Nintex is our best software to create forms online with our customers. We depend on it on getting predictions on the future performance of our company through data analysis. It also enables sharing data with our partners and aids in monitoring performance.

We are using the Nintex Process Platform across several departments to digitize our business as well as automate processes in our organization. We have integrated the Nintex Process Platform with SharePoint and Office 365. We are also using this software for forms creation and documentation of processes and so far everything has been great. The software allows better collaboration and is highly scalable as well. Managing workflows is also easy with the Nintex Process Platform.

Across the whole organisation, it enables us to keep all our processes and risks in one place where they are easily accessed and read, linked when necessary, and updated regularly. It's managed by the Promaster (me). It allows for transparency with our processes across the company, when changes occur in a process, they can be updated easily. Having rolled out company wide training when we first implemented Promapp, refresh courses are quick and easy

Nintex Process Platform is being utilized for automating tasks in Sharepoint and having workflows constructed for efficiency in business process automation and doing so without much need for programming. It helps with financial analytics especially for us, where we can filter the data by A/R and A/P and with hyperlinks and with more reporting needs.

Nintex Process Platform is well suited across multiple industries --- finance, marketing, cloud, on-premise, and the programming for the workflows is all visual-based, and no need to have any complex workflow action elsewhere. Nintex Process Platform has all the tools enabled for that simplification and is very well customizable. Also, there is a good support resource available in the communities for any questions.

It is used mostly by the IT and HR dept for process automation across all the depts. Process mapping makes it easy to view our companies processes, and better understand each of the steps. It ensures continuous improvement, quality assurance, individual tasks, risk management, and productivity gains from optimization.

We changed from our old ASPX and Oracle databases by mapping the process that was actually used which makes it easy to view our company's processes to do this. We use Nintex across the City of Garland. Here at the Fire Department, we use it for a great many purposes. We use it for processes that are highly regulated such as Narcotics tracking, SCBA daily checks, PPE bunker gear, Assets & inventory just to name a few. We also use it for document storage and versioning such as Directives and SOPs and many many other uses. This is our go-to platform at the Fire Department.

Nintex Process is very well suited for gaining visibility to anything you want to track using simple forms and want to be able to view the results in a nice worksheet style format. I love that it is easy to link to, using standard software such as access for added functionality. I am also very please I can place information on a page in the format I think works best. The one major drawback I see is the item limit on views. I would like to be able to allow my lists to grow over time instead of having to worry about hitting the item limit.

Nintex Process Platform has helped us document all of our internal processes to gear up and get ready for a digital transformation. It has helped us understand waste within our processes and align different parts of the business to a common customer journey. It is a platform that enables you to choose the view you want to see of the process, whether that be at a high level or a detailed view. It is great to share process ideas, embed videos and hyperlinks, and give a great understanding of processes to new users.

  • Reporting on things outstanding or waste points could be easier.
If you are looking to have an overall view and common understanding of your processes then Nintex Process Platform is the way to go. Far more dynamic than Visio, you have the ability to have detailed steps and link to other documentation. It is also good if you are starting out in your RPA journey and can link to other modules that are available through Nintex Process Platform.

Nintex Forms and Workflow are being used across the organization, from sourcing and manufacturing to sales and services. While Nintex Forms is mostly used to address local problems or opportunities, workflows often reach across functions and automate complex business processes.

In manufacturing, typical examples for Forms would be inspection checklists, forms to submit employee ideas, quality checklists, forms to generate more sophisticated surveys, etc.

Workflows range from simple requests such as for master data creation or modification, to those tracking new product introductions or vendor creations. The most complex ones reach not only through functions but also through geographic regions.
  • Intuitive low-code environment for form and workflow design.
  • User friendly interface for the business users.
  • Flexible tools, easily adaptable to most business problems.
  • Scalable solutions.
  • Workflow tasks can’t be assigned to shared mailboxes. The workaround solutions are not ideal when a step has to be assigned to a group of people and not one specific person.
  • Forms became much easier to use in recent versions, but form designers can still get stuck at requirements that seem rather easy, for example, list look-ups.
Nintex Forms is great for digitizing existing paper and Excel-based forms, and in general for creating a user-friendly interface for all kinds of digital data submissions. By linking the form to a shared database such as a SharePoint list, the data is processed immediately and can be picked up right away for reporting, notifications, etc.

Nintex Workflow is well suited for automating and digitizing both simple and complex business processes. It is a more intuitive and powerful tool than similar products of their competitors.

