Keap was our CRM solution to ensure we had consistent outreach to clients and potential clients. We also used Keap to send out email campaigns.

Keap was great for tagging people in different segments such as geographic locations, interests ect and then being able to reach out to that segment. It had intuitive and quality email campaigns.

Keap was not as user friendly as I thought it would be. It often ran slowly and had overly complicated interfaces. It was clearly designed for larger corporations and then retrofitted for a smaller enterprise.

From email to product orders, leads to past patients, if someone that doesn't work for the business comes in contact with it then Keap is likely the underlying system that made that interaction happen.

We use Keap/Infusionsoft Max Classic to automate the customer facing side of our business. We use Keap for email, SMS, landing pages, funnels, orders, subscriptions, and customer relationship management. The software is robust and powerful if you have the full functionality available through Max Classic.

I can't ignore the reputation the software has as "confusionsoft." I think this stigma was attached to previous versions of the software, or by people that didn't have or take the time to learn the software. Ultimately I always prefer software that is limited by power, not design.

Infusionsoft let's you squeeze every bit of power out of it that you possibly can, if you take the time to learn how to use it properly. On the other hand, I've used software like GHL and Active Campaign that have a lower learning curve but also limit the capability of the user by design and it is a frustrating experience for someone like myself.

I've used a lot of different software and software suites, but I have yet to find one as robust and complete as Keap/Infusionsoft. There is a steep learning curve, but it isn't impossible to learn and it is a skill that will pay dividends for your business if you are willing to make the time to learn it. The one thing that I do wish they would improve on is the analytics functionality.

Overall, Keap/Infusionsoft has taken our business from a daily hassle of followup and reaching out to an automated business that tells us what customers need attention and where they are at. This gives us time to focus on what really matters to us, the customer. Not the systems.

If you need a place to store customer information, handle email marketing and automation, build landing pages and funnels, and take payments and orders then I couldn't suggest Keap/Infusionsoft more.

If you are looking for any single slice of that pie, such as only building funnels or only storing customer information, then there may be better suited software with a lower price tag. I also think that if you rely heavily on SMS marketing then they are probably better solutions out there.

But if you are looking to fully and seamlessly automate your business then Keap/Infusionsoft delivers the best bang-for-your-buck value on the market in my experience.

Keap solves many problems in our business, but the ability to serve our audience 24/7 is a key benefit. This takes the form of collecting leads from various inquiry types on our website and people being able to book online themselves, to clients being able to pay online whenever it suits them. It allows me to capture and convert more leads, save hours, and get a competitive edge over my competitors.
  • Campaign Builder - as I’m a visual person, the ability to map out and build automation on not only sales and marketing funnels, but internal processes as well. This has been a game-changer to setup automation and we continue to reap the rewards years later.
  • CRM - using it as a CRM has allowed me to have a single source of truth for my leads and customers to collect info on, add notes, track and trigger automation savings hours every week, and help prevent leads from falling through the cracks.
  • Innovation - they were one of the first in the market and are still innovating to make the product better.
  • Version Options - There are 3 different versions of the software now (we use 2 different versions across 3 businesses). Depending on your needs - you can grow with the platform if you want to access more functionality, or keep it simple and have an easier user interface
  • Text Messaging - they just released this in the US. It will be good when this is available for other international users for text broadcasts and automation.
  • Business Line - this will also be good when it's available in Australia.
Keap suits a service-based business, such as a coach, consultant, professional services, speaker, or educator. The platform helps automate the sales and marketing processes for these by capturing leads, nurturing prospects, managing sales pipelines, appointments, selling online, membership courses, affiliates, and more. It's probably not best used as fulfillment for a business selling hundreds of physical products. Although you could still use it for front-end marketing, it wouldn't be the best for backend delivery.

Keap is the marketing automation software that has run my last two companies.

My digital marketing agency uses it for everything from the online shopping cart to the delivery of services, reports, tracking, CRM, and even collecting testimonials. I have been using it there since 2010.

