We used QuickBooks Online to integrate the accounting system into the Intuit payment system, and financial institutions bring efficiency with a speedy recording of transactions close to real-time updated financial reporting, and efficient reconciliations. It really is an amazing application.

I use QB Online Advanced daily for billing, payables, reports, etc. Our main motivation to upgrade to Advanced was due to an incident where we needed to restore a backup of files that were lost prior to a deadline vs. having to re-enter all data for that (which we did have to). That prompted the upgrade so it would never happen again.

  • For billing, I wish you could choose which options show so as not to choose "CREDIT MEMO" (for example) when needing SALES RECEIPT, etc.
  • As above, be able to tailor your various pages to reflect only the things you actually use
  • Only PURCHASE features that you actually NEED vs the entire package of everything you don't ever use.
I feel the Advanced program is excellent in many ways and very user friendly.

We use QuickBooks Online for inventory, creating orders, invoicing, billing, financial reporting and sales reporting. We needed an online service which can be used simultaneously by sales, accounting, operations and other users. We also needed integration of products and inventory available with our online ecommerce store (Shopify). QuickBooks Online provided this solution and much more. What is lacks is the ability to create sales orders which can then convert to invoices after they ship. The estimate feature is not appropriate for that.

We use QBO for all things accounting -- keeping track of our payables and receivables, producing the financial statements, bank reconciliations, etc. We do find that we need to have ancillary schedules and spreadsheets outside of QBO for more complex calculations (depreciation, cost accounting) but are able to post our journal entries in QBO and keep attachments within the system.

QBO is excellent for small companies, startups, and any general business case where the accounting is not complex or the transaction volume is reasonably low. In a manufacturing environment or a larger company with a fuller schedule of fixed assets/many transactions on a daily basis, this software would be inadequate to support all of the needed accounting functions. QBO also does not support more complicated revenue recognition schedules for service contracts, requiring manual journal entries for any accruals -- I know several ERPs allow you to program a revenue recognition plan when entering an item nowadays.

We use QuickBooks Online to track our payables and receivables; the scope of my responsibilities is to input invoices from vendors, approve them for and schedule payments, as well as reconcile all accounts for the business. QuickBooks Online makes it easy to manage these tasks by simplifying the process of creating multiple invoices, recurring invoices, recurring bills, and expense entry.

User-defined roles ensure that a person can only see what they need to see, without having access to some of the more confidential info that management may not want the user to have. It can be tailored to fit any type of business, with a little patience.

I assist my clients who use QuickBooks Online products, including Advanced. My assistance includes bank & credit card entries (using the bank feed whenever possible) monthly reconciliations, monthly-quarterly-annual reporting, troubleshooting with payroll and payroll taxes as well as sales taxes, implementing project/job costing, and correcting errors related to mis-entries by my clients as well system-generated problems. I also train clients to operate all these functions on their own.
  • Rule-driven categorization of expense transactions.
  • Good reporting for P&L, Balance Sheet, Profit by Job.
  • Ability to handle multiple locations under the same tax ID.
  • A commonly used program, such that it is reasonably easy to hire or contract people who are familiar with the system.
  • Recurring ACH & Credit card revenue transactions.
  • Repeating, reminder, and template transactions to avoid repeat entries when managed correctly.
  • Extremely slow data entry rates for all forms: invoices, sales receipts, POs, bills, bill payments, checks, and deposits. If you are heavy into data entry like this, QB desktop will run circles around QB online.
  • Need to refresh browser tabs containing reports, transactions, and reconciliations because they do not automatically update after entering or changing a transaction. This requires you to monitor the app to be sure the information it is giving you is accurate or at least makes sense after you make entries or adjustments.
  • Inadequate tablet/phone app -- very limited functions, especially for a business owner.
  • A quasi-desktop/cloud interface app for QB Online that in the past caused blue screen errors for me, requiring uninstallation.
  • Quality of support varies SIGNIFICANTLY depending on time of year, current onshore or offshore strategy of Intuit, and organization of support delivery.
  • Extremely weak support and willingness to stand by their merchant services, in one case causing a month-long delay to receive payment on a check from a regular customer who banked at the same bank as me. And the CEO's office could not resolve either.
  • Loyalty to customers and advisor networks has consistently decreased.
  • Costs continue to rise, well before our recent inflationary period, roughly doubling in about 5 to 6 years.
  • Will sell your employees' salaries to credit monitoring services without your actively taking steps to prevent.
  • "Anonymizes" your business' performance data to share with other business owners, including your competitors. It is unclear how much is shared and to what depth. You cannot opt out.
  • If you don't know what you are doing, or if your bookkeeper doesn't, you can create one helluva mess.
  • Introductory offers for product set-up and advice (from Intuit directly) are weak.
  • For implementing QBO you really need training from someone who can work directly with you on your books. This is increasingly true as you move up the ladder of product complexity/function.
  • Software look, feel, and feature changes that happen with no real notice of what is coming and its impact on your work flow.
Other than market share dominance and somewhat lead-on features, Intuit is a company that has lost its small-business focus, its customer service focus, and its partnership ethic with the many professionals who help support and recommend the product. It has seemed to place its focus on becoming an artificial intelligence leader when it should really be an artificial intelligence integrator and consumer for the sake of its customer base and professional support base. While the QuickBooks Online product line will continue to dominate the market share for the foreseeable future, it is ill-advised for an accounting/bookkeeping professional or business to rely upon Intuit. It is important to understand the growing number of available options and cultivate relationships and skills with these new products. To fail to do so will be either a disservice to yourself or to your clients.

