Xero is an online accounting software product for small businesses and personal finance. Its features beyond general ledger and double-bookkeeping include quotable invoicing, bank reconciliation, purchase order and expense management, and tax management. At the restaurant level, invoices are entered into Peachworks. We have a program that integrates those invoices into Xero, putting each item into the correct account code. Our office assistant enters invoices that come to the office like water and electric bills. Then we print check directly from there, or batch payments to pay online. We also Xero to integrate our sales from the restaurants. After bills are paid, we use multiple types of reporting features.,Bank feeds work great, or I can easily import statements. Easy to use, but still has the manual journal options for more detailed accounting. Fixing errors is easy, plus gives detailed info on which user did what. Cost! Very worth the low price.,Setting our own fiscal calendar is not available, so for every return or P&L, I have to manually adjust dates. Remittance information on the checks is not available, and it very frustrating what they let you put on the checks. Checks print in whatever weird order Xero puts them in. You can adjust to make it alphabetically and I can't figure out what ordering system they use. We do use a small bank for one of our accounts, and it doesn't integrate with that bank. But that could be the bank's fault.,10,The cost is amazing coming from other programs. Producing financial reports from Xero is simple. Xero's customer service people are friendly and helpful. Xero is intuitive, ie it preloads names and GL accounts without having to type exactly every word correctly.,Often times client invoices don't sync well from Clio, so I have to recreate the invoice within Xero to apply payments. We use the bank feed for 2 of our Xero accounts. When the bank feed fails from time to time, I have to type in all missed transactions as there is no way to grab them retroactively. Invoicing - It provides detailed and customizable invoices for partner's organizations. UI - It's a pretty easy to use software and very intuitive.,Auto-population - while this feature is useable there are always moments where something doesn't auto-populate the way I would expect it to. Administrator controls - It would be nice to allow different users different levels of access. Integration capacity - It would be really nice to integrate with the other inventory software we use. Barcode scanning - we could use the ability to use a bar code scanner to speed up the inventory process.,9,It has helped grow the services we could provide to clients. One of the things I like about Xero is its simplicity, but it doesn't have as many Apps to sync with it as some of its competitors. Some banks are still not able to sync with the Xero system.,7,The streamlining of invoices through the Xero system helped quite a bit. Implementing the departments, chart of accounts and COGS in Xero for one of our clients, really helped to show where the opportunities for the business were. Another way our department uses it is by creating invoices, quotes, add bills, contacts and uploading files to inbox via the mobile application.,Add Receipts - Huge strength especially while on the go and traveling that you are able to take a picture of the receipt and categorize it right when you make a purchase (business expense). Keeping track of Sales - it's great to see all of the money incoming and outgoing over the months. Reports - easily to export reports for financial, sales, purchases, tax, accounting, fixed assets, and inventory.,Notifications to reconcile transactions during specific timeframes would be extremely helpful. Due to some basic functionality lacking in the billing tools, we use Freshbooks for invoicing and rely on integration between the platforms to keep billing up to date.,Bank rec is really easy and forgiving when correcting a mistake. Basic financial reports are built in and useful. It's popular enough that there are numerous integration options with other platforms.,No invoicing, late fees - despite years and years and thousands of clients requesting it, Xero has decided not to develop any kind of interest or late fee functionality. Their only solution is to suggest a 3rd party tool that is quite expensive. No bundling/assembly tracking. If you are selling an item or service that requires multiple products or multiple revenue accounts, you're out of luck. Their invoicing system is extremely robust and integrates with a variety of payment gateways. Recurring invoices, statements, and reminders to clients help me see all my AR at a glance, and make collecting super simple Cloud-based. As a web app, there is no desktop software to update, sync, remote desktop into, etc. It's all updated, across locations and user accounts, real time. Reporting: configurable reports help me slice our accounting data in very accessible and actionable ways. Accounting: matching expenses, vendors, income, etc. Xero has all the features we need, and none we don't, making it a highly usable and intuitive system. No complex learning curve to implement the software.,Interface design: It's fine but is getting dated. It could use some refreshing that would help declutter and clarify the interface Mobile app: many of the features are not available in their app, and the site is not mobile friendly, meaning you have to be at a desktop to utilize the full power of the suite. More payment integrations, would be helpful for us (Specifically Stripe ACH transactions) Payroll availability in more states. Apparently, it is a third party feature and I was denied access. I was unable to get a reason why, but its probably because I am a new entity. The customer support is simply a joke. They emailed me a clip from the online help menu when I tried to resolve it. So, I cancelled the subscription two weeks into the "Free Trial". I have cancelled the subscription twice now and have been charged for two months. We also manage client's accounts on Xero as well.,Xero makes reconciliation incredibly easy. It remembers how we reconciled a particular transaction last time and you can set up rules to auto code transactions so all you need to do is press OK. This makes keeping track of sales tax pretty simple too. Reporting is a breeze, as long as you code all your transactions correctly it takes seconds to bring up a balance sheet, Profit & Loss and many other types of reports. It also allows for all kinds of custom layouts and exports. Once your templates are set up with all the relevant information, sending