ADP Totalsource is well suited for any size company. It is a functional warehouse of information and is especially handy for an HR department and a great investment. It should eliminate employees coming to you all the time with questions about their pay or other financial questions. It is also great if you are someone that switches from one company to another often because it will store all of your information for you. If you do not know about the privacy setting, that could be an issue because then others could view your personal financial information. I would not recommend purchasing if your company is incredibly small depending on how profitable your company and what industry you are in.

I think Jobvite Hire ATS is great for startups and mid size companies to use. The tool is easy to integrate and the user interface is simple to use. If you're looking to streamline your hiring process seamlessly, Jobvite does the job.

  • The prebuilt reports were excellent
  • TotalSource came with the Employee Service Center support - the best part of TS
  • The software integrated with our time keeping system which made payroll a little easier

  • Reporting tools. You can create customized reports in this ATS from candidates in your current pipelines in certain requisitions to offer declines over a past year.
  • Scheduling Tool. Jobvite integrates Google Calendar which makes it easy to schedule interviews in Jobvite itself.
  • Social Recruiting. You can easily post positions out to your LinkedIn/Facebook/Twitter network.

Cons

  • I wish that there was a feature that would allow you to do some financial planning with your money.
  • If you can't remember your password or username, it is really hard to retrieve and they always take a long time to get back to you.
  • One other con is that it is not always the easiest to navigate and sometimes you don't realize that you have gone to a different screen and then it gets you out of everything and you have to do the log in process all over. This would be more of an issue if you were using a computer instead of the mobile app.

  • Jobvite allows you to track email communication to candidates. The way they do this is to have all communication go through their email server. The pro to having it setup this way is that they can track all communication with no additional work from the client. The negative to this is that there is a LOT of room for messages to get lost, end up in peoples' spam folders, or for emails to never get to the recipient. They could be lost for several reasons but because Jobvite shows that the message was sent on their end, there is very little they can do to help you resolve the issue.
  • Very limited in customization. While Jobvite does have a lot of great features, there is not one system in the world that will work for everyone. So it's important to be able to openly integrate with other vendors that do specialize in the areas that they are not the best in and to be able to customize certain things like dashboards to fit to each individual company. I have tried to work with several vendors over the 5 years that I have used Jobvite and the one common theme I hear from those vendors is that they integrate with almost every major ATS out there except for Jobvite because Jobvite is difficult to work with. It would also be great to be able to customize our dashboards so different user roles can see only the things they need to see at a glace when logged in. Jobvite only has one dashboard for all users.
  • Reporting is lacking. There is a limit to the fields Jobvite reports on. They have a contacts tab to keep track of your pipeline of passive candidates and there is no functionality to report on any activity tied to those contacts. It's also difficult to report on simple things.

If I were to become an internal recruiter again, I would almost definitely use Jobvite. I liked the fact that we could set up any job application link on our company web site to connect directly to Jobvite. I also liked that Jobvite made employee referral easy to submit, as employee referrals tend to be the highest quality candidates. Jobvite really has all the tools a recruiter needs to get a candidate through a recruiting process quickly without anything slipping through the cracks. Even though there are a lot of features I feel can be greatly improved, I don't think there is anything on the market today that is better than Jobvite

Alternatives Considered

We use ADP simply to to track pay for employees. We really like more of the functionality of Workday as it is really easy to import org charts and track performance. The graphics and appearance of these sections are also really nice! We also use Workday to track time off as it was more popular among employees to use when we asked them to compare more options. However, ADP is much better at tracking pay and because it carries information over from previous jobs, employees really like this as well!

The only other recruiting tool I have used besides Jobvite is Maxhire. While Jobvite is an Applicant Tracking System, Maxhire is a Client Relationship Management System and used a little bit differently. Although Maxhire is more useful for me as an agency recruiter currently, I do feel that Jobvite is much easier to use. It's really difficult to compare the two as they serve different purposes

Return on Investment

  • It has helped us to keep track of various financial information for employees and this has helped our HR department.
  • We were trying to find a system that was more user-friendly and many people are able to use this pretty easily.
  • We found more cost effective methods to do absence management and goal setting because this system was too expensive and cumbersome for us.

  • I think Jobvite creates a better experience for employees within an organization overall, but not always a better experience for candidates. Often emails to candidates would go into their SPAM folders or they just didn't know how to use it properly for messaging.
  • Currently, on the agency side, submitting candidates through Jobvite has been extremely time consuming. Jobvite cannot read most PDF resumes, so in turn, I am forced to convert PDF resumes to word docs and manually type in info like names, email addresses, phone numbers, etc. It slows me down, especially when I am submitting multiple candidates for multiple roles.
  • I feel that Jobvite has helped improve communication between myself, my clients, and my candidates. Since agencies are CCed on all emails companies send to candidates, I can easily track the stage of process which my candidates are in.