I wouldn’t bother creating forms and workflows for the most simple use cases such as submitting a few data points and triggering notifications. The built-in O365 features will do the job just fine.

We use Nintex Platform to automate the time management in our organization. This means, the whole process of time stamping correction, holiday and absence requests, approvals, etc. Also, in general, for document and record management in SharePoint, especially when an approval is needed.

Any approval process is fairly good with Nintex Platform. One of the issues we faced was the performance of the built-in approval forms: they tend to be quite slow in performance, and the list of the open approvals does not get immediately updated as soon as an approval is given, so the users end up trying to approve already processed items.
The solution we developed was JavaScript based custom approval - it works, but the documentation is rather sketchy and object models are sometimes not really usefully made.

Nintex Process Platform is used across the whole organization. We use it to digitalize our business processes within the SharePoint environment. Easy to use but depending on the SharePoint settings. Could be more stable. We also use Nintex Forms. But the Nintex product seems to be fine for On-Prem but very expensive in the cloud. So have a focus on the market to check also other workflow tools.

Nintex Workflow is used for digitalization of business process across the whole organisation, and mainly for document validation. It allows different business units to collaborate on a consistent business process without handling paper and facing confidentiality issues. Workflows built with Nintex for those business process allows process homogeneity, flexibility and scalability.

Nintex Workflow is used with Nintex Forms in order to offer customized task form to users.
  • Workflow editing is easy and targets business users, thanks to the UI designer, where no code is required for most of the actions to implement within the workflow. Modeling workflows is not an IT activity anymore for 90% of the use cases.
  • Integrated UI. using Nintex Workflow is done with SharePoint UI, which is really comfortable for the user.
  • Nintex Deployment within SharePoint is easy, for an on-premise or online environment. It doesn't require extra servers and all the administration activities can be done through SharePoint Central administration.
  • Nintex Live provides many connectors in order to interact with other application than SharePoint.
  • Big workflows require to be split into several smaller workflows, otherwise, performance issues can be met.
  • Nintex Workflow for Office 365 suffers from SharePoint online limitations. Some workflows built for SharePoint OnPremise may not be built as easily for SharePoint online.
  • UI Translation into other languages is not complete.
Nintex Workflow is really well suited for process automation within SharePoint applications. It improves in several manners the way to interact with people, data and processes, where low-value activities can be automated, and only added/high-value activities are still operated by business users. Nintex Workflow analytics (and now Hawkeye) provide many insights on the performance of your workflows.

Nintex Workflow is not well-targeted to implement a BPM architecture as such

We currently use it for some of our applications and business processes. I know it is used through several departments in the county, but is used quite regularly in our office.
Problems have been not receiving the completed applications back from the Nintex "cloud" on our public facing form.
  • Relaying info to a list/spreadsheet
  • Making it building a form more user friendly, so the basic user can create forms with basic logic without having much jscript background
It is a great way to collect information, but would like more of an if/when situations for certain questions.

I am using Nintex workflow to create approval workflows for the multiple forms on SharePoint. Nintex is connect to the SharePoint and Outlook. We have forms which need multiple levels of approval in them. This is very time-consuming to set up. The challenge was to notify the approver, register the approval, inform the requester of the result and finally document the approval for the future reference. Through Nintex, it’s very simple, fast and very systematized. The process is simple to follow. The notification comes directly to your Outlook inbox after approval rejected / approved the answer will come directly to the requesters inbox. This is very simple and effective and the amount of time saved in this process was really remarkable.

  • Create really complex and simple workflows based on your needs
  • Great usability and end results
  • You can create a simple training video for how to use it. I do not think there are any possibility of the improvements in this product.

This product is well suited for the approval process where you have multiple level of approvals. This product works perfectly for for the notification process where many people are involved. It works great with forms which have lots of data in them. It also works great for questions and survey workflow processes.

We have implemented the Nintex Platform on our SharePoint 2013 On-Prem environment and have been successfully automating processes since 2014. We started small with a few key business processes and expanded over the years across multiple business units and departments. Today we have automated over 100 processes including HR onboarding/offboarding, employee access requests and safety forms to name just a few.
  • Quick to learn if you have some technical ability.
  • Non developers are able to build powerful workflows.
  • Able to quickly deliver results to the business.
  • Support for on premise seems to be slowing down and Nintex is pushing to move to the cloud.
  • Nintex support can be slow to resolve issues with the product.
  • In my experience, non technical users will have difficulty building good workflows.
Nintex is well suited to organizations with well defined, repeatable business processes that are currently manual. Nintex is best suited when used to automate easy to medium complex processes. Our organization made the mistake of automating some highly complex processes early on. While we were able to do it, they became a nightmare to maintain and support (enhancements requested by the business). If your organization is looking for a tool for automating highly complex processes, I would recommend traditional development (.NET for example).

