on your hard drive.
  • It allows Office 365 integration, which for me is really great. Using MS Excel and MS Sharepoint.
  • If you are going to implement its intranet system, you may have some problems, Microsoft actually discourages that from happening.
  • Sometime if you need to search, it requires a lot of internal customization.
  • Social networking is separated from the rest of the intranet.
  • Sometimes when you need to upload a great number of files, it becomes slow, and even some files do not upload, so you need to upload them manually.
MS Sharepoint is well suited in situations where you need to share files and directories with other people in your company. MS Sharepoint can upload file to the cloud, so if you do not have many space in hard drive it will be good to reduced your hard drive used, uploading files to MS Sharepoint. People can access MS Sharepoint anytime and anywhere, they just need the right permission.

We are using SharePoint as a repository to store all the documents, emails, presentations, project data, and financial documents. Also for scheduling calendar events. We have also designed a dashboard in SharePoint which connects to other applications like New Relic to pull the graphs and stats of the application. It helped us to solve the problem of maintaining a document centrally and also helped with applying security levela as required.

SharePoint is used by my entire organization. Its tools and scalability allow all our sites across the world to communicate and increase efficiency, which is hard given our sizable footprint. A team in Oregon needs to be using the same processes and information as the team in New York, and SharePoint allows us to do this. From easily making personalized websites for each team to use, to making wikis with information that all teams can access, SharePoint has been a time and lifesaver.
  • User interface. I went from knowing nothing about SharePoint, to being a site leader managing 12 different sites and multiple subsites. It's really intuitive, easy to work out, and there are tons of materials and how-to's out there if you want to go deeper
  • Speed. A website is no good if it takes a year and a day to load. I'm able to speed through both the web part building process and general use as fast as my mouse can click, regardless of where the servers are located
  • Stability. SharePoint is very stable, not crashing under my experience. Of course, it's important to ensure updates are installed but other than that, I was able to guess and check many aspects of how to operate SharePoint without crashing anything.
  • Sometimes it's a little hard to know where to go if you want to do a particular action, and SharePoint has its own "language." It's not computer language like C++ or anything, but you do have to learn what SharePoint calls a site, a subsite, a web part, etc. Without that vernacular, it's a much steeper learning curve.
  • It can be a little hard to figure out the lists' functionality. We've run into situations where a list will max out on how much info it can hold, and the process for increasing that limit or moving the data to a different kind of list is not straightforward.
  • There are currently several design choices, but they're somewhat limited. Yes, it's supposed to be a work program, so you don't want to get too "artsy," but having the option to be a little more creative would be nice and expand the user base.
It's definitely suited for the workplace, as it has the capability to handle calendars, document libraries, wikis, and other team sharing modules. I'd say it's less suited for a creative space, such as video production or graphic design, as the customizations are fairly weak in that regard and the video player incorporation doesn't seem to be there (though that could be due to my company not buying that option).

We use SharePoint internally to manage all of our team documents, reference information, communications, etc. We recently merged with additional offices across the country and have begun to set each of those offices up with their SharePoint instances. It allows us to manage communication and information sharing across the organization nationally.

  • Sometimes file management is not as organized or robust as I'd like it to be.
  • Too easy for people to accidentally move files when operating with files synced to their desktop.
  • Search functionality in the new interface sometimes does not work as well as the traditional look.
Sharing large amounts of information quickly across interdepartmental teams works very well, although, in that same instance, file management can quickly get to be challenging. We have not yet found a quick and easy way to share emails within SharePoint folders that might be relevant to a project when it is not an option to keep those emails in Outlook. Much of what we use SharePoint for is project-based work, primarily for the storage of project documents--it's sometimes a little clunky and unwieldy to search through files.

We are using SharePoint as our internal intranet solution, it hosts a large number of corporate documents. We also use it for team collaboration, project collaboration and as a central repository for team information. Our corporate news and applications are all linked through the intranet and it also hosts electronic forms and workflows.

SharePoint is being used for data transfers and maintaining control on permissions to all users. It is used department-wise based on the client's project.
Previously we were using FTP but SharePoint is easier when compared to FTP and we can give control to the client also for their review and monitoring.

MS SharePoint is our organization-wide document repository. With a dispersed company workforce, it was essential that we used a cloud-based program for organizing and sharing all our documents. We stored procedures, released CAD prints, test reports, projections, bills of materials, and all other company-wide documents on SharePoint.

  • The ability to "boot" a user from a document to seize control.
  • Messaging users that they are locking a document without editing for a long period of time.
SharePoint doesn't feel as secure as it should, and document control isn't as granular as it could be, but SharePoint is appropriate to use as a cloud-based document repository. Active editing and shared editing would be better done on a server like Google Drive.

