With Abila MIP's versatility I think it would be well suited for any industry, but especially for any industry where you wanted to be very specific on tracking or cost accounting. The ability to segment your accounts allows you to track by just about any method you would like to be successful.

Concur Travel and Expense

A key question to ask is can Concur meet the travel requirements of the deployment country? We initially wanted to roll out Concur to our Austrian sites. However, Austrian travel laws are so complex that the Travel Allowance tool could not be configured to conform with statutory requirements. Concur may say it can be configured for every scenario, but it cannot. Ask specific questions during the sales pitch and ask for demos of your specific needs. We did not ask the correct questions and as a result had to scrap part of the project halfway through.

Pros

  • The vast array of account segmenting allows us to break down our business in many different ways, which gets us the information we need to make sure we are doing business right.
  • We love the ability to process vendor EFT payments, which fits our green thinking and saves lots of paper.
  • Having a cloud based platform allows us to work more efficiently and not have to worry about using the most recent version or keeping up with payroll updates.

  • One strength is the mobile platform. Concur Mobile allows you to attach receipts and complete expense reports on your smart phone. This means you can capture your receipts as you travel, not after the trip when you are left with a pile of receipts and no memory of when the corresponding expenses occurred.
  • Concur makes it easy for managers to approve. Managers can approve via mobile or via computer. They receive an email when a new report arrives.
  • Concur makes it easy to pay employees. We use Expense Pay which means Concur pays any out of pocket cash expenses directly back to the employee via direct deposit. No more manual checks!

Cons

  • They need to better explain how to create definition files so end users can learn how to upload large amounts of data into the system. As of right now, most end users have to contact a consultant to create the definition file and pay literally thousands of dollars in order to do uploads.
  • The financial statement reports could be better. When I created the income statement, the profit is shown as a credit, while a loss is shown as a debit which makes it look funny for presentation purposes. I now have to key everything into Excel so it doesn't do this. The reports could be better if it allowed a way to add statistics to the report. Most FQHCs present stats like visits, Days Cash on Hand and so on. It would be nice to be able to have these stats shown in the financial statements.
  • MIP needs to allow for easier copying and pasting items into the fields. In the Budget module, you can't right click and paste. You need to select the "Edit" and then paste from the drop down menu.

  • The interface is not intuitive. It takes some getting used to. However, Concur is about to roll out a huge update to the user experience, which should fix this problem.
  • Concur Support is slow. Any time I submit a help desk ticket, it takes weeks to get a response. They need to improve the user support desk.

Now that we are fully on Concur, switching is not an option. Concur has become ingrained in our expense reporting process. Furthermore, Concur continues to improve its offering. Each month, they release updates and changes, many of which were client requested. Concur's constant evolution means it is adapting with my business

In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

I highly recommend using a business partner for implementation. The business partners have implemented this product for numerous years and have a wealth of knowledge from working with various non profits and governmental entities. Some are close by and can provide on site training.

There are different implementation teams for each module of the product you purchase, so implementation is not a 'one size fits all' environment. Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area.A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

Alternatives Considered

Fund EZ is a product I found out about from a previous employment stint. It has a lot of the features MIP has but is not nearly as good. I would consider using this product if MIP continues to raise fees.

During the comparison I looked at Expesnsify, SAP's T/E module and a few others. There is simply no match for Concur. I would say that many other products can rival Concur in the expense area but the two particular areas to be aware of are 1) Travel (compliance and prices) 2) Work Flow (rules engine and approval process) 3) Reporting (Concur uses a Cognos based engine that will do just about anything users could need that was not being sent to an EDW (enterprise data Warehouse) for reporting. Executive Summary: Individually one package may rival Concur in one area or another. Collectively I don't a package that has the same abilities

Not real sure what you mean by scalability. It seems to be able to handle all of the funds we are currently working with. If you mean the looks of it, some things are small and it would be nice to increase the size according to the user.

Uptime has been generally excellent, with the glaring exception of 3 weeks (yes, weeks) during 2014 in which Concur had repeated site-wide service disruptions affecting all users.

Return on Investment

  • Hard to quantify the return on investment. Purchasing accounting software is a necessary evil and the payback is hard to measure. Basically MIP is another expense we incur each month in order to keep our books. If MIP could add some better features to its system, there could be a better ROI.
  • I think if you have MIP set up properly you could probably eliminate an FTE from your accounting department. I was able to get by with 2 people when most places would of had 3 or 4 with the same amount of work. The key though is knowing how to use the product, and setting it up correctly.
