If you are scheduling for more than 10 employees and their schedules vary greatly from week to week, then I would recommend HotSchedules. If you have less employees than 10 or if your schedule is the same from week to week, then I would not recommend HotSchedules for your business

Paylocity

We have a large and complicated payroll process which we were very excited that Paylocity was equipped to handle as long as we upload our payroll correctly. It is not, however, equipped to track these complex structures within the system because bonus metrics have to be tied to the position rather than the employee. Because of this, we have to use clunky custom fields with limited functionality

  • HotSchedules tracks our labor hours and dollars. Being able to do quick labor analysis helps us make sure our pricing is in line with our estimates for clients.
  • HotSchedules tracks our employee trainings. Because we are a third party audited food manufacturing facility, we have both formal certifications (CA Food Handler Cards) and monthly trainings on subjects such as Food Safety, GMP's, Pest Control, Allergen Control, HACCP and Sanitation. Being able to have a record easily accessible for each employee to prove to our auditors and keep those employees up to date with training is invaluable as an organizational tool.

Paylocity

  • It has a very cool and easy to use recognition function called impressions. Instead of a simple instant message or email saying thank you, you can offer an impression saying thanks that can be categorized and made public the rest of the company when they access Paylocity. It's just a cool function that spreads thanks and engagement across the organization with little cost and effort.
  • The self service portal for employees is easy to use as well. If you need to access vacation accrual and balances, PTO requests, pay check stubs, pay information, need to change your address or name, etc. it's very easy to find and navigate. You don't need to dig or click everywhere.
  • The journal entry function is useful too for 1:1 meetings or check in meetings for manages and their direct reports. It gives an easy module to record notes, discuss topics, attach documents, or make notes of items that need to be followed up on. Not everyone here uses it, but it does help organize meetings and keep them on track.

  • Configuration is key - there can be bumps after bringing a new business into HotSchedules so the terminology has to be different for each one.
  • Scheduler - on the old one, there use to be a key that explained the hot keys, now its missing. Probably under Support, but it used to be on the scheduler screen.

  • The on-boarding area could be a bit less tedious- starting a new hire from recruit to hire is a bit tedious but you get used to it
  • The time clocks need to be hardwired to a running computer at all times- very old technology, even ADP lets us hardwire it to our network (so we do not have to rely on our clocks running on computer)

Every time I call, their security is amazing. You have to provide company ID, your name, and your employee ID# so that they know whether or not they can speak to you or give you any information. When you have a question they are always available to walk you through whatever it is you are having trouble with. If they don't have an answer, they will take your information and get back to you in a timely manner.

Alternatives Considered

Prior to HotSchedules we utilized an old school traditional Excel based scheduling system that was put out via email. The system was obviously time intensive and required constant updating, so when approached via HotSchedules Marketing we decided to give it a try and haven't looked back. If possible we are looking into incorporating it into use with our back of the house staff. One of the only limiting factors to HotSchedules and any similar scheduling system is that it is smart device based (cell phone/computer/tablet/etc.) and therefore the staff member must have access to these in order to use the service. Unfortunately even in 2017 not everyone has these/want and/or are willing to work with these devices. This can force a company into making decisions to not hire a potential employee do to incompatibility with how daily operations are run via scheduling.

Paylocity

The ADP platforms did not allow us as much access to our data as Paylocity. We were constantly needing to reach out to the ADP support team to run reports or fix things within the system. With Paylocity, we have significantly more access, which leads to reduced wait times and higher efficiency. Employees have also found the self-service aspect to be leaps and bounds ahead of the prior ADP system.
