We use it to book rooms for general meetings with clients or our colleagues.
  • The UI is relatively easy to use.
  • I like that Robin is fully integrated with all our rooms; we can see into different levels, not just our own level.
  • Cancelling out my reservation for the room if I miss the mark on check in.
  • Not sure if it's a bug, but sometimes I have to repeat my reservation if I don't get it confirmed or have a notification of confirmation the first time.
I think it is very well suited for any organization that requires a booking system for limited spaces, such as meeting rooms or desks, if the company runs a hybrid work/hot desk situation.
  • It definitely made it a lot easier to organize where free rooms were if we were not aware of any rooms on other floors.
Sometimes, the app would disappear after I had downloaded it onto my Outlook taskbar.
Yes, as mentioned previously, we were able to find meeting rooms easily for any regular or ad-hoc meetings with clients.

well suited when needing to find and book space urgently
is clear as to when and how long someone has the space for to avoid overlap

It was rolled out across all our agencies at one time. It took time for people to begin using Robin only and stop using the old system. When connecting it to Microsoft Outlook, it initially took a number of steps that required a lot of help
We can now easily see if space is available on other floors and whether those can suit our needs when meeting rooms on our floor are booked
Robin seems to do a good job and is better than manual room logistic

We are in a multi-level building with shared meeting rooms. Robin is used to book these meeting rooms in advance or in an as-needed arrangement. Tablets are set up outside the meeting rooms to show the status and the online dashboard allows individuals to book and control their meeting requirements.

Robin works great in a multi-level, multi-tenancy environment.
  • It allows our staff to plan which rooms to use in advance
I wasn't involved with the implementation, but I hear it was painless and easy to set up.
We know which meeting rooms are available and when. It helps us see where capacity is on specific days.
I don't recall names of others we have been exposed to. Robin works best.

Every business function uses Robin for booking meeting rooms in our building. It helps keep us organised and is simple to use - even our developers can use it ;) From Management, to Marketing, to Sales, to HR, to our interns - we all use Robin.
The community we are in (2,000 people across 14 buildings) use Robin. Our team doesn't have anyone speciic to look at Robin, but I suggest less than .3 of a person is required to manage Robin.
  • Saving time - no need to hunt down a meeting room, we know where to go
  • Being organised - I can plan my day out and know which meetings I need to attend and where I need to.
  • We can find a room for last minute meetings without having to wander the building.
  • If a meeting finishes early, we can free up the meeting room by pushing END.
  • The larger meeting rooms can be saved for group sessions
  • We only use it for booking meeting rooms. I don't know what else we may use it for.
It is easy to use and gives us all we need.

Our organization uses Robin mostly for meeting room bookings - it secures that we will have the meeting rooms we need at the times we need them; even if last minute. It's great that we can schedule these far ahead so we can be sure we'll have the rooms we need without scramble, but even if last minute I love being able to see what rooms are available at a glance with the map feature.

  • The time option being more apparent/prompting to select ASAP when entering site - sometimes I accidentally am looking at desks/meeting rooms for the wrong time/time period because of this and waste time
  • Option to block calendar or not (or make this feature more obvious)
  • Book on behalf of a team more easily, or hand off to someone (book on behalf)
There is an option in our office to use a tablet outside of a meeting room to book a room (which is red when booked, green when not), and not sure if this is a Robin integration, but it would be great if there was a yellow for when there is 5 minutes left of a meeting. That being said, while this is super helpful, I see coworkers running around the office looking for a "green" room; and recommend they just use the Robin web app to avoid all the running around since they can view and book almost instantly!

Not applicable in this case - this was a process with our parent company that I am unaware of. That being said, I once needed to email to implement a change in our company name on the map, and the customer service was so quick in both response and implementation.
More productive - We save time emailing to book meeting rooms, worrying about "snagging" a desk or meeting room, wondering around the office looking for a desk/meeting room. Also, rather than sending comms to share where a meeting room is, what time, etc. to a colleague (or multiple), you can add them right in the booking.
N/A - Our parent company decided on implementing Robin above all other alternative applications, and I am personably unaware of any alternatives. And though there are some minor changes I may suggest, the integration and simplicity of Robin makes me wonder if there could be a better alternative, regardless.
