Use Cases and Deployment Scope

We use Acquia DAM (Widen) to gather similar images for use by other departments. By using the metadata, it makes it easy to collect photos that other departments are interested in for use on websites, in emails, and on other marketing materials.

Pros and Cons

Has an easy process to allow for administrators to approve digital archive requests
Has multiple ways to pull photos that we're looking for (dates, subject, season, etc.)
It's very intuitive, which makes it easy to train others to use

It's not cost-effective to include as many digital assets as we'd like, so we have to keep removing older assets to allow for new ones.

It's a valuable tool for searchable assets, especially when we're on a tight deadline
Acquia DAM (Widen) gives us the opportunity to house assets, such as faculty photos, in one place for use all over campus
Remote access is invaluable, with many people still working from home or working hybrid schedules.

DAM System Solution

It's a one-stop shop for anyone on campus to request assets for use in marketing materials, including the Communications Department. This includes assets for our websites, brochures, posters, emails, and other materials. We can put together a selection and easily share with others via email to determine which assets we prefer to use for different projects—and go through them in a Zoom meeting—which is a significant time saver.

Acquia DAM (Widen) is a nice tool for other staff to request digital assets for their own use in marketing materials and the process of approving is easy. I've also found that when there is a verbal request for certain types of photos, we're easily able to put together a set and share it with others. We can't hold a lot of our assets in Acquia DAM (Widen) because we have so many (decades worth), so we have to be very cognizant of what we put on Acquia DAM (Widen) and what we save on hard drives.
