Agiloft Custom Workflow/BPM

Agiloft is perfect for managing requisitions, linking those requisitions to their appropriate contracts (and getting the contracts directly executed via DocuSign or Adobe), notifications on upcoming renewals, spend tracking, trend analysis, contractor access management and ticket automation, audits, and much more. The tool flexible enough to integrate with other platforms but users need to be made aware of the requirements/limitations of the integrations.

JIRA

JIRA is a perfect fit for any organization where they have a large "in-flow" of projects, tasks, requests, etc. It helps to visualize who and where the majority of the projects are and how much time is being allotted or can be allotted to a particular task. It is particularly helpful in making sure that each team member is given an equal amount of work (if that is the goal) and seeing where each project stands.

  • JIRA is extremely customizable, especially when compared to Atlassian's other flagship product, Confluence. We were able to tailor a JIRA process flow for every development and support flow that we had, even before JIRA.
  • JIRA reports well. While we did find some holes in what we were able to report on, 90% of what we needed was there and readily accessible once a user was familiar with the reporting structure.
  • JIRA interacts fairly well with other products. We were able to integrate it into Confluence (as it should be), but we were also able to build plug-ins into Outlook, Excel, and our phone system for more advanced functionality.

Cons

  • We have a history of quick but unhelpful responses from customer support. Fortunately, we are able to work with our implementation specialist when support tickets require escalation. There is a clear eagerness to assist, but the communication from support lacks depth. You have to be extremely specific with your desired resolution.

  • JIRA is missing an iOS app. Even though there is a mobile version of the site, it is not easy to work in. As a manager, I receive a lot of JIRA related emails. Being able to answer questions or make changes on the go would be very helpful.
  • You are able to embed a form outside of JIRA that would upon submitting, create a new JIRA task. We use it for submitting tickets. Once a ticket has been closed, there is no automatic way of informing the requester about the resolution.

JIRA is a tool that gets updated regularly. This is a sure sign that there is a company behind it that is always improving the quality of their product. This means we can rely on usage of this tool for years to come. Considering we have a lot of projects and tasks in JIRA and knowing it's a tool with a future we will definitely keep using it. Also, even though we don't attach a lot of files to our tasks, I don't think there are any storage limits.

I used to get immediate support from the Jira helpdesk; also most of my issues are already explained in the user manual which is really helpful.

Take your time implementing Jira. Make sure you understand how you want to handle your projects and workflows. Investing more time in the implementation can pay off in a long run. It basically took us 5 days to define and implement correctly, but that meant smooth sailing later on.

What appealed to us with JIRA at first sight is pricing per user. It may sound funny, but for us this was better than pricing per number of projects. Most of our projects are ongoing. Once an initial development is done, we continue maintaining the software and keep track of tasks. So we have a steady number of people but are not sure about the number of projects we might have.