My live events company used it for three years (Until the pandemic) when we were running 14 live events per month--and it again processed all orders, registered event tickets, supported our membership portal, supported our ticketing portal, tracked speakers, contracts, projects, and all renewals. We did a case study of that use case here
  • Manage new leads and nurture them until the convert into clients
  • Track all client engagement opportunities and activities taken in the CRM
  • Provide followup information in a timely and customized format for events, webinars, and other lead-generating activities.
  • Webform needs to be updated for style and layout
  • Landing pages could be more robust in options and variations
  • Analytics needs better tracking
Great tool for marketing automation around events, live or online. Great for working with coaching clients or managing membership portals. Excellent at tracking things like recency, frequency, and monetization of products or platforms and reminding clients to buy. Not as great for complex contact relationships like parent and child tracking.

We use Keap to capture our incoming lead information, then we leverage Keap's automation to move our prospects to buyers. Because of Keap's powerful segregation and decision features, we're able to deliver a bespoke experience to all of our clients. Additionally, we use Keap to automate and track service delivery and collect most of our payments. We also use Keap to automate many of our internal processes like recurring weekly assignments and the hiring process for several different postions.
  • The ability to enter a form directly into a webpage thus eliminating the need for additional WordPress plugins.
  • Built-in order form and shopping cart functionality including payment processing.
  • Easy-to-use task management allows us to trigger different automation depending on the completion goal of the task.
  • There are 2 different mail builders as they upgrade the system which can be a bit challenging but the builder in the newest version is extremely easy to use.
  • The landing page builder is not quite as robust as some 3rd party landing page builders but improvements and feature enhancements are added regularly and have made it very easy to use.
For a small business that's crossing the $100k sales barrier, Keap is an ideal option for automating many of the tasks that used to be done manually. Best of all, it never calls in sick, never has a bad day, and never asks for a raise! It's the ideal employee! We also recommend Keap exclusively because the interface is easy to understand and you don't need to hire an expert programmer of 95% of the automation you need to build.

I use Keap in all aspects of my business, from invoicing to appointment setting to referral requests to long term nurture. It saves me tons of time, reminds me who I need to follow-up with, notifies my customers when they need to update their info or book call with me, and provides me the reporting I need to understand where my business is today, so that I can plan for tomorrow.

  • Occasionally, clients with some complex needs for sales management can have difficulty with Keap, but generally most needs can be met after discussions and thoughtful planning.
  • Email inbox placement can sometimes be an issue, but I've found that proper planning, utilizing best practices and careful list hygiene management takes care of this in nearly all instances.
  • For my use, the ecommerce functionality is fine, but I do have clients who need more robust reporting and taxation functionality, which has been improving, but is still an area that needs additional attention.
It would depend on their needs and where they are in their business growth. Keap is a fantastic tool, but just as a hammer is not the right tool for every job, Keap is not the solution for every business. All businesses should carefully weigh their needs and compare several products to ensure that what they select with be the best option.

Keap is good for setting up automatic campaigns based on user activity. However, it's a very complex software that can easily become overwhelming if not implemented correctly. I would tell anyone interested in it that it's great software but you really need to have a dedicated team member whose main focus is implementing and training team members to ensure you're taking advantage of all the different aspects and things aren't getting out of hand.

