Overall Satisfaction with Paycor

Paycor is our primary HR Information System (HRIS) and used for all employees. We utilize it from hire to termination and everything in between including performance reviews, document storage and task management. It was originally designed to be just our payroll system and it continues to serve in that function. However, we also use it to streamline our on-boarding, complete our ACA filing and provide a comprehensive view into their web-based personnel file.

  • The Performance Review form - I would love to see this be less cumbersome and have more functionality - like other online forms
  • Limited ability to pro-rate employee pay based on FTE. I would love to be able to type in their annual salary and adjust to their FTE to determine their current annual rate.
  • The Compensation module is great for one time annual compensation changes. However, I would love to see how it could be implemented for one-off mid year changes without creating an entire program.

  • Added time back into my day as employees could look up their own information - at least 1 hour a day!
Our HR and/or payroll team has saved 1-25 hours per month. - I was able to realize the time savings by the amount of time I was logging into Paycor to respond to task-based issues. By adding in some natural workflow improvements and encouraging employees to make their own changes, I found myself with more time to dig into project work. My inbox has felt some relief and I am able to address things on a bigger organizational level when I log in to Paycor.
I think Paycor is user friendly and a really great product for organization. It is always coming up with new ways to enhance my experience and strengthen our connection to our employees. Once employees are trained, we found relatively few complaints with issues (unless it was a software upgrade/change) as they were able to figure most things out with minimal assistance or with the materials provided by Paycor.
I thought Paycor was very competitive against other vendors. However, what Paycor was able to provide was the same as what the other vendors were providing. My biggest issue with Paycor was customer service which is improving. More importantly, it was already integrated and working for our employees. It wasn't broke so we didn't see the need to make any changes for a very similar experience.
Paycor is a really great cost-effective software for a small-mid sized organization. It does require someone to have time to implement and make the most out of the software that is available. You also need an employee to keep track of the many updates/changes that they roll out as they come quickly and employees often have questions. An organization who wants something that is set it up and leave would not benefit from this type of software. Organizations need some flexibility in how they adapt the product to really make it successful.

Using Paycor

66 - Every member of our agency uses Paycor. For some it is a simple time card feature. But for any one who manages, they use a wide variety of the functions for personnel issues. Our accounting team also utilizes many of the reports/exports that Paycor provides. Our super users are in the Admin/HR section but managers are a close second.
1 - We only have an HR department of 1 so that person is responsible for the support of the Paycor product line. It requires that person to be organized and be able to manage multiple priorities. It isn't a super tech-heavy program so you don't need a lot of technical expertise. However, it does have to be someone who can look through different sections and ensure compliance.

Paycor works for us. It gets the job done, it isn't too confusing and meets our price point. I love that they continue to improve and roll out new ideas. They encourage us to do more in the HR world and support us by giving us the tools to make that happen. I also love the trainings/knowledge that they provide. There is a LOT of information available on each of the products and I believe that they work together fairly seamlessly for the most part!

Evaluating Paycor and Competitors

Yes - It replaced ADP over 10 years ago. I wasn't involved in the process but I know they were looking for a cheaper alternative that had the ability to do more HRIS work. We've shopped out other options as well and Paycor is still the best fit for our organization. We have also taken on new modules within Paycor that replaced other 3rd party vendors.

Ease of use was by far the most important factor. We don't have a lot of time to handhold the employees through this system and we need everyone to be able to use it. The ability that most people can understand it with just basic training was huge for us. They also provide trainings for more detailed processes and our users appreciate that.
We recently completed an evaluation process and I think I would be more strategic into knowing what I wanted to change. Everyone out there is trying to sell you on the newest/best option but you need to think hard about the important pieces for our organization. Each org has different priorities and stay true to that during the process.

Paycor Implementation

I wasn't around for the initial implementation. However, any time we do a mini module upgrade we try to beta test it with employees first. Making sure you have the training materials ready to share is also helpful. Then, make sure you have time blocked during implementation for any issues.
Not sure - Anytime we know a change is coming within the Paycor platform, we do our best to educate employees early and often. We find the more we communicate and give them to ask questions - the better! We also ask for their help in discovering any issues so that we can quickly report them up and find a solution.

