Automation that deliver ROI - Workato
As a SaaS-only company, we often need to sync between different tools we use. Workato allows us to set fully automated workflows to achieve any business goal we want. Workato helps us to solve even the most complex tasks that require data manipulation and decision-making in a dynamic business process.
Workato is in use with all departments in the company and often helps with collaboration between systems of different business units.

Workato is fine for limited use cases
Useful for simple, small to moderate-sized workflow-oriented integrations.

Workato is not 'No Code', after all
We are looking for an IPaaS solution - the use cases are typical for hybrid-type integrations. That is, on-premise as well as cloud sources and targets. The scope of these use cases is enterprise-wide data sharing and transformation, along with cloud integrations. Systems involved would include Salesforce, Workday, Service Now, DB2, MySQL, PostgreSQL, among others.

Workato: Powerful tool in a straightforward interface
We use Workato to connect Salesforce with Quickbooks. Although a native integration exists, it does not have sufficient capabilities for our needs. Workato allows us to pass customer and invoice information to QB after those invoice records have already been generated.
- Workato is easy to get started and the interface is intuitive
- It's a low/no code solution which keeps troubleshooting costs low
- Errors generated are not always straightforward, and documentation around errors is slim

High license cost, great product
Workato is being used as a middleware solution to send information from Salesforce to QuickBooks. Through a series of decision points, Workato will determine if criteria are met in Salesforce, Workato routes the data to either an existing Quickbooks customer, or creates a new record based on the sales rep’s info

Rapid deployment integration product with a short learning curve
Workato is being used by our IT staff to set up integrations for departments across the college. It provides a simple way to connect a variety of endpoints and move data between systems. It also provides a central location to house all of our integration jobs, rather than having direct system-to-system jobs and programming scattered about. It fits nicely with our effort to govern our data and data flow because it is all running through the one integration service.

Workato is extremely powerful in workflow/process automation and connecting a plethora of cloud-based platforms/systems.
Workato has been adopted by our entire organization; Sales, Marketing, Customer Success, IT, HR, Finance, PD, and more. The major business problem that Workato solves is connecting Quick Base (our platform) to other software platforms used by the above-mentioned departments, such as NetSuite, Zuora, Outlook, JIRA, Marketo, Box, Paylocity, and others that have open APIs. These connections allow us to have sources of truth in QB or to grab data from other sources of truth, like the financial platforms we use, and to then use QB to analyze that data. In addition to that, Workato is leveraged to connect QB to QB so that data can be passed seamlessly and instantly between applications.
- Workato is very easy to pick up and use. You'll be creating complex recipes within days. The UI, workflow, formulas, and other features are very intuitive.
- Workato is very powerful. The native connectors it has to hundreds of software already, allows users to make substantial automation and integrations, but the HTTP connector makes it seem like it has no boundaries. If you are using software that isn't a native Workato connector but it has an API, you can use their HTTP connector to make calls to and from.
- Workato is always making improvements to its platform. This includes adding more connectors, more features, updating current connectors to be more powerful, or expanding on other tools it offers.
- I have no suggestions for improvement at this time.
Workato has fully automated the syncing process of our customer and sales data from our e-commerce solutions to Salesforce. It saves our organization thousands of dollars every year that would be allocated to data management and migration. It allows us to have complete customer profiles of our sales history, which helps us to increase our sales effectiveness.

Clear leader and best features in the iPaas market
At MCF Tech we have added Workato to our offerings for our clients. We have extensive experience in the integrations space. Workato has helped make integrations so much simpler, and allows us to serve our clients in a better capacity. We are also using Workato for our own internal processes to help automate certain processes, increase collaboration with our teams, and experiment with different systems.
- The Workato Slack Bot and Microsoft Teams Bot are amazing for automating workflows directly from these engagement layers, and allows users to perform actions in various systems without leaving their IM client.
- Using Workato to integrate from the source of data to other systems, for example from a CRM in Sharepoint to an operational database in Quick Base, makes for much better collaboration, sharing of data, cross-departmental report and visibility, and many other benefits to both IT and business users.
- Workato has allowed us to move more away from custom coded integrations that can be very cumbersome to maintain and require a server to host. Now integrations are at our fingertips and can be maintained very easily, without any additional servers needed for hosting the integration.
- I would like the ability to temporarily deactivate a step or series of process steps, in order to test changes in subsequent steps.

Integration Inspiration
I use Workato to automate business processes throughout my company. It has allowed my team to drastically reduce our integration and deliver solutions to the business much more quickly. We use it to run critical business processes for nearly every department in the organization, including automated Opportunity Generation, Commission Calculation/Amortization, integrating our homegrown CRM and our Marketing Automation Platform, and several critical Finance integrations. We wouldn't be able to grow as fast without it.

