While the Recruiting module itself is difficult to get it the way we need, moving applicants into HR has saved us tons of time since it is fully integrated. Everything works well together and the support services teams for all modules are outstanding. Within Recruiting, there are no integrated Reference check capabilities, so it has to be done manually outside the system. With the volume of seasonal hiring we do, we simply don't have the time to do this effectively. If there was a way to run reference checks and have them flow back to the employee record in the form of an attachment for their file, it would be awesome!

UltiPro Core is a great overall HRIS product. It provides organizations with the tools needed to be successful in many HR activities. It is well suited for all types of organizations across all industries. It also can accommodate small organizations and very large ones. UltiPro is also well suited for organizations that require robust reporting and automation. They utilize Cognos business intelligence which is a power reporting tool. This tool is widely used throughout the reporting industry which makes it even better for users in need of reporting. UltiPro also offers a wide suite of products - onboarding, benefits administration, document management, performance management, etc. Organizations can mix and match products which is fantastic. Lastly, the customer service is excellent. They give everyone the amount of attention they need. UltiPro is less appropriate for advance dashboards. Many of the HCMs out there feel more modern and slick. UltiPro does not. Furthermore, while UltiPro is a jack of all trades, it is not necessarily a master of them.

Pros

Ascentis

  • The scheduling function provides a good platform that allows employees to see what their schedule is. If multiple departments have need of their time, they can look and see availability. If none, they can negotiate with the employee's direct report to get them in. We use it to coordinate both work hours and training hours.
  • It can be programmed to notify if someone clocks in/out early/late and awards points accordingly. Our frontline staff have a work requirement for in/out timeliness. It lets Managers know when and where to intervene with HR to bring this performance focus back into line.
  • If there are log-in/out errors, Supervisors can easily make corrections. This is important when there are issues that might affect an employee's points.

  • UltiPro is a true partner for us, not just a vendor.
  • The education for life option is a true value add for our users. It allows me to assign training to get new employees up to speed without having to spend a large amount of my time helping them to get familiar with the system.
  • The UltiPro platform is configurable allowing us to be nimble and make changes to the system as needed by the business without requiring an outside resource.

Cons

Ascentis

  • NovaTime is the biggest hiccup that we've consistently encountered with Ascentis. We've encountered some of the same issues time and time again throughout our cooperative and I've opened numerous tickets and I've yet to feel like those issues have been resolved. Generally, the program will work, however, when it doesn't it creates frustration with the employee group.
  • I've noticed that when NovaTime has gone down an email has now been sent out notifying the administrators. This is a positive step!
  • I'm wondering if HR and payroll, can, at some point, be one of the same program. I know that with the most recent web updates it sounds like it's moving to one complete system so you don't have to go to two different spots to seek information. If that information was in one spot that would be helpful.
Megan Hoffmann profile photo

UltiPro

  • Occasional escalation to get tickets to be processed faster.
  • UTA needs improvement, but understanding that it was originally a 3rd party integrated tool.
  • Cognos Event Studio, Benefits Admin types/plans where free-text boxes are available need to have better formatting capability. When copy/paste content into these fields, the formatting of the text becomes distorted, and difficult to fix.

Usability

Overall, it is fairly usable for the average user as long as he/she is at a computer, laptop or a larger tablet and has the ability to view the employee self-service webpage on an internet browser. Because it does not have an app or other mobile interfaces right now, it makes it difficult for it to be useful for most of our employee population who utilize their phones to access the internet. As for the HR professional who would be also working on this interface, it is somewhat easy as about two-thirds of the screens are fairly user-friendly and easy to navigate. Nevertheless, it still leaves about one-third of them that are not as user-friendly and would require more technical knowledge to figure out how to best use them.

Ultipro is by far the very best HCM solution that I've used, and I don't mind acting as a point of contact to anyone that might be interested in hearing from an actual user about my experiences with the suite. Ultipro can pretty much handle anything that you throw at it, while ensuring that what you throw at it is compliant with federal and state regulations. It really is quite simple to use and only gets easier to use the more you use it obviously. I would encourage anyone that is having issues with the suite to partner with their customer success manager to tackle anything that is at any point problematic.