I have used QuickBooks Online Advanced for companies where I provided CFO services and I have used it directly for clients who do their own accounting. I find it meets most business needs for most clients. My ability to go into their systems, run reports for analysis and troubleshoot is invaluable. I am able to train them easily on the software and it is reliable.

It does all basic Accounts Payable and Accounts Receiveable very well. It handles reconciling bank information and receiving credit card data very well. The ability to "memorize" where an expense goes or revenue category is is also very handy.

QuickBooks Online Advanced is utilized in the day-to-day accounting for the business. The product's seamless integration to our AP and Corporate Credit Card platforms has helped to simplify and streamline our month-end close process. Investing in this tool helped us move from outsourcing our accounting needs to managing them all in-house.

With the adoption of QuickBooks Online, we have been able to move from outsourcing our accounting needs to bringing them in-house. The platform provides a user-friendly experience that helped reduce errors that were previously common. Much of this comes from the inherent reconciliation tools which have helped to reduce errors and speed up the month-end close process. The software also integrates with AP and Credit Card platforms that we currently use with a seamless transition of data between the two.

It is a part of what we use to address clients that have complex books. It makes it easier to communicate, run customized reports, and do client training. Overall it is user-friendly and easy to get started with. Our only real issues occasionally arise when issues can only be fixed by customer service. Sometimes support is not knowledgeable.

The online capability is probably the most important part of QBOA. Accessing remotely from anywhere has been a great aspect of switching to remote work. Being able to run the books from all aspects with attachable files for documentation is a nice filing source. Payroll abilities are great, especially for the cost and tracking.

Clearly understand what you want in your books BEFORE setting it up. Offer training for customers that have not set up an account yet so that they can have a clean set of books from the beginning. Ability to close the books when inventory is off. Some way to close the financial side or each category individually verse holding up the entire close for an inventory count off.

QBO Advanced is our nonprofit's financial record-keeping solution. We have been using QBO for about 10 years and switched to Advanced in June 2020. We needed access to more users and classes for program tracking purposes. We use QBO to send invoices for programs, record donations, and track bills. Our accountant uses what we have entered to help us fill out our 990.

  • Reports are not as customizable as sometimes needed
  • Native import/export features would be great rather than having to pay for 3rd party app
  • The regular search is pretty useless, I always use the Advanced Search function
  • Memo/Description are 2 different fields but various reports use one or the other and it's very hard to remember which ones use each. This is very annoying.
This works great for small to [mid] sized businesses with somewhat normal bookkeeping needs. It can handle multiple currencies and works for nonprofits or for-profit businesses. If you need your financial information connected to your CRM (like Salesforce), QBO can be a bit of a challenge.

I am able to access client records from my office easily. The advanced version allows tracking from two different categories, ie, location, and class. It is so dumbed down that it often creates incorrect entries that need [to be corrected]. Printing things take way too many steps when compared to the desktop version.

We Use QuickBooks Online Advanced for all our bookkeeping: invoicing, paying and receiving bills, tracking profit and loss. We also use it to import and categorize all our banking transactions from our bank accounts and credit cards.
  • Invoicing: QuickBooks makes it easy to invoice customers, with recurring transactions, copying invoices to create new ones, and statements available instantly to let customers know where they stand.
  • Merged Banking: I've hooked up my bank accounts and credit card to QuickBooks and every day (or more often if you'd like), I can categorize and match transactions to make reconciling effortless.
  • Reports: I use reports often so help me with my B&O taxes for multiple states.
  • I can't get one of my credit cards to load with my account, but they do make it easy to upload transactions.
  • I'd like a quick link to go to my transactions in "send later".
  • I'd like user training videos to be easier to find.
If you do a lot of invoicing and tracking of your finances, QuickBooks is perfect for you. QBO Advanced has every function I need to pay bills, send invoices, and receive payment. I have all my banking transactions linked with QuickBooks, so I can categorize or match transactions in an instant.

We use QuickBooks Online for accounting, invoicing, and processing payments as well as other functions. QBO saves time with ease of use. Reconciling the cash accounts is made easy as the transactions are automatically downloaded from the bank's website daily. Another great function is reporting. Many reports are prebuilt and can be customized.