We are using SharePoint as a means to publish a form and capture entered information so that it can be further reviewed and stored. We are currently using this for just our field forms, but if all goes well we would then implement this method of data capture in other ways as well.
  • Very familiar interface, similar to all other Microsoft screens we already know.
  • Allows for a very high level of customization in the look and feel of what the users see.
  • Integrates well with other Microsoft products for storage and interfacing between files.
  • Does not do so well with images/pictures.
  • Navigation can be confusing at times.
  • Does not include a native backup function.
SharePoint can be used for a wide variety of things, from internal document sharing to externally accessed client sites. The one thing I know is that if you stay within what it was designed for you are better off. When you try to stretch the product to do more creative things outside of what it was intended for, then you can run into troubles trying to keep it all working properly.

SharePoint, when it was rolled out several years ago, was in replacement for Atlassian's Confluence. It is intended to be used by the whole organization, and was the de-facto tool for collaboration. There were a wide variety of uses for SharePoint. Teams were managing their own SharePoint sites to share internal information to the team, educate external teams, and make project-specific sites where all documentation and discussions related to a specific site were stored. Much more than a document repository, we have been using SharePoint as public and private wikis, calendar sharing, and data collection through generated forms for input.
  • Simple to use and learn the basics.
  • Lots of customization options if you require advanced features.
  • Tight integration with Microsoft software -- Excel data can be converted to charts, Outlook calendars.
  • Searching with a site is decent, as it will return results within documents such as Word uploaded in the repository.
  • The way permissions are configured can be difficult to control. I have seen permissions granted accidentally and give access to areas where they should not be.
  • Images for wiki pages are more difficult than necessary, as it requires you to first upload an image first before linking to it. It should work similarly to OneNote, where you can simply paste the image in.
  • Maintaining document folder structures is difficult. While there's a Windows Explorer-like function, it's not obvious where it can be found.
SharePoint is a powerful tool and has lots of advanced functionalities, but the learning curve for those advanced capabilities are not fully utilized when rolled out to the general user community in an organization as large as ours. I would say that in an organization as large as ours, the vast majority of the population is using 20% of the functionality. SharePoint could do a better job of simplifying the interface, catering to these beginner users. Confluence/Google have done a better job in this area. Because of this complex interface, most users view SharePoint as a document repository and only use it as such.

Let's talk about the ability to customize websites and gather information all in one spot! Yes, we use SharePoint and it has been very beneficial as our teams are able to create, compile, and communicate with ease on one site. A strong feature is that you are able to use it from almost every device (handheld, tablet or desktop). Since it is a Microsoft product all of our documents and the extension files have absolutely no issues uploading or keeping their format.
  • Files can easily be uploaded.
  • The extension files do not need to be modified.
  • It can be used by most devices.
  • Formatting stays the same.
  • Troubleshooting is not the easiest.
  • Tech support tries to get you to upgrade.
  • You need to know what you are trying to do (simple users will get lost).
For me, the system flows easily and I am able to create and publish quickly. For new users and people who have basic computer/IT knowledge, it has been a struggle to get them to adapt. If you take the time to learn MS or O365 you will be able to cross this program and be successful in creation and implementation.

We use MS SharePoint across our whole organization. MS SharePoint allows us to collaborate within our district in an efficient manner and keeps everything organized and neat, making it easy for others to access. MS SharePoint allows users to make changes quickly and easily and the auto-saving features make getting interrupted while working not so bothersome because you don't lose your work while dealing with another situation.
  • MS SharePoint allows our users to be in constant communication, making time more efficient. We don't have to wait for an email or hope an email isn't ignored.
  • MS SharePoint allows us to store all our files/folders in one convenient location, making it easier to find important information and to be able to collaborate and make changes all in one place.
  • MS SharePoint gives us better amounts of storage than other services, and tracks the changes of the documents, making it quicker and easier to collaborate on the creation of documents.
  • MS SharePoint sometimes can be confusing, because of the Teams vs. Sites. We have a lot of hats we wear and when we have to search through Sites when it should be stored in Teams, it can get confusing when you are in a rush.
  • We have seen some usability problems with MS SharePoint from time to time. If the backside is down, then accessing documents is not possible and this leads to frustration and downtime for our users. This isn't a regular occurrence but is frustrating when you collaborate and are unable to access the documents.
  • Searching with MS SharePoint isn't ideal. It can be difficult to find files, it would be wonderful if the search feature worked across all of SharePoint.
It is well suited for collaboration; it is well-suited to tracking changes in the documents/folders. It is not well suited for easy searching, so being careful how you set up your folders and files is necessary for ease of finding items when you need them.

