8x8 Virtual Office Enterprise Suite

Some of the best scenarios are working remotely. It really allows you to get everything you need out of an office phone right from your computer/cell without any need for hardware. It's not great when you've already plugged in a dialer of some sort, or software like Outreach.io that has some overlap in features (click to dial, especially).

For Insurance agencies, small practices, small call centers, anyone that need call forwarding or work with his number remotely while away from office. I can't list all the things I'm gaining as a Fonality customer. From the installation process, the configuration phase with the technicians, the account managers, every Fonality employee was professional and savvy. I was a contact center specialist for more than 10 years and I can tell you that I've never been this happy with a service! Never! Probably if you need a more complex solution and you have an enterprise level company having your own hardware gives you more control over your calls and how to manage them. But again, I think that Fonality can cover most scenarios without the need of a huge investment.

Pros

  • Managing VM
  • Caller ID
  • Virtual TXT
No photo available
  • Call queues: ring different departments in different ways, like round robin vs. all ring.
  • Multiple devices: phone, soft phone or cell phone
  • Ability to connect with a CRM: although this really only works with Salesforce, the concept is good.

Cons

  • Integration with Insidesales/Salesforce/Outreach/etc.
  • RAM usage could be lower
  • Cross platform?

  • Onboarding. I spent 8 hours getting our system setup with tech support. EIGHT HOURS of actual time on the phone with support. It took their support staff 7 of those hours to basically determine that my router was blocking a required port and preventing activating my system. Even after reaching out to their sales team to impress upon how frustrating this was, the sales associate helping me (Dan Halloran) offered me a measly two weeks ($35 equivalent) of free service for the time I wasted on the phone and had my own customers waiting an extra day for service. I understand a 2 or even 3 hour onboarding, but it was pretty ridiculous. Honestly, I probably would have just cancelled the service if it wasn't for the unique integration they provide with our CRM Provider.
  • Communication. During the course of signing up, Fonality called 1hr before my scheduled install because an employee had called in sick and they didn't have anybody else to help me. They were able to get another technician to help, but he was (obviously) not very knowledgeable as he wasn't able to get my system setup.
  • On another occasion, my sales rep (Dan Halloran) indicated via e-mail that he was start the porting process for me. 7 days later, I reached out to inquire about the process, and it hadn't been initiated.
  • As a third example, the rep that was finally able to get my system going (Syed Rizvi) was supposed to follow up with me on a Friday, and I never heard from him. After reaching out to him nearly 5 days later, he apologized and indicated he had been very busy.
  • Mobile App. Overall, the Mobile App (I'm using the one on Android) is great. It has it's own dialer so that I can call my clients so they see my work number instead of cell phone. But, I can't access the contacts on my phone from the app. I have to lookup a number, memorize the number and then type it into the dialer. Very minor, but would be great to see this added.

Overall excellent usability, with a few adjustments I feel this is the absolute best VoIP system out there. Just a clarification on the licences and limit the interface to reflect what licence we have. There should be a back or redunancy feature to Fonality Server, If there was a mistake we should be able to resort back to a usable state asap. Before implementing changes to the server, there should be a trial or sample of the changes to make sure it behaves as intended before effecting customer experience. It would be nice to have a demo version of Fonality interface so possible clients can truly evauluate the system. Because of the quality, it would have made it easier to convince the owners to make the transition sooner

Support has been great from start to finish. They sent me an Excel spreadsheet questionnaire on how we would like the system to behave. The tech made the initial setup very easy. We took 1 month to finalize and test the new system before we ported over our main number. All the support from technical training for the admins and user support on issues like call transfers. The system works flawlessly, but there is a learning curve to use all the benefits of Fonality

Training was excellent, but most of what they had was webinars and not real world situation for our company's need. It would be better to have them remote in my local computer and test my system using inbound / outbound calls. This would have made it easier to learn and more relevant

Everything from the installation to the implementation has been great with Fonality, there is a lot of freedom to how the system will operate but the freedom comes at a cost of more technical experience to make sure it is configured correctly. The staff is very helpful can will make sure that the system is setup correctly and work perfectly.

Alternatives Considered

I had no control over this but we are using 8x8 virtual office enterprise suite to get some of the functionality, mostly click to dial and contact handling. It's not exactly a competitor, but if you're looking for an easy way to utilize your company phone system remotely, I've had a great experience, including working from home for an entire month on it.

Fonality has the lowest cost of ownership and that is the main reason we stay with fonalty. The features are acceptable, as I said before some things could be better like the call recording is a manual process. I did not orginally choose fonality but whenever I tried to replace it the other PBX's cost more and I could not get the owner to agree to switch to another PBX

Return on Investment

  • I've reached more leads and contacts than before because I can text to set appointments

  • Due to the better call quality over our last provider, it's eliminated a lot of frustration of our customers and having to call them back from our cell phones. This has helped us keep our sanity.
  • The ability to pull up a customer record in our CRM and see customer call activity has been huge. I can see which customers call repeatedly and also use it to help track billable remote support.
  • Being able to see the status of a customer ticket AS they're calling, before we even answer the phone has been huge. I can have a customers ticket open by the time I answer the phone and be one step ahead. This has saved us a lot of time.