I am using QuickBooks Online Advanced for bookkeeping. Recording and paying bills, printing reports, communicating with the accountant, managing credit cards. My boss and other employees use it for different purposes for construction, but I have nothing to do with that part.

  • This is a very powerful program. Customer support must be top notch, and it is. Although I have talked to a few that seemed clueless--then I hang up and start over.
  • When I first started, 1 year ago, I created my own problems with no knowledge how to fix them. When calling customer support I just wanted them to take over and make everything right. I called almost daily. Agents were very patient and wanted to know if everything was corrected for fixed to may satisfaction.
  • There has to be easier access to online support, whether videos on youtube, or your own learning sessions. When a mistake is made, QuickBooks Online sometimes knows, and if a link was provided to a video or even a description, that would be great.
It is well suited when paying bills, and when [you] need specific categories to classify purchases and services. Reports feature is super! I can find any type of information that I need; however, it isn't always intuitive.
I wish that I could create my columns in reports. When I want to print on paper, landscape, the print is so darn small that even the accountant complains.

We use QuickBooks mainly for invoicing parents for their child's weekly daycare tuition. We are able to batch-invoice parents, which saves us so much time at the beginning of each semester.

  • Emails to customers are generated seamlessly, along with notices when emails fail to send.
  • Reconciling our bank accounts and credit cards put my mind at ease. I know I have entered everything correctly each month because of this function.
  • I wish there were fewer ads for QuickBooks features.
  • Custom fields can create an issue with creating batch invoices, so we don't use it.
  • I wish I could customize the payment receipt that automatically is emailed to customers.
QuickBooks is great for simple invoicing and payments to and from Vendors. I don't know where it would not be appropriate yet.

We use QuickBooks [Online Advanced] to track bills by invoices, make payments by checks, run reports and bill customers for payment. We use it in one department, between 3 people because we are a small company. It keeps our companies financial information in one place and allows us to keep track of payments and pay vendors and run accurate reports to see our sales numbers.

  • Set up invoicing to bill customers makes it easy to create and send out
  • Home page layout can get confusing to navigate
[QuickBooks Online Advanced is] well suited for a small business or sole proprietorship for the basic accounting requirements such as reports, billing, invoices and chart of accounts. We currently use an outside system for payroll so I can't rate that part of the system. It takes some time to do the training and understand the basics of a new [QuickBooks] system. [QuickBooks] is focused on accounting principles that many companies can keep financials organized and recorded accurately. Every company has different financial needs and QuickBooks may not be able to handle all the extensive needs of a particular business but the system is on point for small business accounting.

We are a small company, so QuickBooks is being used by only a few users. We required an accrual-based accounting software that two users could conduct day-day operations with and others could reference.
  • Bank Account/Credit Card linkage saves a lot of time.
  • Easy to search for many different transactions, customers or vendors.
  • Integrated bill-pay is extremely time saving.
  • Primary dashboard lacks customization abilities.
  • Like any new software, has a slight learning curve.
  • Some commonly required information can be difficult to find.
QuickBooks Online Advanced saves considerable time for organizations that [has] transactions from many different customers and vendors. Reconciliation has a different flow to it compared to other accounting software, so be prepared for a little adjustment. There are many different roles that can be defined, but this is a feature I have not utilized much. A larger company may find this setup to be a little confusing.

Being able to track project profitability has became important to our company when bidding other jobs, but also the resources that QuickBooks Online Advanced provides, such as T-sheets, has made payroll easier to process.

QuickBooks Online Advanced solves all of our accounting and financial issues. It is seamless and incredibly accurate. Very simple to use but still effective. The only complaint I would have is that syncing with other CRMs or software can bring a set of challenges but other than that, we really love it.

  • Fix problems faster.
If you have large batches of things to enter, QuickBooks Online Advanced is perfect. It can do batch invoices, bills, & expenses. This saves so much loading time as you can just continue to add expenditures instead of constantly save & close or save & new. The downside of QuickBooks Online is just that the loading time can lag, the syncing between other systems isn't perfect (but what is?) and if they are having a technical error, they take FOREVER to fix it.

I love QuickBooks Online Advanced. We are a young and scrappy startup and don't have huge accounting teams to support us at this point in time.
Having QBO Advanced helps me as I manage all of our financials, and is extremely useful as I provide updates to our board and investors. I have complete confidence that this is the best product on the market, is extremely intuitive to use.
We use it for our financials statements.
  • Allows for clear GAAP documentation.
  • Great Audit history if there were mistakes made.
  • Allows for collaboration with external entities.
  • I'm happy with QBO and don't have any cons about it
This is a great product for startups where individuals may or may not have full finance or accounting experience. It allows them to create their financials and track inventory in a clear and concise way, which is very useful.

This is also good for all small to medium businesses as they are looking to streamline their processes.
