Asana

well suited: teams of 1-10, agile development process and good tools to integrate with (github etc.). less appropriate: enterprise teams of 11+ with no agile experience, waterfall process (or variant), with antiquated toolsets (Excel, MS Project etc.)

Pros

  • Asana is a blazingly fast collaborative task list that supports multiple projects. Multiple team members can generate and prioritize tasks for the same project in real-time. Individual task lists are generated from the assigned tasks across multiple projects, and each team member prioritizes the work. Comments, notes, and file sharing are integrated into the application to enable collaboration at a task level.
  • A practical application of Asana is applying it to Information Technology Security and Controls or Sarbanes-Oxley compliance audits. These types of assessment typically involve a checklist that require supporting documentation. Using Asana, the entire project team can respond with the appropriate evidence to complete an audit checklist. In large scale system implementations, it isn't uncommon to have a detailed 200 line task list to launch a new system. Asana is a great tool for this type of task-list checkbox project management.

  • Workfront is relatively easy to navigate with it's clean interface and tabs. With a few clicks, you can navigate to different projects or tasks or find data you need in a report.
  • As an administrator of Workfront, it nice to be able to restore deleted tasks, projects or issues within the system (within 30 days of deletion).
  • The flexibility of the reporting function in Workfront is a big benefit for the most part. By setting up custom filters, views and groupings, you can create reports to deliver the right data your looking for.

Cons

  • I would like to see a calendar incorporated into the tool.
  • I would like it to be able to integrate with other tools we use to make the communication flow a little more well rounded.
  • Ability to create Gant charts based on tasks.

  • The only area I think there is room for improvement is the updates. I have been a system administrator since Workfront was AtTask. Every time there is an update, something we have customized ends up breaking.

I not only use Asana for my work projects, but I use it in my personal life as well to keep track of my own personal projects. I've already told numerous people about Asana the past two years, a few which are now Asana users themselves. I'm a very big advocate and proponent of this free program.

All that I've said already is why. I suppose the clearest way to say it is that at this point? I cannot imagine running the 300+ active projects in eMarketing without AtTask; it simply wouldn't be possible and even more; I wouldn't imagine why we'd try to find an alternative tool when we have one meeting our needs.

Workfront (formerly AtTask) is simply the finest project management tool I've ever used. It has the best features of Project (e.g. ease of use to see Gannt charts or task lists) but with robust reporting and easy communication via Updates? it's a hit.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

The training is very easy to use and you can simply choose the topics included in the course(s) that are most important to your training needs. After each training course, you are tested on what you have learned. If you need a refresher course, they provide Course Catalogs as well as instructor-led courses & workshops.

Alternatives Considered

Asana and Monday are similar in that they are both task tracking softwares however I feel that Asana is a bit too simple for our team as opposed to Monday. Asana is great for a small to medium sized team, we are looking for a software that we can use across multiple departments which is why we are currently migrating from Asana to Monday

While the alternative solutions were also viable, we went with Workfront for several reasons; top ten reviews scored it highly, we liked the cloud-based solution, and the user interface and contract pricing were more in line with our requirements.

We have been using Workfront for about 3 years. During this time they continue to be a very stable project management system. Workfront's overall scalability is able to handle increased loads of work. When using Workfront for a project management tool for the web team, we store documents, images & video's without any issues. They work with their customer's to provide the best project management system in the market today! I highly recommend Workfront for all project management needs. Workfront strives to deliver unique technology solutions to growing companies!

Return on Investment

  • Allows us to keep on top of grants and sponsorships that we might otherwise miss and keeps track of our answers, comments, and files from one year to the next.
  • Allows us to see when we need to report to the government and makes sure we don't accumulate any late fees.
Dylan DeClerck profile photo
  • I think our billable employees are better and more efficiently utilized.
  • I think billing can be done in a more timely manner that in a two-system approach (like I've used at other companies).
  • I think there has been some frustration about the lack of success in using the Outlook integration feature which turns off some of our consultants to using it.
