For development teams with a history of Microsoft tools alignment, Azure DevOps provides familiar patterns and interfaces. And for product management / product marketing users, the use of use of data entry and the Excel integration provide for easy on-ramps for learning and proficiency development. For teams that have used tools such as FogBugz, the boards and case layouts may take a little getting used to.

Workfront

I work on a team where each of us is separated individually from the United States. Workfront enables us to collectively collaborate on a common project setting individual goals. Project managers can invite users, send out updates and set goals to be marked as complete by individual users. Definitely an AAA+ option for global team project collaborations. Smaller projects with fewer working participants would most likely not benefit from the ROI for this product, however, if these smaller tasks are building to a larger project or your teams have multiple small projects running simultaneously then Workfront is for you as well.

  • The Excel reports provided within VSTS 2010 help provide visual information in the form of Excel pivot tables and charts that are easily tailored and modified to provide valuable feedback on burn-down slope for development, bug rates that tie to milestones, build status and quality, and other Project Management activities such as unplanned work, requirements development/progress, and backlog development.
  • We use Work Item Templates within the SharePoint server, so that we create consistent/correct work items such as Requirements, Change Requests, or Bugs that take our process requirements into account and ensure that the work items meet quality standards. We embed the text of our process within these Templates to help me (and others on the Team) make sure that our Work Items aren't missing any information, that artifacts are correctly captured, and there is accuracy in the information captured, presented, and used by the Team when reviewing, validating, baselining (with our customer), and then triaging work into an iteration.
  • The Team Project Portal allows a Project Manager (or any other Team Member) the ability to create customizable dashboards using the Excel Reports and the charts created when pulling in VSTS/TFS data related to an iteration, a build, the issues or risks associated with a project. These dashboards are fairly easy to create and provide a wide variety of widgets that can be used to present pictures, charts, lists, links, whatever you need to help the team establish a focal point for finding status, learning about milestones, sharing issues, etc. I particularly found this module useful when I was a Project Manager for several Teams and could use the dashboard to present information on our burn-down, bugs, and risks to management just by creating a useful dashboard.
  • Creating SQL Queries is very easy too, once you learn how to structure a SQL query. VSTS/TFS is essentially a database of work items that document the work planned, work in progress, what was delivered and when. You can filter the data by dates, by who the work item was assigned to, who created it, the state changes that occurred and when, and on and on. I have found the query ability enormously useful when combing through the data to find answers I need related to creating requirements, tracking tasks, determining when bugs were resolved and fixed, etc.
  • Lastly, I really like being able to export the information (in the form of Work Items) provided within a TFS database query to MS Project or MS Excel where I can filter the information, view hours assigned to each developer (to help with capacity/velocity planning), create other excel reports/charts, or plan an iteration using MS project using the tasks and hours to determine the timebox of a particular iteration.

  • We love the agile capabilities in Workfront. The tool does a great job of combining agile and traditional task management into a single tool.
  • Workfront Request Queues provide an easy way to manage and route requests ensuring that the right people see and act on requests.
  • Workfront reporting allows to automate project status reporting without having to write a separate status report. We enter project updates directly into Workfront and then use scheduled reports to deliver information to stakeholders.

  • I don't have any recommendations for improvement myself as I use the tool for specific reasons and for all my own uses, it works very well. However, I AM looking forward to the upgrade to the 2012 version because I'm excited about improved graphics tools and improvements in reports, etc.

Workfront

  • While it is nice that Workfront has ProofHQ as an added service, it would be nice if the proofing emails from ProofHQ also provided a link to the project within Workfront itself. For now, they do not and so while you can get to the proof, you can access to project to leave an update in the task, if you want.
  • In the My Work dashboard of Workfront, it would be nice if there was a way to prioritize the work by the planned completion date. At least for now, I haven't found a way to get it to prioritize it that way.
  • It would be nice if there was a global calendar that a team could view to see each other's PTO based on the information that they input in their Time-off Calendars in Workfront. We had to custom make a request queue to place approved PTO on a calendar to set something up like this. It wasn't too difficult, but it requires everyone on the team to input their time in Workfront two places: once in the request queue and again on the Time-off calendar.

I don't think our organization will stray from using VSTS/TFS as we are now looking to upgrade to the 2012 version. Since our business is software development and we want to meet the requirements of CMMI to deliver consistent and high quality software, this SDLC management tool is here to stay. In addition, our company uses a lot of Microsoft products, such as Office 365, Asp.net, etc, and since VSTS/TFS has proved itself invaluable to our own processes and is within the Microsoft family of products, we will continue to use VSTS/TFS for a long, long time.

Azure DevOps is a powerful, complex cloud application. As such there are a number of things it does great and something where there is room for improvement. One of those areas would be in usability. In my opinion it relies too much on search. There is no easy way to view all projects or to group them in a logical way. You need to search for everything.

I gave a rating of 10 on overall usability because Workfront is cloud based and very easy to use. Workfront also provides collaboration on projects which is critical to a projects success. The tool gives everyone high level visibility in their projects down to the smallest detail. Wonderful project management system, allows you to cut down on emails, meetings and no more spreadsheets for tracking your projects.

Azure DevOps has both excellent paid support from Microsoft and plentiful support online. Microsoft has plentiful sites that show step by step how to do many functions and features. The forums are well stocked with lots of useful information and there are many third-party sites that can easily be found to help out as well.

I would recommend all user's using Workfront to go through the training material provided. Have all user's practice in the Sandbox environment and have your workflow documented for the consultant before he arrives on site.

Workfront's overall scalability is able to handle increased loads of work. When using Workfront for a project management tool for the web team, we store documents, images & video's without any issues. They work with their customer's to provide the best project management system in the market today! I highly recommend Workfront for all project management needs.
