I can not be happier. My team was using Basecamp but we outgrew it. We moved to Teamwork and clients stopped using it and so did my team. We were in Teamwork for just a month and decided we needed something better. We then found Asana and it has been a breeze since. My team was far happier and ready to use it and my clients started interacting with it again. It is simple to use, yet very powerful

Highspot

Well suited for meeting follow up. Decent for sending links to prospects, but not the best for mass prospecting because you wouldn't be able to tell who exactly looked at it, if it's the same link to multiple companies.

  • Proposal Tracking. Highspot sends notices whenever emails are opened & viewed. I know immediately when a prospective client views a proposal. It also provides specific information on which pages are viewed and how much time each page is viewed.

Cons

  • If you don't have a champion, the tool won't be used. Just like a shared drive, it has to be kept clean and organized or no one will use it.
  • No Gantt chart functionality.
  • Printing customization doesn't exist - i.e. doesn't show sub-tasks.

  • Sometimes it doesn't track accurately at all times. Ie: My contact has looked at the material based on a follow-up conversation but highspot didn't record that.
  • It'd be nice if you could see how much time a prospect spends on different parts of a marketing video rather than just being notified that your prospect viewed the video.
  • It'd be nice to "pitch" multiple documents at once without having to do it through a "Template".

I just can't see us getting it off of Asana any time soon, despite the many headaches it has caused us. We have too much data in there, too much time & training invested into it, too much at stake to move. If we were just starting out today, fresh, I don't know for certain that I would absolutely go the same direction, but I *think* I still would. I just haven't seen anything better yet. Maybe if Podio's support staff hadn't treated me like a worthless nuisance to them, I might feel differently, but the fact is that their task management is simply inferior to Asana's. That can't be denied, and in fact Podio said it themselves: "Tasks are a simple function. They cannot be customized. Tasks in Podio can be used for quick to-do's for you and your team members." In our operation, however, prompt task completion is a big deal; one task can't be completed until another one is done first, and closing the gaps between those tasks is critical in meeting deadlines and servicing our customers. Asana gets us there, the others don't.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

Trello - great but a bit young. Good integration points. I think it could be a good too to integrate with. Some people enjoy the KanBan type view and Asana doesn't have that currently. Basecamp - more project manager focused but also a good integration point. JIRA - Better for support and bug management than task management on a project/enterprise level

I really haven't used many other similar products besides an email tracker. This is far superior as you can see exactly what your contact is focusing on and what they value. Then, your additional follow up can reiterate that particular value, which will inevitably resonate more with them.

Return on Investment

  • While an ROI study on something like this is rarely done, I'd go with a success/failure comparison. Every project I've used Asana on has been successful (and yes, all other factors were the same). Nearly EVERY project using old tools such as excel, MS project, powerpoint reporting has failed, missed deadlines, mis-communicated scope and task management.
  • From an engineering perspective, developers and managers love it because there's clear visibility into what needs to be done and what is being done and by whom. Getting developers and managers to agree on almost anything is difficult and Asana accomplishes this.

  • We moved from SharePoint to Highspot and it has had a very positive impact on our ability to deliver services more effectively, consistently and efficiently. I do not have any data to show time saved searching for content, but there is no doubt that it has impacted the speed with which the team can locate, utilize and/or distribute important resources.
