Overall Satisfaction with UltiPro

While my requests have always been answered, I hear some of my coworkers frustrated with having to have their issues elevated and getting a slow response. I like and prefer going to the expert in the particular module I am using, where some people like to just deal with one person, which seems silly to me since not one person is generally an expert in all aspects of the system, and would be slower to respond given all they have to know.
We use UltiPro for many of our HR processes, including EEO-1 reporting, recruiting, onboarding, E-Verify, payroll, performance development, and time management (time clock, and PTO requests). It is heavily used by our HR Department, but is used by all hourly employees to track time and by all employees to track and manage PTO. Our managers use the system for reporting, position requisitions, and offer approvals for recruiting and hiring. For us it has addressed consistency and communication issues.
  • Education opportunities are abundant. We have access immediately to tips, tutorials, cheat sheets, and videos. Not just HR, but all users! On every page there is a section called "Things I can Do" and "Tips and Tutorials". Having so much instruction at our fingertips gives HR a great time savings to having to stop everything to show people how to do processes they have the ability to learn on their own and when needed, so there is no need for a learn it all in one session type training.
  • One login means one and only one login! I have seen others who claim they are one login. Not true. UltiPro is the real deal. One login does it all.
  • Recruiting and Onboarding are amazing. We have been able to track and fill positions so much faster. From 40 days to an average of 10 days to fill. No more lost applications, or paper trails to China. All hiring managers see all activity on their open requisitions. Onboarding is all inclusive down to E-Verify. Processing a new hire in to our core system is EASY and there is no duplication of information that I have seen in other systems that showed us demos. What the applicant completes is what is transferred and there is no re-entering information.
  • Would love to see more best practices with regards to setting up security roles and assigning access. There is plenty of information on "how to do it", but would like to see some models.
  • More batch processing functions, like being able to select more than one file at a time. Being able to see comp info for selected individuals side by side, rather than running a report.

Online training is robust and offers a wide variety of taped and live sessions. I love the university UltiPro provides so you can track your progress and ensure you are learning all there is to know. I like the opportunity to learn online so it can be scheduled and they provide so many opportunities and sessions.
We did not get in-person training. We had a person on the phone who was live and went through implementation but never had anyone come to the office to actually provide the one on one in person training experience. I did not know that was an option. It would be nice to have that initially.
I believe UltiPro is geared more for a larger company or corporation. We are relatively small company with 280 employees, and it provides a great deal of functions which is awesome, however, a bit expensive for our size.

Using UltiPro

250 - All of our employees use UltiPro for time management and PTO. Hiring managers use reporting and the recruitment module. Our CFO and CEO use the system for being a part of approval processes we have set up. HR uses UltiPro for many behind the scenes functions like tracking and reporting, as well as onboarding, payroll, and benefit enrollment.
1 - Our IT team will provide help as far as getting UltiPro to run on the network or being able to connect since it is web based, however, I am the one with most training therefore I help troubleshoot user issues. I use the ticket system in UltiPro to help me provide support if needed.

  • Using the home page a s a source of communication like an intranet sort of.
  • We would like to develop the performance managment and development more. We just are not ready yet and need to establish better standards and processes.
I would love to renew. Our CFO and benefits Admin used to use Paycor and are more familiar with it and are outnumbering me on renewing, since they see the system as being costly for our size. They also do not think it is as user friendly, but Paycor can't touch UltiPro's capability. We will go backwards if we don't renew.

UltiPro Implementation

You will learn the basics and be set up to use the system, but will need to take the tutorials and classes offered online to customize more.

UltiPro Training

Self taught can be done but there is no opportunity to ask questions or hear others' feedback on how they are using the features. I would strongly recommend using the classes in addition to being self taught, but there is enough information provided that one can learn on their own if they chose to do so.

Every time I put in a ticket I get a very quick and appropriate response. I did have one person, Lisa Carneal, go above and beyond to help me set up some onboarding items in which she provided some best practice advice that saved me [from] having to reinvent the wheel.

Using UltiPro

Without some training, the system is not as intuitive or simplistic, however, for someone like me who can understand the way the system pulls information and organizes it, I find it wonderful.

Yes - It works great! We have a lot of users who love the ease of using their mobile device to access information or clock in and out.

UltiPro Reliability

With UltiPro we have enough room to grow and expand our usage as we need to and still have the things we need now. I love the idea that we can learn to use and put in place some things we wouldn't have done if we didn't have the capability.
With any good system there will be and should be updates made. It is comforting to know our system is a work in progress and keeping up with the times. Yes we have some outages for maintenance or updates, but it is never more than 3 hours and it is thankfully not at times when we have folks needing to clock in or out.
We have found some difficulty with different internet interfaces, like using Explorer versus Foxfire and such. Typically if something does not work well with the browser it will with another and it is easy to login using any of the browsers so it does not hold things up for our productivity.

Relationship with Ultimate Software

UltiPro is very organized and provides helpful tools to stay on track. You have to do your homework though. UltiPro is not going to do it all for you. The sales process was smooth.
Post sale, as I said before was very organized and we were provided all the information we needed to have to make the implementation go smoothly. The spreadsheets and appointments set kept us on track and made sure we covered all that we needed to know and have ready to get going.
I was not part of that process so I can not speak to any negotiations that were made.
Do what you say you will and don't expect UltiPro to do it all for you. You must know and have a sense of what you want the system to do and be used for in order to get the most out of your implementation. Do your homework and be ready when it comes time to put things in place.