It was used for workflows in automating most of the business processes including call monitoring as well as cstat scores and clients' opinions on how service was rendered. It made reporting on call's from clients easier and more accurate allowing for improvement of service and happier end customers. It is also very powerful and detailed for setting up these reports.

Promapp is being used across the entire organisation for all of the purposes of the tool, training, help, support, and most importantly continuous improvement.

Nintex is used within our company to create a series of workflow approvals for different processes that were previously done on paper.

For our purposes automation of workflows, especially workflows that require approval by multiple people is very easy to do with Nintex. This has allowed us to create multiple, complex workflows that have replaced many paper based processes. These workflows are used by all staff within our company (500+ people).

We do wish we could have more control over the look and feel of the interface.

We are using Nintex Forms and Workflow as our primary form software for SharePoint 2016. Nintex is being used across the whole organization on a departmental basis. We are using Nintex Forms to replace the many InfoPath forms we have before the Microsoft support runs out. Nintex is also providing more options to connect to external database sources.
  • Nintex Platform allows you to easily turn a SharePoint list into a dynamic and robust form that is attractive and end user friendly.
  • Nintex Platform is entirely web based and requires absolutely no additional software but is feature rich.
  • Nintex Platform has a large user community who will answer questions.
  • Nintex installs directly on top of SharePoint instead of requiring an additional server.
  • Nintex integrates with SharePoint seamlessly.
  • Some of the controls for Nintex Forms are not complete or could use some refining and require additional programming to get them to work correctly. For example the SQL Request control does not allow you to easily use a text list fields as a parameter when you are calling a SQL Function. If you want to force a list field to be of the type string you would usually put single quotes around it. But it would then see the variable name as the string value rather than the value of the variable being the string value. I had to add some weird coding to work around this. Funny thing, it works if you are calling a Stored Procedure.
  • There is no way to get a table back from a SQL Function like you could in InfoPath. In Nintex it only allows you to get back single values. This means that if you want to get multiple values from SQL it will require multiple SQL Requests. This works but it is very inefficient.
  • In Nintex Workflow it allows you to easily get individual values from a people person field such as the Display Name, Email, Username, etc. But in Nintex Forms you can only get one value which is the username in the cryptic Claims Based version of the user ID. Therefore for each people field I have to also create a separate name, email and username calculated control that will calculate the values I need rather than being able to simply reference the people field and specify that I want the Name, Email, Username, etc.
  • The Nintex Form SQL controls will only allow you to connect to text fields instead of being able to connect to multi-line text fields meaning they have a 255 character limit. But if a user needs to select more than 255 characters from a SQL Request Selection it will become difficult to write it back to a list. I had to write it to a workflow variable which thankfully could handle more than 255 characters. Then I could write the workflow variable to a multi-line text list field. Nintex calculated fields also will only connect to text fields instead of being able to write to multi-line text fields meaning that they also have a 255 character limit.
The forms are build right into SharePoint so unlike InfoPath it is just going to another SharePoint page. And the forms are very clean looking.

Today we use the tool as a workflow solution for payment flow to external customers. The tool is used by all companies in the Brazilian division. In the past we sent a document by mail to the client, the client signed and stamped the document and returned via mail to the company, today it follows the entire approval flow, both from the client and the manager via workflow at Nintex. In the old process it took us 45 days to pay our customers, today it takes us around 5 days. It was also a complicated process, because with the size of Brazil, the document was lost in the mail, so we had to issue a new document to get all due approvals again. Today the Manager receives a link from the workflow to approve, he approves, the client receives the document to approve, and is sent to the accounts payable department.

The Nintex platform I would give a note of 8, although it is very good and complete, the person has to have some knowledge of workflow, some of programming, so that he can evolve well with the tool and bring the benefits that the person expects from the tool. For example for approval flow it is very good, but when we perform the workflow within Nintex, if the system gives an error and does not send the email requesting approval from the approver, you have to start the flow again. I opened a ticket and that was it information I had, and this is horrible thinking about a big and robust process where there are several requests going on. If it is a high flow of approval, I do not recommend it for this reason, but if it is a small demand, it would help a lot to use the Nintex workflow.
