Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

Workfront

I work on a team where each of us is separated individually from the United States. Workfront enables us to collectively collaborate on a common project setting individual goals. Project managers can invite users, send out updates and set goals to be marked as complete by individual users. Definitely an AAA+ option for global team project collaborations. Smaller projects with fewer working participants would most likely not benefit from the ROI for this product, however, if these smaller tasks are building to a larger project or your teams have multiple small projects running simultaneously then Workfront is for you as well.

Pros

  • Asana does organizing and keeping track of tasks really well. It has smart views which allow you to see and customize a smart view for tasks such as recently completed, sort by deadline, sort by assignee etc.
  • Asana does a good job of allowing people to collaborate. The fact that I can comment and ask question on other people's task is very helpful to me. This removes the need of multiple emails in a way that everyone in the organization or part of the team can see it. Being able to add attachment is also really helpful.
  • Asana does an incredible job of setting privacy and securing my tasks such that tasks in one team of the organization cannot be viewed by others. I can decide to make it publis or private. This is very useful as it allows me to keep tasks secure and effective at the same time.

  • Workfront is relatively easy to navigate with it's clean interface and tabs. With a few clicks, you can navigate to different projects or tasks or find data you need in a report.
  • As an administrator of Workfront, it nice to be able to restore deleted tasks, projects or issues within the system (within 30 days of deletion).
  • The flexibility of the reporting function in Workfront is a big benefit for the most part. By setting up custom filters, views and groupings, you can create reports to deliver the right data your looking for.

Cons

  • Better integration into daily life. They would love to be there but it's a conscious effort that is required to get started.
  • Mobile app could use improvements. Archiving tasks don't seem to work, for example.
  • Added complexity (workspaces, project lists, etc.) just make it a bit harder to get going.

  • The reporting/views and fields available are not always intuitive. For example, when creating a document, task or issue report/view, you cannot access the program or portfolio information/metadata unless you calculate it through to the project level. This equates to a lot of extra calculated fields and work, that in my mind, should not be necessary.
  • The integration with Proof HQ needs some work. We were Proof HQ users first and have begun the Workfront implementation. Eventually, they will be integrated where users access Proof HQ through Workfront. The approvals process in Proof HQ is much more robust that Workfront's; however, the reporting that Workfront provides on the Proof HQ processes and approvals is severely lacking which makes visibility on Proof HQ approvals difficult.
  • There are 3 levels of objects in Workfront: Portfolios, Programs and Projects. There is no way to tie Projects together except to create an issue on the first Project, then convert the issue to another Project. Complicated text mode fields must then be created and placed on a view/report to see if/how these projects are tied together. There should be a better way to tie projects. Our solution was to change the use of the Program object (to have a Program = a Client IO, rather than the Program = Brand). Further, the Portfolio and Program access is tied together. You cannot provide different access to Programs vs. Portfolios which makes our solution a little cumbersome.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

The training is very easy to use and you can simply choose the topics included in the course(s) that are most important to your training needs. After each training course, you are tested on what you have learned. If you need a refresher course, they provide Course Catalogs as well as instructor-led courses & workshops.

I would recommend all user's using Workfront to go through the training material provided. Have all user's practice in the Sandbox environment and have your workflow documented for the consultant before he arrives on site.

Alternatives Considered

Asana was developed with a very specific function in mind. Assigning and tracking tasks and projects. It does this very very well and doesn't really do a whole lot yes, which is perfectly fine. The only alternatives I could think of would be some sort of Dropbox or Google Drive document keeping track of task assignment. While, this might work, it's definitely not as feature-packed as Asana. And you'll still use either Dropbox or Google Drive for document collaboration.

Our previous system was home-brewed Sharepoint, mostly for note-taking and online tracking as we routed physical job jackets, scanned documents and emailed them to one another. It was fine for its time but as we expanded not just in volume but in location (offices went from NY only to NY, NJ, CT, CA, OH, London, Manila, plus remote more employees working from home), it was overdue for a replacement.We selected Workfront after a couple of live demos from competitors as well as researching about 8-10 others online. While every system had its strengths, we found no other system that matched the flexibility, robust features and customizability of Workfront. And that was before we factored in the ProofHQ tool. At that point, no one else came close.

We have been using Workfront for about 3 years. During this time they continue to be a very stable project management system. Workfront's overall scalability is able to handle increased loads of work. When using Workfront for a project management tool for the web team, we store documents, images & video's without any issues. They work with their customer's to provide the best project management system in the market today! I highly recommend Workfront for all project management needs.
