EmpCenter

EmpCenter is really well suited for companies with minimal variety in time keeping needs. Certainly somewhere that has fairly regular work schedules and operational needs the system would be programmed for and meet those needs quite well. I think they assert themselves as a product specifically for those more complex companies, and I believe it is one of a few products available for companies with many employee types and complex work schedule and pay needs, but because of those complexities each have their own specific customizations I feel it is difficult for the company to then manage the different products that end up existing. Each ends up being unique so applying large scale changes doesn't work well as something we may request and need if applied over EmpCenter in general may cause problems for another company. Therefore everything has to be done on an individual basis and is more time consuming and costly.

Pros

  • The interface is extremely straightforward, and our employees love the simplicity involved in requesting time off, changing direct deposit information, using various calculators, and viewing pay statements.
  • The support is excellent with knowledgeable representatives.
  • Payroll Processing is quick and accurate, easy to preview, with exception reporting capabilities that support our benefit transmittal, reconciliations, and G/L interfacing.

  • EmpCenter is accessible from many platforms, such as, web based computer interface, physical wall clock units, and smart phones and tablet products; making it convient and accessible from many different work locations and operational needs.
  • The product is customizable so it can be made to work with different needs and desires of a company. For example we have some employees who clock in and out for lunch and some who do not. We have employees who report work hours and some who only report leave time used. Being flexible in this way allows the program to address the many different employee types we pay.
  • The display is user friendly, organized and easy to follow. EmpCenter's main Dashboard screen breaks down the different activities one may want to do into catagories, time sheets are able to be displayed in three different views and printed with different information included or not depending on the users needs and wishes. Reports are available in four different print formats. Most activities are able to be customized by sorting, view type, format, etc.

Cons

  • Reporting can be somewhat challenging. You're able to build your reports and they've done a good job of streamlining the process but sometimes finding the correct code for reporting can be challenging. However, they have a team that builds custom reports for you so that's a small complaint.

  • One feature I would like to see on EmpCenter is a vacation calendar that monitors all vacation requests for all employees within a group.
  • EmpCenter is not wholly compatible with other softwares and there are occasions when time data does not properly translate.
  • Moreover, I would like EmpCenter to automatically provide timekeepers with delegations from managers. This way if a manger does not want to grant the timekeeper authority it is easier to rescind, rather than tracking down all managers to grant timekeeping privileges.

Once you get used to Workforce Now, it becomes "home." Additionally, changing databases is such a huge decision that it is unrealistic to jump from one to another.

Now that we have gone through so much time to implement the program and transition our employees to use it I don't see the university dropping it and going to another system any time soon. I think we will continue to find ways to make it work and to work around the areas that are lacking for us and work for improvments to be made as they can be.

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

EmpCenter is a new software to the company however, I only trained on the old software for a few months before EmpCenter was introduced. I think EmpCenter has a smoother data entry process and can run more in depth reports, but since this is the system I know best I cannot accurately compare it to previous software.

Return on Investment

  • Accurate, integrated Time & Attendance is by far the #1 efficiency for the organization I implemented this system for. They went from paper time sheets to having the ability to have employees enter their time via their smart phone overnight.
  • The more robust and date effective reporting allowed us to finally be able to tear into the data and ensure people were being paid correctly.
  • The prior system was a Citrix based platform that could only be ran on one computer, whereas Workforce Now is internet based, allowing me to work whenever and however I needed to.
