Well-suited for companies with 10 or more employees. The more employees the more efficient ADP is for all aspects. Less appropriate for small companies where payroll and reporting is very manageable.

Patriot PAY

Patriot PAY is well-suited to a company that has a 10-day window between the end of the pay period and the payday. The company size makes very little difference and it is easy to use for any company. It is also very progressive in development and improvement. If a company has a small window for turn-around, but fairly consistent payroll amounts (such as a lot of salary workers), Patriot PAY might also be a good fit for them.

Companies with tight turn-around times or payrolls that vary significantly in direct deposit amounts might have difficulty using Patriot PAY.

Pros

  • Tax and governmental reporting. For a small business these reports are cumbersome, and time consuming
  • Direct deposit - no more printing out checks and distributing to all employees.

  • Patriot's software is very easy to use for running payroll. It takes about 30 seconds to do.
  • The payroll reports are abundant, easy to find and print, and make my accounting very easy.
  • Having a full service payroll provider as easy to use as Patriot leaves me with more availability to focus on treating patients and running other aspects of my business.

Cons

  • Quicker response from the support lines in answering the call. This would require hiring and training of more support staff, which I understand ADP has been doing... ACA having taken it's toll on support stall at all companies.
  • Taking care of clean up on old issues, some having been escalated to upper management. It would be nice to hear how they are proceeding.
  • Would like to be able to pull the Pay Data to a spreadsheet program for manipulation and entry of payroll. Would save time for our data entry payroll department.

Support

The payroll support is excellent, but the support on the technical side is lacking. The support for the portal is especially lacking. I think they need more training to be able to serve the customer more efficiently. I have had issues with employees not being able to log in even after resetting the password, and have had to call back a couple of different times to get results. Luckily I don't have issues that I need to call them about very often.

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Implementation

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

Microsoft Dynamics SL is the latest payroll system I used, and it was an absolute NIGHTMARE! We moved our companies out of SL into ADP in Sept of 2013, and the stress level dropped by 100 points! Microsoft SL is very inflexible and unforgiving, so not good for payroll at all. It is not user friendly for the administrator or the employee. I have used various in-house payroll systems - at least 3 with different employers. I prefer ADP.

I switched from ADP to Patriot PAY almost 2 years ago. I switched because Patriot was a much better financial deal. Also, Patriot has MUCH better customer service than ADP. They have an online chat, which is very quick and easy to obtain an answer. They also (usually) answer the phones very quickly and are knowledgable and able to resolve any issue that I have had. ADP was always difficult to get a hold of and speak with and their service (the SAME service) was much more expensive.

Return on Investment

  • Accurate, integrated Time & Attendance is by far the #1 efficiency for the organization I implemented this system for. They went from paper time sheets to having the ability to have employees enter their time via their smart phone overnight.
  • The more robust and date effective reporting allowed us to finally be able to tear into the data and ensure people were being paid correctly.
  • The prior system was a Citrix based platform that could only be ran on one computer, whereas Workforce Now is internet based, allowing me to work whenever and however I needed to.
