Overall Satisfaction with Webexpenses

Webexpenses is used by all staff who need to claim for cash expenses and mileage. Plus all staff who have a company credit card.
We have wanted to get the expenses online for some time now and going into a lockdown in the UK (and subsequently working from home since) increased the need for us to have a system that all staff can access at any time. It has also allowed us to go paperless for the whole expenses process.
  • Enables me as the administrator to log in as a proxy for anyone and everyone. This really helps with training issues and chasing staff for certain actions.
  • The link between mastercard and Webexpenses is brilliant for card holders. No need for them to wait for me to download the monthly statements and having it set to a daily feed enables users to add receipts as they go.
  • I think the system as a whole is very user-friendly and very intuitive. I have had minimal training on it but I am able to find my way round the system already. It is so easy to use.
  • I think that if there was a functionality where you could pre-populate recurring items (for example on the credit card) where the charges appear monthly, that would be helpful
  • On the import into Sage it would be really helpful for the credit cards to appear as CARD DESCRIPTION: EMPLOYEE DESCRIPTION - currently the only option is to have one or the other.
  • I would also like the extra ref (sage 50) or second ref (sage 200) to be utilized - I think the is an opportunity for WebEx to provide an additional filed here.
  • Allowed us to go paperless
  • The costs was very reasonable so the ROI was immediate
I think the system as a whole is very user-friendly and very intuitive. I have had minimal training on it but I am able to find my way round the system already. It is so easy to use and very easy for me to train staff that need a little extra help.
I have only had to call the support line once so far but the lady I spoke to was so friendly and was able to help me almost immediately. I would have not hesitation calling again if I needed help with the system. The wait time was minimal too so that would not put me off calling.
Yes - [Webexpenses] has helped reduce the time in finance by about 75%. The expense and credit card checking/posting work used to take me about 4 days when doing manually. We are not at full capacity yet as people are not going out and about so claims are minimal but I think the process will take me no longer than a day when activity ramps up again.

[Webexpenses] was the only system that integrated with Sage 50 and Sage 200 and that was the main reason why we went with [Webexpenses] in the end. I looked at about 3 other systems (I don't unfortunately have a note of the names) and they all offered similar functions, but they only integrated with on or the other.
[Webexpenses] is extremely suitable for our current working - all staff have been working from home for the past 11 months - so it completely negates the need for anything physical to be involved now. It has also reinforced the approval process (which sometimes was skipped if time was tight)