MS SharePoint is being used by our department and many other departments. It is an excellent portal to share and save documents. It acts as a single platform to manage projects and keep all data live with the offshore teams. Data can also be made secure and can be integrated with a lot of other software to get more analytics.
  • SharePoint helps users store data for the long term and view it offline.
  • It can integrate with QC and other software to get more data.
  • SharePoint can be used for project management, reporting, and document storage.
  • Integration with other software is not very creative. It can be improved greatly so that reports and data could be more crisp.
  • The portal is not very smooth. It can be hosted over the intranet, but the speed and intuitiveness can be improved.
  • Mobile support is lacking -- pages are not responsive.
It is excellent software and very useful for project management, document uploading, sign-offs with multiple teams, and managing a repository. One of the areas where we would like to expand would be to get more integration with quality software to bring in real-time reporting. Excels with complex macros also cannot be used as easily inside SharePoint as they can be otherwise.

Simplifies collaboration. All files can be added to the document library through drag-and-drop, copying files into a synced folder on your desktop, or by using various Office apps on desktop or mobile devices. Keeping a log of who made edits and letting you download previous editions of your document to review changes or return to a previous revision. This allows collaborators to share information, save time and resources from your computer or mobile.

  • Save multiples versions of files, change controls performed by each person.
  • Protection for the relevant documents allows us to export them to present them by other means.
  • By using Flow, you can send approval requests when documents are loaded to a library, integrate with forms to route information to the appropriate person.
  • Pricing is dependent on the deployment model chosen: on-premise, subscription, and hybrid.
  • Unfortunately, due to the high cost of introducing a SharePoint based solution, deployment often takes many months or years.
  • It requires advanced technical skills to develop and manage.
SharePoint offers a variety of functionality, it can be built to integrate with existing business systems such as a CRM or ERP system. This makes access to information easier when connecting data from different systems. MS SharePoint provides the building blocks for multiple types of enterprise solutions such as an intranet, portal, document manager, or collaboration workspace.

MS SharePoint is used by the entire organization to basically get messages out internally and improve communication. It is a very large company with several different working shifts, so getting announcements out to all employees can be a real challenge. It definitely met and exceeded its purpose. This worked well because employees sit at a desk for a majority of their working time and are required to check it daily.

  • Secure.
  • There is always room for improvement. Although it is easy to use, it could always be simpler.
  • Would be nice to be able to log in from anywhere, not just on company computers. That may be something the employing company set up though.
We used it for sharing information within a large company. Information was well organized and easy to find. It wouldn't be necessary for a smaller company. For example, we used it for sharing messages, as well as SOP's, so everyone in the company was on the same page when dealing with customers.

MS SharePoint is being used across the entire organization and across all functional teams on all levels. It solves tons of business problems for us, mainly things related to project collaboration, scope and schedule, sharing documents and information (both public information and private/confidential). We lock down secure sites if needed and most recently we have created public SharePoint portals for different teams that need a place to store their work, projects, etc.
  • We are able to upload information and documents from secure sites to SharePoint. It's a strength because some things need to be behind lock and key related to personally identifiable information, employee relations, executives, etc.
  • It allows for the sharing and collaboration on projects that involve multiple teams and functional groups. This a strength because it can eliminate meetings (virtual or in-person), massive email attachments, etc.
  • It gives different teams a dedicated space for their work, documents, and project schedules.
  • The user interface and methods on how to customize access and layout are rather cumbersome and complicated. We had to hire a dedicated SharePoint technology specialist to do just the most basic things in SharePoint.
  • Certain commands and tasks that should be easy are pretty complicated. I feel like it could be more user-friendly.
  • Some of the security measures and audits seem like they could be stronger and more locked down.
It's suited for larger organizations that have the resources and infrastructure to support a system like this. It's also good for companies that have many functional teams that constantly work together and collaborate. As a one-off, it seems like it's good for a marketing firm or creative type agency. Some of the tasks and commands go hand in hand with how the system functions.

MS SharePoint is currently used as our intranet as a way to collaborate within and across units. It's available to everyone, but only power users are really using it. It has been used successfully as a document repository, and in a small way as a workflow management system with form routing. It's currently seen something we have, but don't really know how to use to its full potential.
  • Coming bundled with other office products is really nice. Most people are going to need Outlook, Word, Excel - having access to SharePoint is nice to get with our site license.
  • SharePoint is powerful. It can do a lot of things, and we haven't really even started to understand how it can be used.
  • They've redesigned recently to make it easier to get started. You can make pages and add parts to the pages really easily. Going deeper takes a lot of trial and error.
  • It's hard to know what all SharePoint does, or what it really excels at. People still use e-mail as their primary communication tool. They share OneDrive folders for document repositories. They keep notes in OneNote. SharePoint facilitates these tools but doesn't really add much direct value. Teams and Planner offer scaled-down versions that will probably see greater use because they are more focused.
  • SharePoint is intimidating to get started with. There are a lot of settings and no clear entry point. Creating a new page and linking to that page is frustratingly difficult. Integration with other tools requires certain licenses and this isn't obvious. Permissions are confusing.
  • SharePoint looks better now, but design is still lacking especially when you start getting behind the scenes.
It's well suited for a project site that people need to post documents to. It's really great if it's set up by someone else, and then just updated little by little. It's less appropriate for a place for people to discuss ideas or 'hang out'. Other tools, such as Slack or Teams are much better suited for this purpose. SharePoint is better at archiving structured information.