In the 3+ years that we've been live in UltiPro, I believe the core HR/Payroll module went down one time. I don't recall how long it was down for, possibly an hour or two, but thankfully it was not during a payroll week for us so it did not impact us significantly. Other than that, there are some minor outages every once in a while with the Recruiting application, but the communication when those outages occur is very good so you always get status updates.

UltiPro rarely has a connectivity issue. If so, you immediately are notified via email and it is fixed very quickly. The pages load very fast and there is very little down time or lag time. The reports are amazing! Each and every field is reportable. Simply drag and drop the field into a preview window and you can instantly see a sample of the report you are creating. Even complex reports complete almost instantly

In-Person Training

Ascentis

Ascentis 8.0
Based on 1 answer
First, to clarify our "in-person" training was done mainly through Web-X meetings and conference calls. It was the closest thing we got to as far as an "in-person" training for this software. However, for the large majority of it, this type of training worked out well. We were able to share our screens and the trainer was able to share his/her screen. We could follow along with what we were doing in our database in real time and see how different functions worked and how manipulating our information could produce different results. It was also nice in that it provided for real-time results if something hadn't been coded correctly or we were having issues as to why something wasn't working the way we thought it should be. However, it did have some downsides in that we often had to rely on a conference phone and that made it difficult to hear people on both sides. Also, sometimes the trainers had internet difficulties when working from home and that caused issues with the WebX meetings.

I've been to a few in-person (hands on) training sessions and it is very similar to the online classes. You have the same reference material to look back on after the training. So regardless of in person training or online you really get the same thing.

Online Training

Ascentis

Ascentis 6.0

Ascentis HR has a number of online training videos to watch on a number of different topics. I gave it a lower rating because there is not much interactivity with the videos and it seems to cater to really only one or two learning styles. Plus, one has to be pretty motivated to go to a separate area to access the videos and then pull up a specific one to watch it and then learn. From my experience, people know that they are there, many just don't take the time and effort to go find them and actually watch them - especially since the username and password are different from their normal username and password.

There is a whole website dedicated to training with UltiPro and they have coined it UltiUniversity. You have the option to take self-paced training where you listen and watch videos or you can take an online instructor-led course and ask questions throughout the training. I think both methods with UltiPro work well and I would highly recommend going with what you prefer.

It was very easy to implement, but the customization pieces should really be fleshed out in order to determine the full need of an organization at the time of implementation. I believe if a little more time was spent on the requirements, the recruiting module would not have to be customized again at a cost at a later date.

The implementation project is aggressive but achievable. Ultimate provides great support for this effort. Consider the project plan and make sure you have the internal resources available to support it before you begin. Consider the timing of the implementation plan. If you purchase optional modules, consider taking a break after CORE implemenentation before beginning another activation project (to give your staff time to recover). Consider the deployment timing to coincide with the beginning of your fiscal year (it is not required but it will make some balance-forward calculations easier). For now, consider deploying the optional modules after Ultimate has finished bringing them in-house. Engage your benefits vendors early in the process to allow time to develop the automatic feeds from Ultipro.

Alternatives Considered

Ascentis

1. Customer Service - listens to clients (per our due diligence during evaluation phase and own experience thereafter)2. System ability to interface with in-house systems. (Other vendors evaluated could not guarantee success.)3. Report Writing - prewritten + ad hoc. User-friendly. Payroll staff could write. Freeing up IT resource time. (+ Payroll more self-sufficient)4. Import/Export Capabilities. (Not all systems are equal)5. Garnishment / Third Party Check module. (Had vision from prior in-house system, this was the only vendor that had what we wanted in this area.)6. Employee satisfaction with increased payroll department efficiency and Ascentis Employee Self-Service.

Ultipro has great scalability overall. The core functionality of Ultipro allows for easy replication, while also providing room for customization that is often required during acquisitions/additions of new business units. The only drawback in scalability, is that by design, Ultipro requires knowledgeable end users and internal resources to execute. Although Ultipro provides immense support and service to its customers in all organizational phases, without the proper internal development, scalability could be hampered. At the same time, this is what I personally love about the product; the ability to work within a DIY environment during expansion while still having access to subject matter experts when needed.
