Amazon S3

S3 is one of those few solutions that work for everyone at any range. Workfront

I work on a team where each of us is separated individually from the United States. Workfront enables us to collectively collaborate on a common project setting individual goals. Project managers can invite users, send out updates and set goals to be marked as complete by individual users. Definitely an AAA+ option for global team project collaborations. Smaller projects with fewer working participants would most likely not benefit from the ROI for this product, however, if these smaller tasks are building to a larger project or your teams have multiple small projects running simultaneously then Workfront is for you as well.

Pros

  • Nearly every web framework now has integrations with the service as an easy plug-and-play storage solution.
  • General integration is so good there are tons of third-party tools like Transmit (for mac) you can mount S3 as a remote disk for easy access, and even Amazon's own web portal for using S3 has gotten quite good.
  • It's incredibly easy to offload all the expensive bandwidth operations for your typical website or app to S3, and, assuming your services are not yet HTTP2, you even get the benefits of sharding.

  • Establishing a plan of action for your entire team, complete with dependencies for tasks ensuring work is done in the appropriate order
  • Easy collaboration among team members
  • Customizability so each user gets the information they need, presented the way they like
  • Permissions-based views only allow users to see the information they should, making client "firewalls" easy to maintain

Cons

  • There is no true hierarchical filesystem in S3. So for example, if you have a file like /images/pizza/1.png, and you delete 1.png it deletes the entire directory structure. Now many tools will place an empty dummy file at /images/pizza to make it appear as if the structure is there – but if you do these operations via api it can be a bit of a gotchya.
  • The bucket namespace is global, so it can be really hard to get a sensible bucket name. Honestly no idea why they made that global.
  • While you can serve S3 content at your own subdomain, you have to have the proper bucket name to do so and this can get pretty cumbersome. Ideally, there would be a better way to mask S3 buckets at a DNS level.

  • Reporting Feature: I inherited Workfront from the previous project manager. It had only been used for 3 months up until this point. By that time, our set up hours were depleted, and I was up to my own devices to determine how to build and customize reports to get what I needed. Unfortunately, the former PM wasn't very experienced with reports and dashboards, so the reports that existed were broken or inadequate. This means, I had to fumble through the reports. I am not getting what I need from the reporting functionality, and the help / training sessions are very underwhelming.
  • Updating tasks: I appreciate the template feature, but to update the tasks when you have more than 15 is cumbersome. Each cell is responsive, and I would very much welcome a spreadsheet type page where I can enter everything and press "Save" before changes commit to the system.
  • Assigning tasks to a user where the date is already set: For example, I use a template, and one of tasks is graphic design, and the date was pre-populated to 10/31/2017. When I assign this task to the user (e.g. Bob Smith), the task automatically enters into their "My Work" as 10/31/2017, which is great. But, let's say I after I assign the task, I update the predecessor to take longer, which makes this task's due date 11/15/2017. This makes Bob's task still due on 10/31/2017. What a headache!!!

Workfront (formerly AtTask) is simply the finest project management tool I've ever used. It has the best features of Project (e.g. ease of use to see Gannt charts or task lists) but with robust reporting and easy communication via Updates? it's a hit.

The training is very easy to use and you can simply choose the topics included in the course(s) that are most important to your training needs. After each training course, you are tested on what you have learned. If you need a refresher course, they provide Course Catalogs as well as instructor-led courses & workshops.

I would recommend all user's using Workfront to go through the training material provided. Have all user's practice in the Sandbox environment and have your workflow documented for the consultant before he arrives on site.

Alternatives Considered

I did not review or test with any other services. We started this business as a loyal and excited AWS customer and we remain the same today.

Workfront is a much better product than Salesforce. Workfront has a much better reporting system and can pull necessary details from just about any field or box. Workfront has better work flow templates and is much more customizable. Additionally, we can do a lot of the customizing on our own. With Salesforce, we spent a lot of time calling customer support to find we could not do what we wanted.

We have been using Workfront for about 3 years. During this time they continue to be a very stable project management system. Workfront's overall scalability is able to handle increased loads of work. When using Workfront for a project management tool for the web team, we store documents, images & video's without any issues. They work with their customer's to provide the best project management system in the market today! I highly recommend Workfront for all project management needs. Workfront strives to deliver unique technology solutions to growing companies!

Return on Investment

  • Interaction between Ruby on Rails and the Fog/Carrierwave Gem to upload images is a costly, manual process for the team

  • Workfront has increased the number of projects that the Traffic Team can traffic by freeing up a significant amount of time for us. No more working weekends to be ready for a Monday morning status meeting!
  • We have greater visibility into the number of projects our associates work and who is doing the most work.
  • We now have greater visibility into all projects and can hold individuals and teams more accountable.
  • ProofHQ reduced the amount of time needed for proofing by allowing multiple reviewers access at the same time. Markups are easily readable since the feedback is typed and not handwritten. It is easy to identify where a proof is in the review process because we do not have to go desk to desk looking for paper proofs.
