Overall Satisfaction with Webexpenses

Currently we are using Webexpenses to manage our credit card expense reports. It is being used by everyone with a company credit card. Before this software, I would have to manually download all of the credit card purchases and send each person their charges in order for them to tell me how to charge them on the GL. Then I would have to spend hours taping receipts to copy paper to make it all the same size in order to scan it into our scanning software for storage. I only did all of that after I repeatedly asked for the information from the employees.
  • It adds a level for approvals that wasn't there before.
  • It allows the users to see their transactions without me having to "hide" other user transactions.
  • It provides several different report options that were not an option before.
  • When a purchase is split between different GL accounts, the receipt doesn't show up with each GL account when the reports are ran and sorted by GL. It would be nice if each line item had a corresponding receipt with it instead of having to track down whatever other account the charge was split with.
  • So far, we currently only use Webexpenses to track credit card expenses.
Webexpenses couldn't be any easier to use. Extremely user friendly and even if you get stuck on something their customer support is amazing.
I have had to contact customer support a couple of times and each time my concerns were resolved and they always had an answer for what I needed. They also follow up to guarantee that they have helped you completely and that you are satisfied.
From the manual process that we originally used, Webexpenses has saved hours worth of work and has made it easier to review claims. Before Webexpenses, we didn't even have an approval process, but that was something that we could implement with the software. It has also made a difference with how much paper we used before and even saves us money on our paper budget.
The very most important requirement that our company had was ease of use. Everyone has been able to quickly and easily learn how to navigate the software and the app. Being able to set up required fields in the beginning also allowed the accounting department to get the information they always requested but rarely got. Now the users can not even submit the claim until all of the information is provided. That frees up my time by not needing to go back and forth with the user and waiting on answers.
I actually researched several products that were similar to Webexpenses. I can't even remember their names, but I chose Webexpenses because of the ability to customize practically everything. Instead of using proper GL account names, I was able to attach slang that is used by the users to the correct GL account so the users didn't have to learn all of the GL account names.

For our company, this product is completely well suited. Most of our users are salesmen and are on the road all of the time and are rarely in the office. This allows them to immediately take a picture of a receipt and upload it before they get the opportunity to lose the receipt. The app also allows them to be able to turn their reports in on time instead of having to wait until they are in front of their PCs.
