Pros

  • Time tracking because you can account for almost every single minute of your day with detailed descriptions attached. The reporting of time came in very good use when clients questioned billing.
  • Robust billing portal that was pretty customizable.
  • Could track employee costs well once the correct numbers were placed into the system. Came in very handy for billing and company budgeting and projections.

  • Workfront is relatively easy to navigate with it's clean interface and tabs. With a few clicks, you can navigate to different projects or tasks or find data you need in a report.
  • As an administrator of Workfront, it nice to be able to restore deleted tasks, projects or issues within the system (within 30 days of deletion).
  • The flexibility of the reporting function in Workfront is a big benefit for the most part. By setting up custom filters, views and groupings, you can create reports to deliver the right data your looking for.

  • I would like to see more of a scheduling component, to manage projects across our project team.
  • I would like to receive a notification if a project is going over budget.
  • I have to remember to double click to clear a contact, or the contact will be overridden.

  • The reporting/views and fields available are not always intuitive. For example, when creating a document, task or issue report/view, you cannot access the program or portfolio information/metadata unless you calculate it through to the project level. This equates to a lot of extra calculated fields and work, that in my mind, should not be necessary.
  • The integration with Proof HQ needs some work. We were Proof HQ users first and have begun the Workfront implementation. Eventually, they will be integrated where users access Proof HQ through Workfront. The approvals process in Proof HQ is much more robust that Workfront's; however, the reporting that Workfront provides on the Proof HQ processes and approvals is severely lacking which makes visibility on Proof HQ approvals difficult.
  • There are 3 levels of objects in Workfront: Portfolios, Programs and Projects. There is no way to tie Projects together except to create an issue on the first Project, then convert the issue to another Project. Complicated text mode fields must then be created and placed on a view/report to see if/how these projects are tied together. There should be a better way to tie projects. Our solution was to change the use of the Program object (to have a Program = a Client IO, rather than the Program = Brand). Further, the Portfolio and Program access is tied together. You cannot provide different access to Programs vs. Portfolios which makes our solution a little cumbersome.

I gave a rating of 10 on overall usability because Workfront is cloud based and very easy to use. Workfront also provides collaboration on projects which is critical to a projects success. The tool gives everyone high level visibility in their projects down to the smallest detail. Wonderful project management system, allows you to cut down on emails, meetings and no more spreadsheets for tracking your projects.

After each training course, you are tested on what you have learned. If you need a refresher course, they provide Course Catalogs as well as instructor-led courses & workshops.

I would recommend all user's using Workfront to go through the training material provided. Have all user's practice in the Sandbox environment and have your workflow documented for the consultant before he arrives on site.

Alternatives Considered

I love Harvest, especially compared to Archioffice. It's very intuitive, simply designed and easy to use. Perhaps the billing isn't as robust or customizable as Archi, but I would take it over Archi any day.

I have very little experience using other systems like Workfront. My background is more in billing systems and order processes. All I can say is it beats Google Docs and endless email chains.

We have been using Workfront for about 3 years. During this time they continue to be a very stable project management system. Workfront's overall scalability is able to handle increased loads of work. When using Workfront for a project management tool for the web team, we store documents, images & video's without any issues. They work with their customer's to provide the best project management system in the market today! I highly recommend Workfront for all project management needs. Workfront strives to deliver unique technology solutions to growing companies!

  • We are still in process of implementing Workfront. It's a slow roll out, one to two departments at a time. So our impact thus far is minimal but I can say having every program/project in a single system has provided a lesser need for email chains, meetings and "he said/she said" conversations.