The Future...Workato
Currently, we've implemented Workato in the XPO Last Mile client data integration department, however it is slowly spreading across the other divisions of the enterprise as they learn about it. For Last Mile, Workato addresses gaps in our enterprise platform and provides seamless integration for internal or B2B use cases leveraging the APIs exposed by both parties.
- Most use cases require no code! Imagine connecting 2 applications without writing a single line of code...it almost feels futuristic
- Not having to download anything locally to use the product. Workato runs fully out of the browser
- The number of out-of-the-box connectors that offer turn-key solutions to business problems
- Customization has a bit of a learning curve associated with it. Be prepared to expand your programming knowledge for any deep customization, however having the option to customize is critical
- Online training material is out there, but can be a bit cumbersome to read through and retain. More straight-forward online training material would help 10 fold

Before Workato, new interfaces would take several months of deep dive requirements analysis, expensive development, and thorough, resource-intensive quality testing. Fast and easy automation
Workato is primarily being used as an automation and integration tool. We used it for the following use-cases:
- Foreign currency rate integration and triangulation. We are receiving an XML file from our parent company on a daily basis and we integrate the rates into Netsuite. As an additional requirement, we have to perform a currency triangulation for some currency pairs which don't exist on the source file. Workato was able to perform the calculation with a simple formula.
- Customer on-boarding from Salesforce into Netsuite.
- Transfer XML file from Netsuite to bank sFTP with sign and encrypt. One requirement is to message the user through Slack whether the file transfer is a success or failure.
- Integrate cash payments from Excel into Netsuite by creating a callable recipe. With the callable recipe, we were able to use our existing Excel tools without a complete redesign. We simply changed the ERP API connectors that we use to bring over payment records into our new ERP system.
- Using Slack workbot to get customer information from Netsuite. Users may now get customer balances or transactions through Slack by just typing in keywords. They no longer have to log into Netsuite. This is particularly helpful if a customer support person is talking with a customer over the phone.
- Process automation with multiple SaaS applications. It's easy to move records from one SaaS application to another.
- User-friendly. Users need minimal technical knowledge to start using Workato. The workflow-oriented user interface makes the recipe easy to understand. The recipe is described in plain English and not in some technical jargon.
- It has a look of built-in functions which are particularly helpful for non-technical users. I've seen functions in Workato which are usually not readily available in some other tools like.
- Slack workbot integration. Easy to create recipes and Wizard-based recipe creation is available for beginners.
- Technical support is 5 out of 5. They are always available on the chat room whenever you need them.
- I would be nice to have a more automated deployment process like automatically changing connections when a recipe is deployed into prod.

We use Workato both internally and recommend it to many of our clients as well.

Workato has been fantastic in helping us automate workflows and connect our systems. It's just a fantastic 'ace' in the hole that we continually pull out when we're scratching our heads on a solution. I have yet to say no to the question 'can we do this with Workato?'

In the 8+ years I have been doing professional services and consulting, I wish I would have had Workato with me the entire time. As a business analyst by trade, the ability to gather requirements and show a client a POC by the end of the same day (without consulting my development team!); I have felt like my skill-set has doubled since using Workato. We rarely take on a project these days where integration to another system isn't a critical requirement. It's been wonderful to have a tool in our box that can solve what can sometimes be showstoppers in a project from an effort and budgeting perspective. We've solved all sorts of problems, from things as simple as keeping document links from Box in sync between multiple web apps, to deep connectivity with on-prem apps that had been in IT's backlog for a decade.

In our organization, Workato allows our product support team to communicate directly with our product development teams while allowing each side of that equation to use the software solution that best meets their needs. Workato ensures that our users aren't required to use multiple systems or enter their data twice and are always up to date, minimizing the time and effort required to solve often complex customer support issues.

- Changes can be made in production during business hours without impacting your users.

Workato always works
I personally use Workato to augment my systems and really make my workday easier to consume. From automation of alerts across multiple systems to keeping tracking of my-todos. No one system can do it all, and Workato doesn't mind what you are using, it just wants to make them all work together. I use it to manage projects, roadmaps, and personnel development. From Quick Base to Slack, I have a full-service helper to get my job done
- I find the User Experience to be extremely easy to understand and get up and running with.
- Key connectors, and the right set of actions. It's rare to find things they don't have that I need.
- Features are incredibly well polished. Long-running steps, code snippets, a generic HTTP connector.... all of which are easy to understand and implement.
- Navigation once you are building an app. It's always my header!

Workato: Great tool with amazing UI
The business applications team uses Workato to develop recipes to sync data between NetSuite, Salesforce and Concur. Our stakeholders are primarily the Customer Success and Finance departments. We use it as a real-time webhook listener. We send outbound messages from NetSuite and Salesforce to the webhook recipe which in turn processes the data, transforms it and syncs with other systems.
- Extremely user-friendly and intuitive UI and we could get on-board with the recipe creation process in no time.
- Lot of out-of-the-box connectors that really makes life easier for recipe developers.
- Great logging functionality that stores data up to a year depending on the license and settings.
- Amazing technical support: Whenever we had some specific questions on Workato, the solution engineers at Workato were pretty quick in responding and gave really good inputs on a workaround.
- Slightly limiting in functionality: The recipes can be limiting in some cases. For instance, we do not have a direct way to update a variable in the recipe at various points.
- Filtering on logs: We have standard filtering on logs based on the job status and date of run. However, It would be extremely useful to filter on logs based on various custom columns that we can create.