invoices is simple and fast. It's also easy to track different line items on your invoice, say your keeping track of a project which is only part of the full invoice and is necessarily a specific line item, tracking codes make that very easy.,Notifications are really limited and surprisingly disappointing given what we've become used to in Saas tools. There's an area for discussing a transaction with the team but there's no way of at tagging those people so no one will see the discussion unless they actively look for it. Also, if an invoice is overdue, Xero will send the client custom reminders but it won't notify us, and same for bills, what if I just forget to pay a bill that's loaded up...? Xero knows but doesn't care. And the same for expense claims, you can upload a receipt and request reimbursement for it... but no one will be notified! Integrations via Zapier are disappointing. Xero has done nothing to develop this area. Many of our other favorite spas products have really focussed on integrating well with Zapier. eg. Airtable, Trello, Helpscout, Gsuite, Slack but Xero has left a lot to be desired. The dashboard doesn't give that much power for analysis and reporting. I'd like to be able to hack the widgets, add my own graphs and custom reports so I can see useful information.,9,We spend very little time on our own bookkeeping as it's so simple to do in Xero which means more time doing the work that matters. We're able to spend more time focused on reporting for our clients rather than reconciling or fixing problems. We also record revenue and A/R transactions, but have a specific piece of software (Hy-Tek) to manage members' accounts for our swim club. As the product is able to pull a feed from our bank, we also use it to track our banking information and cut cheques.,Excellent support - whenever I have a question, the answer is fast and understandable. Extremely easy to figure out - anyone with a bit of sense can figure out how to successfully get from point A to point B. Tracking cash is simple - together with the bank feed, keeping the bank reconciled and up to date is extremely straightforward.,Reporting is okay, but the customization options are a bit clunky. I believe they are trying to address this. The cost at $22.50 US (discounted NFP rate) is a bit on the high side for a small organization like ours. Does it make more sense to drop a few hundred bucks on an accounting package like Quickbooks or pay $270 US for Xero? I'm not totally sure. The connection between payroll and cheque-writing isn't terribly straightforward and I don't understand why.,9,Helps us produce accurate, timely financial statements. We use the reports it can generate to give us insight into our profitability and margins.,Reconcilliation via automated feeds to our different online banking systems (chequing account, credit card, paypal) is a breeze and has lots of time saving features. User Interface is very slick and makes data entry speedy. Reporting is very strong and segmentation by Service Line, Product Item Code, etc., is useful for analyzing different parts of the business.,From time to time (once or twice a year) the feeds that serve bank data to Xero break. Fortunately you just have to wait for Xero to remedy them. Payments that come through via the Invoicing feature do not automatically reconcile - I think it would be useful if a client paid an invoice via credit card/Paypal to have the payment automatically reconciled to the outstanding invoice.,10,Using the Service Line feature has given me better insight into the P/L of our multiple locations. It has proven to be a beautiful solution because it provides real time cloud based data about every financial aspect of our small business. We can log on each morning to see an up to date snapshot of payables, receivables and bank account balances on one easy to read dashboard page.,Communicates with our bank to provide real time account balances. Makes filing state sales tax returns simple and quick. Gives a great overview of revenue and expenses and allows me to easily drill down and see the details of each transaction. Customer support and documentation is extensive and easy to access. Time to enter daily sales invoices has been reduced by 75%. Budgeting module allows us to 'predict the future' with increased accuracy. Almost 4 continuous years with zero (or should I say 'Xero') downtime! Outstanding service.,I've been waiting to come up against that one thing that just doesn't work right or seems awkward, but it hasn't happened yet.... kind of amazing when you think about it! The one area I found to be challenging was establishing the feed from one of our company credit cards. My experience with another program (Mint) tells me this could be an issue that originates from the credit card company rather than from Xero.,10,Faster and more accurate data has lead to better decision making, and Xero makes it easy to find this data. In 2008 we were using an apple mac solution called MYOB, it needed us to email 14mb data files from our bookkeeper, to me and our accountant. It got so confusing we had to build a tool to manage who had the file and allow it to be uploaded and downloaded. I found c. 6 online solutions and asked my bookkeeper to choose 1. She came back and said Xero, new to the UK would be a good fit. It is really easy to use, always up to date and is so well designed it's a pleasure to use.,Allowing the entire team to issue invoices as a project reaches a milestone or is singed off. They offer a project management tool called Work Flow Max and we had hoped this would be a useful addition but were underwhelmed. We are currently using it for two different companies, one is a US based and the other is EU based. We are using different apps to streamline our accounting. One of the apps was supplied by our accountant in order to upload bills and receipts, which his company then reviews and inputs into Xero. We are a virtual company with several employees who work remotely. So it's an easy solution for us. The integration with our bank is extremely helpful. The integration with Expensify & Bill.com is also a huge asset. I was the accounting manager who used Xero for day to day transactions. We recently outsourced these functions to an outside accounting vendor and the transition process is extremely smooth because Xero is so easy to work with.,Expensify integration bill.com integration Amex reconciliation,Collection - being able to capture collection notes/status in one place Set up. As a new user it was difficult to get help other than emails back and forth,10,We are a start up. Alternatives Considered

