We wanted to use Nintex to help with workflow assignments that are in a large SharePoint list. We moved from Microsoft Power Automate because of significant throttling issues. We manage over 1,100 projects each year and each project has upwards of 100 SharePoint list fields. We have multiple workflows (e.g. review of project as multiple steps) within each SharePoint list row that need to start when a date is entered for that project in the list. Power Automate was able to use date fields as triggers. Nintex Workflow cannot.
We worked with Nintex engineers and their work around was to add two new fields for every workflow we want to kick off. That is a lot of extra work for a list that already has 100 fields. We keep asking Nintex to allow the condition builder to access date fields. It's been over a year without any progress. They seems to have a lot of turnover with their account team and we have to re explain what we want many times.

Nintex Automation Cloud is integrated with SharePoint online platform. There are many workflows developed for business needs, mainly used for the use cases where the business needs the form with repetitive sections. Nintex Automation Cloud is best suited to handle such use cases to extract the repetitive sections store in SharePoint list as XML values. Nintex Automation Cloud integrates well with Microsoft teams for alerts.

Nintex Automation Cloud is well integrated with Microsoft teams. We have use case that requires workflow to send alerts to business group Teams channel based on the certain flag (red/amber) status records by users. This use case was easily achieved using Nintex Automation Cloud. Also, NWC supports integration well with SharePoint online and there are certain inbuilt actions that helps to automate the approval workflows easily with conditions. NWC works well with Nintex forms, easily automated the use case requires forms to have repetitive sections, NWC can be used to extract XML data from repetitive sections.

We use Nintex forms and workflows for our online electronic forms to process information primarily for HR.

We use Nintex Process Platform to identify issues in backoffice workflows but also in worflows which are used by our engineers. These are timeconsuming adminstrative processes which we want to automate for the most part. With the use of the Nintex platform we are able to check where we can enter information by hand only once in the whole process or even better where we can use information from other resources without manual entries.

Nintex is best suited when processes are drawed by the business and then can be furter enhanced by IT professionals. When only used by business units we see that there are some lose ends in processes and some bagic process knowledge is needed. Therefore it is wise that the persons in the business who will use Nintex have some basic knowledge on how to set up business processes.

We use Nintex a lot to create "smart" forms and workflows. The combination of all the Nintex options in Workflows and Forms is very powerful and it saves us a lot of time and money. Tasks can be sent to employees and people outside of our organisation, this really saves us a lot of time, because we don't have to e-mail and do everything manually. Our main scope is automate (batch) processes as much as possible.

  • Would love a better overview of crashed workflows and options to revive them easier.
  • An option to sort rules in a Nintex forms, complex forms with lots of rules can be hard to administrate because it lacks this option.
Easy to learn and manage and haven't had really big problems with it. Would love to see some more updates and new features on the O365 platform. Recently their weir quite a few of problems because of Microsoft "cloud updates", they should manage that better to prevent problems for their users.

Nintex is exceptionally well-suited for rapidly illustrating various business processes with minimal effort. This is something even IT-savvy colleagues without a direct IT background can quickly learn.For instance, I was able to collaborate with colleagues from the finance department to swiftly establish a process for approving credit applications. However, if the approver requires additional information and requests it, implementing this within Nintex becomes quite challenging. When attempting to convey highly intricate details, Nintex encounters limitations or demands a substantial amount of effort.

We use Nintex workflows to develop business process management flows. We use it for HR requests, it technical requests, permissions requests, contract management, and general aporoval requests. We use it also for notifications in our document archive SharePoint based solution.
  • Our General approval workflow succesfully solves requests regarding HR documents, contracts (customer and intercompany), internal credit and ad-hoc approval workflows.
  • Our IT request workflow addresses requests regarding hardware and software resources and also LOB applications permissions. Firewall access requests also addressed with this tool.
  • Our OneTTM workflow fully manages IT development process projects. It includes gates and execution requests management.
  • Workflow steps notifications and reminders for our customer documents archive are also managed with Nintex SharePoint eorkflows
  • Working with regular expressions could be enhanced in my opinion.
  • Also REST & SOAP workflow actions could be improved.
Any kind of approval workflows could be successfuly implemented with Nintex Workflows. Connections with REST and SOAP web public services and more specific ability to parse response have space fir improvements.

Our company uses it to document the main processes in various departments.

There is currently not a copany wide mandate to use the platform, but it is being recommended for all departments to use.

I was requested to be trained and use it in the event we need to document a process. I am currently overseeing OpX trainings and do not document processes, but intend to soon.

  • Quiz was very hard, it took me twice to pass it, but I have heard some still have not
  • Seems to be a very difficult set up, I would recommend finding a way to make it more user friendly.
  • The platform is designed to captue most processes. As an OpX guy I would like to see an easy to use sandbox that could be saved and distributed - like a visio stand alone document. Easy to create and allow for great detail to identify opportunities. Otherwise I would not use it for daily use as there is no value stepping through a detailed set up when I am looking to quickly map something.
The platform allows for very standard processes to be used and would be worth the setup.

It is not well suited for documenting processes when mapping to improve the processes while a team is watching. An application like visio would be much more useful.