We use Keap primarily for all email marketing across the entire organization. The tools we use are email broadcasts, campaign builder, and CRM (as a basic look into [the] behaviors of our members). Keap allows the organization to automate sequences and provide a personalized relationship with our members to increase engagement and retention. It also is the perfect tool for nurturing potential members and users across the organization.
  • Community forums, customer support, and training/tutorials. If there is an issue you're running into, chances are you'll find the answer in one of those three places.
  • Analytics for the Campaign Builder is in-depth and provides our team with what we need.
  • Contact dashboard.
  • The drag-and-drop email builder is very intuitive. There is an option to add your own email code in as well. If you're looking for a robust drag and drop email builder, I'd recommend looking at other options.
  • Keap used to allow email recipients to click on a link within the email to pull up an HTML version. This was huge for our organization, as it allowed our global members to translate an email easily into their native language. This has been a huge pain point since they removed this option.
  • Spam issues keep you from sending an email broadcast. For example, we were sending a lot of resources and free webinars to our members for COVID-19, as well as conducting industry research on how the pandemic is affecting the profession. "COVID-19" was marked as a spam word in their system, and because of it, we weren't allowed to send out emails with that word, even though it was specifically what we were talking about. You can usually work around these issues by rewording, but it still makes it a bit clunky. I'm a big fan of having the spam filter to keep you aware of issues in your copy, but it shouldn't keep you from sending an email. Keap customer support said to work around this, send via the Campaign Builder.
  • Email broadcast reporting now only shows the first link clicked, rather than all links clicked. Ever since this has been implemented we have not been able to track ad clicks reliably.
Keap is perfect for small businesses using it as an all-in-one marketing and sales platform. The updates and features added are catered toward entrepreneurs and small businesses. The features and tools available are very easy-to-use for non-marketers once you understand where everything is. For larger companies that may have multiple people on staff working on emails, it does make it harder to manage. Drafts cannot be shared between individuals and multiple people cannot be working in the same campaign (even if they're working on completely separate pieces, such as a landing page and email broadcast). There is also very little flexibility for design in the drag and drop email builder, such as only one option for font.

Keap is an all-in-one platform for email marketing and Customer Relationship Management, and it helps us organize/ manage business operations seamlessly. We used Keap application to manage communication with customers and potential customers and to manage tasks and meetings with clients. We were using Excel Sheets to manage daily tasks, client data, meeting requests, and managing potential leads which was time-consuming and full of errors. This application helped us create workflows, manage contacts and customer deals, and to send emails to clients whenever we needed.

We use Keap for all sales and customer service automation, in addition to marketing campaigns. Keap helps us stay in regular and easy contact with leads, clients, and partners by scheduling out communication cadences with automated tasks. We also send all one-off communications and newsletters through Keap. The reporting and functionality are exactly what we had in mind for our business when we began pursuing joint CRM/marketing software.

For years we have been using lists that we compiled of our contacts from an excel spreadsheet. Using Keap allows my team to quickly categorize our contacts for certain email messages. This is a much more user-friendly, and time-saving tool. I also enjoy being able to track tasks and contacts, which allows me to see who I am missing out on connecting with.

Most suitable for maintaining contacts, developing emails in a creative format, and ability to track what emails have been sent to which of our contacts. We are mainly marketing our Chronic Inflammation Test to different types of audiences: consumers, practitioners, and product providers. We needed a quicker way to maintain each type and specialize emails to their needs. Being able to track each email has been quite a helpful tool in organizing necessary contact with our email lists.

Keap is the glue holding the company together. It's our CRM master database, automation tool, reporting engine, and part of our sales process.

We duplicated several of the database tables with the API and maintained a local copy that is synced with the Keap database. If our servers ever go down or are hacked, we can restore the information from the Keap database. We have done a lot of API integration, which is quite easy to do with Keap. If the software doesn't do exactly what you need it to do, there are 3rd party solutions for MANY things...or you can code it yourself with the API.

Great for small/medium business that need an integrated solution for CRM, sales and marketing automation. I am a solopreneur and I've coded many things to be more efficent. I couldn't have done it without the API. The automation is quite useful and VERY flexible. I love the campaign builder.

Our app uses over 600 tags. We segregate people and use tags to control access to member's area content and to control actions associated with member subscriptions and products.

I used Keap at my prior organization for solely the purpose of email marketing. I used it to create email campaigns as well as single 'email broadcasts'. I know that Keap also has other functions such as being a CRM or using it for finances but my company used a different product for CRM. Keap helped to solve the companies business problem of effectively having a way to communicate to our numerous audiences. Creating the emails on Keap felt very user friendly and didn't consume a lot of time. So for our organization this was a plus because we had several different family organizations and within each of those organizations we would have several different kinds of audiences. Keap had the ability to create and save 'tags' when uploading our contact lists so when we had to send out a new email broadcast to the same audiences the process was streamlined. Because I only used Keap for the email marketing functions, my scope is not encompassing of all the functions and capabilities that Keap has to offer.

