If communicating with 30-90 agents in the virtual world, Adobe Connect definitely allows for the communication in a simplified environment. For example, f you have 30 agents taking calls, this program offers a way for agents to communicate. If questions are needed answered, the hosts have the ability to pose those questions and get answers from the group. In a smaller group, this may be a bit of overkill and may not be needed. Large groups of 75-100 would create and environment that is less appropriate as there are to many people asking questions and not receiving answers. This amount of people in one room may get lost in the confusion.

WebEx Meetings

WebEx Meetings is well suited in an environment where you would want to meet with people in different states/countries and be able to fully immerse the team in a meeting (video chat, screen sharing, etc.). This platform is very robust and might not be necessary in an environment where you simply need to get on a call with people and discuss things.

Pros

  • Rearranging of room: When hosting a large presentation (of more than 300), the room can easily be converted into a customized-room or break-out session for example with ease.
  • Preparation of Rooms: You are able to prepare a presentation before hand, where all questions can be created for a poll, notes are created for yourself, presentations uploaded and tested, and also a test of the sound. This helps to ensure that all facets are in working order and ready-to-go!
  • Switch & Assigning of roles: It is very easy to switch between presenters, assign new presenters, upgrade viewers, and so forth.
  • Multi-cam views: It is great that there can be multiple web-cams from presenters used at once. I believe the limit is 4, or at least this is the most that we have tried.
  • Emailing of Chat transcript: You can easily send yourself a copy of the chat, which goes to the registered admin of the room.

  • A single virtual WebEx meeting can technically have people at various geographical locations reducing considerable amount of time and saving business hours.
  • File attachments can be shared among various users which is a huge bonus as instantly people can check and also provide expert comments.
  • Meetings can be recorded which is extremely helpful for future use.
  • Users can create web document using the main WebEx meeting site.

Cons

  • Upload of Presentations: There seems to be a problem with the uploading of PowerPoint presentations at times. This results in multiple test, converting into PDFs, changing it up for the best results. This is because there are times when the images are lost, slides are missing or other small things.
  • Sound Issues: There have been instances where our out-of-house guest speaker has not been able to hear us (being the host). This resulted in a lot of typing back and forth between people. Also, there are times when there the is a lot of echoing in the room, so testing is absolutely recommended.
  • Reporting on Attendees: There should be a way to ensure that all email address are collected to show to the host who attended. At times, participants use fake name, abbreviations, and so forth. So this means that it can be very time consuming to review at the end. Plus, we use Marketo for the follow-up activities and Adobe does not transmit the right statuses, so this requires a manual fix at times. More time being taken.
  • New release of product features: It has taken a long time to get video recordings to be converted into MP4, which now can be done.

  • When users remotely access a virtual machine sometimes the WebEx meeting doesn't work properly and when they same link is copied back to the users physical machine it starts working fine. This does occur sometimes if not frequently but it is an issue that needs to be taken care by the company.
  • Users who are new to the product may have several questions about it's functionality and it usually resolved or explained in detail by IT admins on a day to day basis. I wish some of the functionalities were made a bit more general making it easy for non technical people to comprehend.
  • Sometimes users do get a bit confused trying to do the screen sharing (desktop).

The longer you use Adobe Connect, the longer you are likely to use it. Because you can build more and more resources over time, creating rooms that you re-use, recorded content you can repurpose, and tools that form the basis of ever increasing productivity, the more you use Connect, the more productive you become. Unlike competing products where, with every meeting you essentially start over -- setting up your resources for each meeting -- in my Connect rooms, I have highly tuned tools to accomplish my knowledge transfer goals. When I want to conduct another session - I send a link out to the appropriate room and instantly we are all focusing on getting a job done together. This ability of Adobe Connect to make you productive at an ever quickening rate is a competitive advantage

It's extremely easy to learn how to use the WebEx Meetings platform. All attendees have to do is join the meeting and then they'll see the presenters screen. Presenters just have to learn how to share their desktop, documents and videos and how to add additional presenters if need be

The ability to have most of the functionality of a full LMS at a fraction of the cost is huge. I can create manage and deploy both synchronous and asynchronous training based on the situation and all of my training is tracked through a series of easily created reports

Prices do not seem to vary much among resellers of the Adobe Connect hosted license; the only price variation you're likely to find are among the audio providers. When implementing, you may also wish to look into expanding the amount of storage you are allowed on the server to avoid any problems later on as your library of files starts to build up

Alternatives Considered

I've worked for several conferencing companies and have supported a lot of online products. I've talked a lot about what Adobe Connect does well and not so well in this review, but the customization and flexibility you get with Adobe Connect is the main reason I find it to be the best collaboration technology out there. I can completely brand and customize my meeting room to use only the features that I need. I can turn on/off any feature with a simple mouse click. I can prepapre several different layouts to quickly change the look and function of my virtual meeting room. Adobe Connect also allows developers to create functionality that doesn't come out of the box. You can create custom .swf files that are like apps for your meeting room and they add both functionality and fun into the Adobe Connect experience. Third party developers have created custom .swf files for closed captioning, rock paper scissors, Jeopardy style trivia games, countdown timers, clocks, mp3 players and much more. Adobe Connect goes way beyond just screen sharing

The user interface (UI) is very impressive, though many a times non technical staff member has questions or issues which are resolved by IT admins, but in general the UI does provide a good impression to users who start using the product. Most features are clearly highlighted on the interface. File sharing, meeting recording and attachments are one of the best features this product provides which comes extremely handy in most situations. Meetings are not just about people talking, these days one single meeting comprises of scenarios where documents are required to be looked into there and then and comments required to be made right away. People are anxious to share their desktop screens as well simultaneously make comments on it. Overall you see one meeting improves the productivity of any business set up be it small, medium or large. In an economy where businesses are trying to bucket the time of their resources I believe this product is an excellent fit as most importantly, it saves business hours.

Return on Investment

  • Positive: Creation of Video Catalogue for existing customers.
  • Helps customer retention through nurturing and providing of content that is easily catalogued.
  • Positive: Links for sales & customer service.
  • Rooms and layouts can be styled and cloned easily. This saves time and ensures that content is always available once it has been created. Definitely helps to add to the bottom line through the professionalism.
  • Negative: Use of some PowerPoint presentations and LeadGen webinars.
  • Some presentations fail and partially load for no apparent reason. Has meant that some webinars weren't as fluid as we liked and time lost to figure out the issues.
  • Negative: API with Marketo.
  • The syncing of information between AdobeConnect and Marketo is not entirely reliable. Of 100 leads, about 40 will synced, where the last 60 will have to be manually checked and converted. This means that a CSV file is pulled from Adobe and also from Marketo, where every signup is then cross verified manually. Extremely time consuming.
  • Negative: Can't use KeyNotes.
  • Means that some presentations have to be converted to ensure usage. Animations are lost and other design elements.

  • Saving Business Hours: It saves huge amount of business hours (especially in consulting environments) which can be used in various other business processes generating huge amount of revenue.
  • Employee Efficiency: Sometimes email exchanges between various consultants and clients can be extremely time consuming and can take up a lot of individual hours from each person (be it a consultant or a client) and hosting a single virtual meeting can eliminate this issue and future action items can be discussed and documented using the WebEx all in one single meeting.
  • File Sharing: File sharing as always is a huge bonus that this product provides to all users. Having the ability to share a file also saves time overall improving the quality of business.