We are using Nintex to automate the processes in all our departments especially administrative back office.
I am specifically focusing on automating processes in our University Records department.
I am digitalizing the different processes moving them from paper and/or emails to workflows.
Overall, my entire team of 5 people working on the Nintex Process Platform love it.
  • Query our databases
  • Allow us to build solutions fast
  • Is simple enough to use for our Citizen Developers
  • Is versatile: possibility to develop on prem or in the cloud with Nintex Workflow Cloud
  • The "Enable verbose logging" is extremely helpful. I love it.
  • I have noticed some bugs in the Nintex Workflow Designer with the State Machine action. For example, in the State Machine action, when you delete a state, the branch still shows and take many refresh to actually not show anymore.
  • In the Workflow Designer, when we use a Flexi Task action: in the text for Task Notifications field there is no "word wrap" unless we skip a line the text we write just continues and gets of the visible part of the field.
  • This is not at all a major issue but if it could be improved it would be great. It usually take at least 4 minutes to run a "Change State" it would be great if this time could be reduced.
  • If Nintex support forum could be more reliable with the questions and responses that would be great.
  • There is a lot of products in the Nintex Process Platform that we have no training on. I would not be surprised if the decision makers within our companies are even aware that those products exit.
Very appropriate: for a big firm. That does not want to move its databases to the cloud. Nintex Process Platform with Sharepoint on a on-prem server is a great solution.

Less appropriate: if it is a smaller firm with for example an integrated MS Azure Stack. Because of the cost of Nintex Process Platform I might be more incline to recommend MS Products like Power Automate.

We use it to create both automated forms for data entry and automated workflows for business process automation (both full and partial process automation).

Nintex can be very useful and a great means of automating entry and business processes. The problem is that the organization has significantly changed their pricing model to a "per execution" model and they almost tripled the annual cost estimate to our budget. This was very shocking and really poor approach to managing a business relationship. We are looking at other options, not so much because of the tool but because of the organization and how they are running the business.

Nintex process platform is used for mapping and storing cross processes to be share across different departments. It is easy to use. However mapping complex processes we still need to use Visio.

We use the Nintex Process Platform's forms and workflows for SharePoint 2019. We also use NWC. Forms and Workflows are a tier-one app in our organization when it comes to business processes. We use these tools not only for what one would consider standard forms and workflows but also to build out "systems" in SharePoint that send and receive data to/from SQL using SharePoint as the front-end.

  • Provides non-SharePoint forms and workflows (NWC)
  • Email notification when workflow fails to start
  • Email notification when NWC service is down
  • Quicker fix when bug is identified
Definitely needed for SharePoint on-premises since Power Apps is not available and Power Automate may not meet all needs. Additionally, even if SharePoint Online is used, for folks who are used to GUI tools, Power Apps may be more difficult if more advanced features are needed. Nintex Process Platform's Forms provide the GUI interface for non-developers.

We use the Nintex form to submit our Title III Time and Effort reports. It allows us to report work towards deliverables and document that for the Title III department.

With all these data, they may manage different scenarios to process it and prepare reports for the direction or counsil.

I came into a job that was already utilizing the Nintex workflows in both 365/SharePoint & cloud. As the previous person running this workflow was no longer in the office i had to teach myself very quickly. I was able to utilize the pretty intuitive system and learn the pearls and flow very quickly. I have since utilized and customized some of my own workflows for our team. We have had to move many of the workflows from SharePoint to the cloud and then i had to rebuild them in another form of Nintex. I think this is my only complaint. I have since utilized the classes offered on their site and really like all the adaptive things I can do with the program.

I do not think many of the other people in my office would be able to easily understand or learn this program. I feel like it was easy for me but i know my co workers would struggle. I think the education could run as one class all on video instead of having to read and scroll. I was trying to work and learn and and to skip a lot of the reading to just get to the videos as i had other work to get done and was trying to multitask. Nintex is suited for people who understand tech and in a place that could use automation to speed up the day to day. however i think the creation and maintenance could be daunting for someone who is not as articulate in computers.

I use the Nintex Process Platform to connect to different systems at my job. It allows me to sync my Office 365 products in one place. It helps with Outlook and Teams from Microsoft and I have found it to connect very smoothly across both platforms. It delivers local automation and is very easy to use and navigate.

We use four different Nintex forms on a SharePoint site as part of our intake process for other departments to submit requests for reports, dashboards, PDF and other data related projects. As an example, The Measure and Visualization Change Request form is submitted to request a change to a measure artifact (Business Case, Measure Specification Document) or to a data visualization product (Interactive dashboard, map, excel interface). The form must include all required information and any relevant supporting data artifacts, prior to the change being prioritized.

  • No extra hardware or software needed
  • Loading forms can longer than expected.
  • You cannot quickly restart a failed workflow.
  • Relies on Microsoft to not make drastic changes or it will fail.
For our use, it is well suited for form creation as part of our intake process. Nintex Forms are quick and easy to build and customize with no code. We drag the controls on to the canvas, define our rules, and publish to our audience in a timely manner. These forms have helped to better control and manage our intake process.