Xero functions as a better clearinghouse for large scale inventory than Imonggo. But it's distinguishing feature is the ability to generate invoices for clients and partners. The ability to easily make invoices really separates it from Imonggo.

Xero is very efficient and easy to use for business owners that are not a desk all day, but still want to have knowledge of the business' performance. It allows for multiple users with different permission levels so multiple employees can help to streamline the business. Xero reporting is also very easy to produce and read.

My tax consultant recommended Xero because we were having a tough time keeping track of receipts while traveling. We initially had Quickbooks but not the desktop version and were very confused with the functionality.

I found with Xero's monthly reconciliations extremely helpful to make sure our money is being allocated in the right areas. It is so much easier now to manage bills & expenses.

I prefer Xero over the other options I have tried because it has a cleaner interface, operates faster on the web, has a strong API relationship with other applications and appears to be gaining ground on Quickbooks in the marketplace. QuickBooks Online is probably the most recognized but it seems like they are struggling in converting their market leading desktop software to an equivalent online offering. Intuit's online offering feels like they are stuffing the desktop version into the cloud.

Xero is more affordable than other solutions, and being cloud-based it's helpful for granting accountant access.

Every other accounting package in existence has late fees and interest options built in.

Xero hits our "maximum point" on the curves of simplicity, usability, and feature set. In my opinion it is by far the best in class, and the only reason it hasn't taken over Quickbooks entirely is that industry-standard products, no matter how inferior, are difficult to dislodge. Quickbooks needs to go away. Xero is amazing.

Xero was the easiest to use and most cost effective of all the solutions we evaluated during the procurement process. We spoke to other similar sized businesses and they highly recommended using Xero. We liked the fact it's a cloud based system meaning we can access the system and data remotely. It integrates with our recurring billing platform and our bank.

We switched off of FreshBooks to Xero. It is somewhat apples to oranges, in that FreshBooks is not a general ledger nor does it claim to be (at least at the time 2 years ago). Our business grew though and having a general ledger with reconcillation features like Xero was important to ensure accuracy in our financial reporting, filing our taxes accurately, and increasing visibility into the p/l of our business.

We selected Xero because of the fair price, the ease of use and the extensive documentation and support. I used QuickBooks for many years and I don't dislike it, but I just find Xero to be more intuitive, less cluttered and easier to use.

QuickBooks for Mac is not a viable product. PC desktop makes off-site work difficult (and hosted environments are clunky and slow). QuickBooks Online is improving, but all recent innovations seem directly in response to, and taking a lead from Xero base product. Overall, Xero is a fresher more responsive company with a great product.

I used Unleashed previously to Xero. Unleashed is a fine program, but it is more bulky and less fluid when it comes to making or adjusting an entry. I chose to make the change to xXero after some trusted recommendations and a trial run. Needless to say, I'm still with Xero and couldn't be happier.

Xero as a cloud-based solution cannot be compared with the desktop solution, especially when much of our company's business is done online. The more the market moves online, the more desktop solutions will be cumbersome and outdated. Other cloud-based solutions, such as Accounting by Wave and QuickBooks Online, which we have tried in the past, had either a slower interface or lacked some features we required.

I started with Xero in 2014 and they seemed to be the leader in online small business accounting. They seemed to have already ironed out a lot of issues and made it very easy to get started. And they quickly ramped up and ironed out solutions to problems. Plus they were extemely well priced for the simple accounting needs we had at the time.

About Xero

Xero is an online accounting software product for small businesses, as well as for personal finance. Xero competes most often with QuickBooks Online. Its features, beyond the ubiquitous general ledger and double-entry bookkeeping support, include invoicing with quotes, bank reconciliation, purchase order and expense management, tax management, and it is mobile-accessible. Third party apps can extend its features further.

The product is sold by subscription (a distribution model commonly known as software as a service or SaaS) requiring the payment of a monthly fee. This charge is proportionate to the number (and type) of company entities managed by the subscriber. The lowest tiered pricing option is the $9 per month Starter pack, which supports unlimited users but a limited number of transactions. The $30 Standard pack breaks open usage limits and adds e-filing and payroll options. The $70 Premium package doubles the number of supported employees on payroll from 5 to 10, and supports multiple currencies.