The online trainings are super helpful. They have user guides that you can read through, interactive training that will walk you through it as well as plain web based ones. I've actually never had an in-person training but all of the information you need can be found online. They also will do individual support training if you are struggling with a certain area.
I think that some support/training is always helpful. I would always recommend trying to get some sort of training before you jump in but I understand that certain scenarios require you to just jump in without the necessary training. I feel like some products roll out with a mini training before you get started and that works fine for some.

Configuring Paycor

I think it is just right for this type of product. YOu want to offer a bunch of variety and options but not too much that it completely changes how the base-line procedures/reports will run. I think it is important to know what you want it to look like before you jump into the configuration piece of it.
As stated earlier, try laying out your configurations before you get started. The biggest struggle I have are trying afterward to retro-fit something after the master piece was started. If you have any doubts, reach out to customer service. They might have a different way to go about it than what you are currently considering.
Some - we have done small customizations to the interface - The reason we decided to add some small customization was to increase the ease of use amongst employees. I try to remove out some of the options that are un-necessary or will make it more difficult for them to utilize the product. It was very easy to turn on/off some of these features.
No - we have not done any custom code
I am not aware of any customizaiton that Paycor provided for us.

Paycor Support

The support is getting much better but for many years, it struggled. I still find chat to be the quickest way to get a hold of someone. We used to have a dedicated person who seemed to understand our scenarios better and now each time it is just up to the customer service line. Which depending on how well they know it doesn't always work the best!

No - we didn't realize there was even a choice for premium support. However, we don't utilize it so often that it would justify the cost. I find that the answers they provide are usually good but that it takes a while to connect OR they don't always know the best answers. The knowledge levels among customer support varies.
Yes - Yes - they quickly respond to kinks and escalate it to IT. They also will help you find a work around if necessary. I find it is most helpful to report it as soon as possible as opposed to assuming someone else has reported it already. Everyone uses the system differently so they might not realize what is happening.
We had a payroll incident once where we were on a timeline and we discovered last minute about a glitch. A paycor support rep stayed with me on the line as I updated them one by one to ensure everything was going to work and we discussed all of the possible options to get it done before the deadline. She was so helpful in coaching me and ensuring me that we would figure it out. We did and I felt so much better!

Paycor Reliability

I gave it a 10 because we only use it across one organization. However, it has allowed us to break it into multiple departments and layers of management. It is also easy for us to utilize across different locations but still under one master company. They have always provided us support when we decide to change something on an organizational level.
I feel like Paycor is always up and running! If they are planning downtime, they communicate it clearly. Every once in a while, I get something that says the system isn't working but it is usually back up within the hour. I typically find by the time that the employees complain about it, that it is resolved within the system.
For the most part, everything moves super fast. There are a few sections (Expense Management) that sometimes take a bit to load correctly. Or if they are interesting, it takes a minute to talk to each other! But reports are quickly downloaded and available! Even data heavy reports run fairly fast!

Integrating Paycor

None that I am aware of. I am not very knowledge about the integration options available!
With any program that is being integrated, always be sure to make sure that the systems work together in the way that you want! Sometimes not all pieces will talk in the ways that you want so it is important to know what you want to flow which way. They are also really super open to new ideas for integration as well.

Relationship with Paycor, Inc

I didn't work directly with them during the initial sales process but I am speaking on the products we have implemented after that. Typically, it is hand off from the sales team once the purchase is made. But I do find that the implementation team is very helpful. The vendor does talk on their end which helps!
I think the implementation team is fantastic. They are always super knowledgeable and tend to know even more than the sales team. It would be great if they could work together more before the sale so that perhaps we aren't sold on things that aren't entirely possible. But the implementation team helps you until you are fully up and running!
Since I wasn't apart of the initial implementation, I'm not sure of any terms that were agreed upon. However, upon new sale modules that we have added I find they offer us a trial period before hand to see if it is something that we actually want first. I think that is an incredible benefit for customers as you are able to see how it is actually worked BEFORE the commitment is made.
Stay Friendly! I think it is important to remember that this is a relationship and both parties want to benefit. It is really important to ask a lot of questions to ensure that you feel good about the product fit. Also, don't be afraid to ask for referrals so you feel very confident moving forward. You don't need to feel rushed in any way!

Upgrading Paycor

Yes - Yes, there is never any down time. The impact of the releases are always communicated and I am typically ready for any new changes. The only unexpected impacts tend to be positive ones like when I realize something happened that our employees will really appreciate. The actual upgrades always happen during a non-peak time for our company.
