Overall Satisfaction with ADP Workforce Now
ADP Workforce Now is currently used as our database for employee retention, for payroll purposes utilizing time and attendance, and for recruiting/onboarding. Our entire organization is using it, at a management level as well as employee level. It is being used by our different branches across the United States.
Pros
- One login point for everything. This is a fantastic feature for managers so the workflow is more streamlined. Time can be used more efficiently. And there are fewer passwords, sites, etc. to remember.
- Reporting is excellent. We love the Field Grabber reporting tool available.
Cons
- The hire/rehire process seems more cumbersome than it needs to be. I like the features that it offers but it seems hard to get back to reviewing a candidate has completed all necessary paperwork and can be transitioned to an employee.
- I wish that, when a payroll period is completed and payroll is submitted for it, the new pay cycle and pay period in time and attendance would automatically role to the new cycle/period.
- Workflow is far easier than our previous payroll system. It saves our managers time and has created more opportunities for them to be more detailed in their completion of tasks.
- Is is far more cost effective than some of the payroll options available.

ADP Workforce Now has allowed us to integrate with our 401k administrator and fully automate that system. There was a little hiccup when the ER Employer Match Safe Harbor calculations were not accurate. When this was brought to the attention of the implementation team, they quickly worked to correct it and worked with me to make sure it was corrected with our 401k administrator by providing reports and instructions. The IIF file implementation for QuickBooks was streamlined. The support was awesome! After our implementation was complete, we upgraded to a newer version of QuickBooks which created an issue with the IIF files being recognized. Once again, when the implementation team was asked, they immediately helped me correct how the IIF files were generated from ADP Workforce Now.
Paycom has a lot of functionality and ease of use for one point of access and maneuverability to different tasks. But Paycom is not cost-effective at all. I have done one implementation with Paycom and the salesperson promised the moon but wasn't able to deliver most of what was promised. This created a lot of user issues when going live.
Heartland Payroll is very cumbersome to use from an employee level as well as the administrative level. Each aspect of their system is handled by different departments that don't communicate and cannot be accessed by one point of access. This system did not work well for our company's needs or for companies that have a large number of employees.

COVID-19 Response
ADP did not seem to skip a beat with payroll processing or reporting during COVID-19. The support setup changed from being able to contact and work with a dedicated specialist familiar with our account to an online support queue that is not an exceptional feature for their otherwise well working system.
I will say that even when their reps were working remotely due to COVID-19, although it took a little longer to get in contact with someone, they were still helpful and knowledgeable.

We did not have a need to utilize the return to work plan through ADP. However, the reporting provided to assist with PPP loans and PPP loan forgiveness has been very helpful.

Yes, we have been able to get more employees registered recently to access their W-2's since their addresses changed or the paper copies were lost in the mail. We also have new hires that use their phones to complete the onboarding paperwork.

195 - There are approximately 15-20 people that use ADP Workforce Now at a management level. The remaining employees use ADP Workforce Now to review their pay history and update their personal information.
1 - The initiative is the first and foremost skill/trait needed to be able to use ADP Workforce Now or any payroll software. Being able to get in and use the system to see how it functions. Also, knowing how your business functions from a staffing perspective are crucial to knowing how ADP Workforce Now will impact your business and your manager's abilities to care for their teams.

Evaluating ADP Workforce Now and Competitors
Yes - We were using Heartland Payroll and New Hire for onboarding as well as a separate time & attendance collection database. Using different platforms that didn't connect with one other but having to constantly export/import data was incredibly cumbersome. The previous payroll company didn't know the law on withholding guidlines, had countless function glitches, and it was a very poor experience.

Product features and usability were high on the decision making list. But as with any business, affordability is key even when needing ease of use and functionality. ADP has a great sales team that is knowledgeable. The sales people involve team leads to confirm and/or explain how things will work. And their implementation teams are fantastic!

No, we do not purchase premium support. We pay for a monthly service that includes onboarding, recruitment, and payroll needs. I don't feel that payment for premium support should be a requirement when there is an issue with their product.
Yes - E-Verify was not working at one point with the employer side of an I-9. This issue was reported and I was told this was e-verify not ADP. I had to proceed using a paper copy rather than the digital copy.
We have also encountered issues with the IP Address set up connected with Time & Attendance. This feature when set up will allow an employee to punch in/out from their personal profile unless they are attached the IP Address set up for the worksite. Which means that if you have employees that are registered with ADP and this feature is not set up they can log in and punch in/out anywhere, anytime that they want. If this feature is set up the employee can't even view their timecard or review their hours unless they are connected to the IP Address set up for the worksite. I think this feature needs some work.

At one of our first payrolls, we had one of our locations that didn't get the check packet delivered to their location. When I reached out to ADP Workforce Now to ask for tracking information, they immediately responded. They reached out to the carrier who said they could reattempt delivery the next day. This wasn't going to work because the day the location informed us of missing the check packet was pay day. ADP Workforce Now reached back out to the carrier and let them know this was not acceptable and worked with the carrier to get the checks delivered that day.