It addresses the problem of having multiple templates for the same type of document and allows for consistency throughout our organization.

MS Sharepoint replaced our team's Google Drive/Drop Box. It became the web-based app to manage and host our collective work on our documents and to help us to work in collaboration. Since it is part of the Microsoft suite, it worked with other Office products for productivity, which as a team we all already used.

SharePoint is used as the core repository for both business and project documentation. This includes high volumes of documentation as well as electronic forms and workflows. We automate the creation of projects and the taxonomy associated with those projects to provide a common platform that is largely consistent across the company.
  • A strong user interface that is easy to use and learn. This reduces the learning curve and alleviates support load.
  • Provides flexibility for us to configure custom pages and forms without the need for development.
  • Has a great ecosystem of skilled resources which are available to us when we need specific expertise or talents.
  • SharePoint's handling of large files is poor and presents challenges in our Project environment
  • Handling of large volumes of files associated to a single project is very poor and there are limited options to improve this.
  • Performance when accessing and downloading files can be poor and there are limited options for caching and other methods to improve this.
Lower volumes of data where there is heavy user access to that data are well supported.
The rapid development of sites and forms for specific purposes is excellent.
Integration with business workflows can be very strong

We are using MS SharePoint mainly as a document management system. We are using it in the whole organization and it helps very much to exchange and work on the same documents-- this version is very helpful when you work on agreements or any other documents where more than one person edits and has to verify the changes of the other persons

MS SharePoint has lots of capability and can be a great tool if you commit to using it to its full potential. Works well with multiple office locations and departments, but is probably not as needed for small businesses.

As a multinational education organization with offices in Cardiff, Singapore, the Hague, and Washington DC, we use Sharepoint to share and update meeting agendas, collaborate on projects, to track issues and bugs for our IT department and shared systems, and to create and edit process documents that are accessible from anywhere in the world.
  • Access, edit, or update shared documents from any computer connected to the internet.
  • Access version histories to revert to previous state from unwanted edits
  • Easy to navigate between multiple projects and notebooks
  • Implementation and the initial training was difficult across divided offices scattered around the globe.
  • Not the best functionality in editing from mobile devices and phones
  • Slow to sync with the latest versions and edits when accessing from non-office networks.
MS SharePoint is great for organizations with global offices or stakeholders who regularly collaborate on projects through video and online meetings, or through shared projects. Works well if all offices have similar relationship and familiarity with the MS suite of products. Definitely requires assistance from a professional to implement across your organization.

Sharepoint enables us to monitor, collect and analyze critical business data from desktops, smartphones or any Internet-enabled devices in order to achieve an accurate view of business operations.
  • Extremely convenient to collaborate effectively by setting up websites for sharing information related to projects.
  • Enables users to manage documents with interactive dashboards and graphs to analyze organizational needs.
  • Easy to customize, providing options to edit components and create your own custom applications to suit your organization.
  • Simple and well integrated tool providing data integrity from unauthorized use.
  • Some times the application freezes and locks up. However, this could be due to the network configuration from my organizations end.
  • Excessive features can sometimes be overwhelming and difficult to locate.
  • Loading the calendars is sometimes slow and freezes. Also configuring security is slightly complicated unless you are a SharePoint developer.
Extremely well suited when interacting with a large audience. Easy to build a portal and customize for each set of users. Not well suited when speed is of the essence. Sometimes loading the calendars is pretty slow.

SharePoint is used to house company documents and policies. Departmental pages are used for documents pertaining to that department. Users within departments are responsible for the management of the content within their pages. Common links are also on the page for easy access to outside vendors/references for our users. Departmental calendars are also maintained in SharePoint.
  • Departmental calendars are great. We post individual events as well as product upgrades/outages. Nice to be able to see it all in a glance.
  • Managing departmental documents is easy and keeps everything in one place for organizational purposes.
  • Shared documents such as HR policies works well so all employees have easy access to them.
  • Security and management can sometimes be cumbersome.
  • Requires training for configuration upkeep.
  • Expensive solution.
Central repository for all company data to be shared with employees. Can also restrict areas if not all employees should be allowed to view confidential data. Setting up any kind of workflow or anything other than storing documents in SharePoint can be complicated and time-consuming. If you don't have training and several staff to manage SharePoint, it can be difficult.