Keap is well suited for beginners of email marketing and most likely smaller companies as well. For someone who is new to the email marketing world, the click and drop features are easy to understand and use. They can also save their email broadcasts and create duplicates of them so it would save them time if they are doing things in a similar fashion. For example, if they have a monthly newsletter and want the format to be consistent they can just save the template and then reuse it over and over, just updating the info text and images. On the flip side, for those who have been in the email marketing world for longer or understand more coding Keap is not the best for them. They would be limited to how much customization they can create in their emails and find that it might not best suit their needs.

We use Keap for various reasons for our business. We manage all of our contacts and clients within Keap. We run all our emails and marketing campaigns through their software. We do a lot of our invoicing within Keap. We also run eCommerce through Keap. We keep records of all customer actions and tag them based on their actions. We are able to connect it with other platforms and incorporate it with our webinars and online training courses.

Keap is great for keeping track of customer interactions. It's great for storing client information. The campaign builder is well suited for automated marketing and segmentation. Their tagging system is great for tracking and creating actions based on users interactions. I do not recommend Keap for eCommerce but it's pretty good for everything else.

We use it to run our entire business operation. It keeps contacts, invoicing, email triggers, and contact tagging organizations all in one place.
  • Campaign building is the most user-friendly I've seen across other platforms.
  • Emailing is effortless.
  • The built-in online store has paid for the membership easily.
  • As a Canadian the app isn't functional nor do we have access to the things US customers do.
  • Built-in texting feature -- again, Canada doesn't have.
  • Better reporting across campaigns.
Keap is great for companies that have an online/offline presence + want to integrate launching/emailing etc. into their business. If you are required to do billing, collect payments + run the marketing side of your biz, then it's great. Keap is TOO big if you only want to do portions of what I mentioned above, exp for the investment monthly.

Keap is excellent for small businesses to automate their business. Within the campaign builder, it is possible to create almost any thinkable scenario.

I use Keap to manage contacts, run all my invoicing, email/text marketing, and scheduling. I have my employees set up and manage contacts through the program too. I also have clients that I help to set up marketing campaigns, landing pages, and email follow-ups through Keap. There are more features too that I don't use as frequently.
  • Automation.
  • Recurring invoices.
  • It can be hard to set up and start implementing automation.
  • Not able to customize user permissions.
  • More options with landing pages and forms.
For small businesses that would like to integrate a back-office system, it is a great option. If they are using multiple programs that aren't integrated, Keap can make it simpler and probably save them money. If a company has a proprietary program or industry-specific CRM, it probably wouldn't be used to the full capacity and then may not be worth the money.