Reduce your headaches and share more data with Workato!
We utilize Workato for nearly all job functions within our organization. As a reseller and integration specialist shop, we also implement and use Workato with nearly every client we interact with. It connects our CRM and PM tools to our ERP. We create automations within our systems and automatically transfer files between clients and ourselves, as well as internally. All of our consultants are well versed in the product and can support both internal and external recipes.
- Reduces time and overhead by thoroughly connecting systems and driving workflow.
- Allows seamless interaction among business units, saving headaches and painful hunting of data.
- Increases visibility among executives as you can consolidate many systems to one, creating executive level summaries.
- The interface is extremely user-friendly, but the integrations might require some architecting. The simplicity might give a false sense of confidence, which could lead to failing recipes, and unsatisfied clients. Utilizing a partner can significantly increase effectiveness and time to market, which could save money overall.

Save time and money by integrating all your data
Broadly used across the organization for internal processes, sales demos, marketing, etc.
- Ease of use/learning.
- Broad range of connectors/integrations with a broad array of systems.
- Fast and effective support, prompt in their response as well as following up and setting up follow up calls to get to the heart of the problem.
- Administration isn't the best: having multiple users manage the same account or granting access to a company account is limited except for partners or at extra cost.
- High barrier to entry for smaller companies: increased pricing model is an inhibitor for smaller clients that could have limited but powerful use cases.

Workato: One Stop for Integration Solution
Workato is being used as an operational efficiency tool, integrating separate software solutions to drive business process improvement. The solution interacts with various departments throughout the organization (Sales, Marketing, Finance, Project Management) but is only visible to a few team members. The solution addresses information isolation, data entry and aligning the single source of truth throughout our organization. It assists us in aligning customer names, licensee information, lead generation, and marketing information throughout our organization.
- Extremely friendly user-interface and platform. Easy to execute from a technical or functional role. This does not require a thorough knowledge in Rest/JSON/SOAP to quickly build out and test integrations.
- Support and professional service from the Company is phenomenal. Always direct, responsive and thorough, respectful of our allotted time and spend.
- The pricing plan is very generous. We continue to build out integrations in dev environments and when we determine they are successful, we can move into production and adjust our plans accordingly.
- The primary emphasis I would recommend to Workato would be to continue to invest in additional pre-built feature sets. For example, certain API's wouldn't allow for an easy trigger. For example, on one particular integration, it only would trigger "new contacts" where I'd like to use this for updated as well. It took an hour of professional services to build a custom webhook. So I look at it both ways, it's beneficial you are able to execute this technique but it would be ideal to avoid that situation. Overall, continue to invest in the product.
- I would appreciate more flexibility around the job logs. The platform itself performs well with logging, however, the ability to extract isn't as simple.

A strong integration platform without the high price tag
Workato is used to connect our core CRM (Salesforce) with Xero (for accounting) and Harvest (for time tracking). It enables us to update client and project information once, and have the information disseminated across our operational systems while bringing back into Salesforce key data needed to serve our customers better. As a systems integrator ourselves, we've also implemented Salesforce into our client sites where we can not only create initial integrations but teach our clients how to add, manage, and improve their integrations in-house.
- Easy to use interface allowing for non-technical people to create recipes for integrations.
- Flexibility to build your own connectors in the event that an off-the-shelf connector doesn't exist.
- Strong support despite the timezone difference (we're based in Australia).
- Still growing out their library of pre-built connectors, sometimes feels other iPaaS providers have more available.
- When a recipe fails due to poor data inputs, unable to clear out the failed job (the only option is to have it re-run successfully).
We are currently using Workato to automate external requests from our constituents. Workato allows us to automate assignments to different members of the team based on specific logic and it works like a charm.
- Easy to follow automations.
- Lots of apps to connect to.
- Great support staff.
- Fairly easy to use once you get the hang of it.
- Some logic is complex and could be presented differently.
- Quite expensive given that you can only connect three apps at the starter level of the scale
- Sometimes it's not clear why the recipe has crashed. Even for technical minded teams in software engineering the descriptions are vague and don't specify whether the failure is during trigger, transit, or something else.

My experience using Workato
Workato is one of the automation tools used in our department. Workato is used to automate various IT processes to provision VPN, email and software licenses. This helps reduce the manual efforts done by the Help Desk and Account Management Team on a daily basis.
- Integration with various cloud platform tools. Easy to integrate with cloud tools.
- No code required. Action available as ready-made and reduces development and production time.
- Very quick customer support where issues are fixed on the spot.
- Copy function from one recipe to another recipe.
- Scroll through the recipe.