Keap meets many of my needs - as a CRM Management tool, Landing Page Builder, Appointment scheduling. The greatest advantage of Keap is that the Automation of many different tasks is easy and covers all my needs at this time. I changed to Keap as I was tired of paying multiple monthly subscriptions to achieve these tasks and having to use a Zap to link everything - Keap manages my business needs in one place and has many of the integrations (eg: Zoom / Quick Books / SMS / Stripe) that are essential for my business. I like to be able to set things up and do it once then know everything is going to work as it should, I am no IT person - I find Keap logical, and when I know what I want and I can't make it happen - I have 24-hour chat support available.
  • Advanced Automation - that includes decision-making ability in a campaign - very very valuable - as I can have multiple sequences with multiple options in a single campaign - makes setting up & updating things very easy.
  • Appointment Scheduling - my business is a client service, global consultation 1 to 1 using Zoom. With the ease of scheduling an appointment for my clients - both via my website or invitation in an email with automatic follow up, automated with my Zoom Account so I am not wasting time doing basic tasks repeatedly.
  • Easy to use forms - checkout forms are simple to create and are easy to link repayment processing.
  • Improvement in Integrations - rather than having to use something like Zapier to link different software - I struggle with how integration with Zoom works and how to set that up.
  • Short video tutorials online for specific steps - rather than documents and then trying to figure out how to do things - like yesterday I was struggling with a decision diamond and how to create that and use it - I am a visual learner so a quick 4 minute tutorial under help would have been amazing.
  • As a user I find the help documents very difficult to comprehend at times - as I think it is like an assumption is made that the user understands how everything beyond the basics fits together - again rather than webinars - short videos on specific tasks - eg: wanted to remove a client from Pre Webinar section of the Campaign - as they registered the day of the webinar and attended - but were still active in the email sequence pre-webinar - needed them to be taken out of the pre-webinar sequence I searched 'remove the client from the sequence in a campaign' I struggled with the documents, I contacted chat - they told me I couldn't do it - then when I said there must be some way they talked about adding a Goal - tag and then creating a rule that put them in the next post-webinar sequence - and ticked the box to take them out of the current sequence.
Despite the difficulties I have with Keap I still believe it is the best multi-purpose tool for small business that does not have the ability to hire others to do all of the stuff Keap does - only need to learn 1 package - and reduces the number of software packages you need to learn.

I use Keap to manage my client relationships and my email marketing. It's a great way to manage leads as well and the dashboard gives you a great view of your company each morning when you log on. By automating many of my systems, it allows me to stay connected to my clients and prospects.

It is a great way to stay connected to your customers and leads. If you are just starting your business, it can be a great foundation to build your marketing upon. But there are a lot of features that you may not need right away that can be confusing to new users.

Our entire organization uses Keap to organize our customer records, make notes to other team members, create order forms, product purchase links, follow-up campaigns, and more. By using Keap, we are able to serve our customers better. All team members can be on the same page about a customer's history and experience with the company. When an employee starts a conversation with a customer, they already have an understanding of that customer's journey. We also use Keap to tag customers by their specific product interests and create automated follow-up campaigns based on their interests. This saves our team time and money.

Keap is great for companies with complex goals for customer management. If you're trying to track specific customer interests in detail, create follow-up sequences that integrate with other customer contact software, or have your customer records and product order forms handled by the same software, Keap is fantastic. Keap would be less useful for a small business with a less complex customer management goal. It can be over complicated and not super intuitive, so smaller or more basic needs might be better suited for a different solution.

Keap is being used mostly by myself, as I manage our company's accounts and marketing communications. I work in Keap daily and without it, my day-to-day responsibilities would take much longer. Keap addresses the issue of having to manually keep track of campaigns and updates. The automation inside this system is unreal, and if you create a campaign the right way, sometimes you won't even have to do anything other than schedule when you want it to begin and end. Of course, if the campaign requires calls and follow-up communications, you will have to do that as well, but you can create a widget that will prompt you to do so if needed. A feature that is new, and super helpful for marketing or sending out important company updates is the "Analytics" feature. This will analyze everything in your Keap system, from emails, deliverability, revenue, and invoices to make your decision-making easier with knowledge backing up your every move. Highly recommend Keap and wouldn't ever think of switching to another company.

If you are a company that handles upwards of 500 contacts in your system, you need Keap. Great for any industry that wants automation to make their everyday operations more productive and streamlined.

PLS Consulting has been using Keap since '16 and I've been using the software since '08. All employees use it regularly. We use across our whole business: Offer R&D, Marketing, Sales, Fulfillment, Operations, People, and Money. The system is so much more than just a marketing and sales platform.

  • Getting paid and collecting money.
  • Social media functionalities.
  • Better text messaging automation.
  • Expense management.
Keap is well suited for creating individual customer journeys across Marketing, Sales, and Fulfillment and managing those relationships. While it can be used for simple project management, we have a formal project management tool that we use in concert with Keap. If you are doing account-based selling with lots of contacts under one company, depending on what you need, you might need an enterprise-level tool to manage those.
