Ziflow
Chose Ziflow
I found Ziflow to be easier to use than the rest. When we were doing research, it was the one that I found had the best features and pricing.
Chose Ziflow
After doing several demos and going through reviews we chose Ziflow as they had everything we were looking for. Ziflow was not limited to users or file types, and that was one of the main this for us as a large company with multiple functions. Ziflow had features that were very …

Wirke is such a time saver. I can know exactly what my top priorities are and see the status of projects involving other team members. The Gantt chart view is my personal favorite view. It nicely portrays dependencies and the full breadth of the project.

We work with a lot of cross functional teams, so it is nice to have them review things on their own and provide feedback all in the one place for our team to review. It helps cut back on meetings and emails full of feedback that gets lost. This is especially helpful when we are working on our catalogs. We do reviews on Ziflow all the way from rough layouts to proofreading.

Pros
Wrike
  • I like the reporting function. It automates the information I need each week and saves me time.
  • I enjoy the Wrike bot and AI functions (dependencies, Wrike bot reminders)
  • I like being able to customize my dashboard and make it unique to my workflow.

Ziflow
  • Simple and user friendly interface with little if no learning curve.
  • Accurate and specific change requests are especially enhanced when using the markup tools.
  • Nice to be able to assign who the decision maker is and also be able to change project participants easily, like when someone goes on holiday or sick leave.
  • SOCD (sent, opened, comment, decision) progress indicators provide an awesome 'at a glance' view of project participants activity.
  • Email notifications and integration with ASANA is brilliant.

Cons
Wrike
  • The email notifications that are automatically sent from Wrike when something is done are easy for users to miss or ignore.
  • Reporting can be limited. You have to create workarounds for collecting/storing the name of the person submitting the form in instances where they do not have their own Wrike license.
  • A more user-friendly interface, especially for those less familiar with project management software, would enhance overall accessibility.

  • Comments with instances that span multiple pages force you to zoom out, which can be rough on multi-page proofs. We end up making a comment on each instance for ease of review.
  • Maybe it is in there, but I would love to be able to upload a new version and review/make comments before any of the other reviewers can see it—to double-check for errors. Maybe there is a verification stage first before releasing it to the other reviewers.

I wish that Wrike had more drag and drop functionality that would be connected to assignee and also I wish that the finish date of a task would update to the date where you checked completed. It does not do that. Also finishing a task doesn't move the start date of the next task it "protects your time in that way", but our management team wants us to quickly see what we have down the pipeline rather than having to scroll down the list of upcoming tasks.

Ziflow is easy to use, efficient and now is also part of our daily lives. Hence, the teams are already adapted to the tool and willing to work with it. The features are according to all what was expected and we had a great experience until the moment with the tool

Usability
Wrike
Wrike is an intuitive platform that allows users to easily create and manage workflows, addressing various team needs. The automation features in the standard version are certainly useful for handling basic tasks, such as setting reminders, changing statuses, and automatically assigning tasks. These automations greatly simplify daily operations and help keep projects organized with minimal oversight. However, in the standard version, automations are somewhat limited when it comes to handling more complex workflows. For example, if you need to integrate projects with tasks or automate more intricate processes involving multiple stages or dependencies, the basic version of Wrike may not be sufficient. In these cases, Wrike Integrate becomes a game-changer, offering more customization options and allowing for more sophisticated and interconnected automations, further optimizing complex workflows. In summary, the standard version covers common automation needs, but for more advanced requirements, Wrike Integrate is highly recommended.

The tool is easy to use for digital oriented people. For the ones not used to this kind of environment, it could look a bit complicated at the beginning, but following the instructions and tutorials and performing it once makes you get a grip of it in just one use.

Reliability and Availability
Wrike
Over two years of (almost) daily usage without outages. Don't remember any errors. I give it 9 only because some Wrike plugins (for online document edit) are based on NPAPI architecture. These types of plugins are being phased out in new browsers, and NPAPI plugins are disabled by default in recent versions of Chrome so you have to do some browser adjustments when you switch browsers or move to another computer.

Wrike tasks loads fine, but I hate clicking files and wait for a bit of time since it is powerpoint or word, Wrike assumes I want to open those on Wrike. My suggestion is to link it to office 365 so we do not need Wrike based decoder for PPTX and DOCX

Support Rating
Wrike
We've had so many questions during the establishment of Wrike for our team, and the Wrike support team has exceeded our expectations. Our team is naturally curious, and the Wrike support team has always been willing to hold conversations about how we can make an idea work, to show us hidden features that delight us, and to help us plan ways to build out projects efficiently. They meet our questions with multiple solutions and best practices

The ZIflow support team has always been very responsive to my questions, issues and other problems. The good thing is I have never had to use their support team all that much because Ziflow has been for the most part trouble free. If it had been error prone, we would have dropped it long ago.

I love the Wrike training options. Wrike Discover has tons of courses, learning plans, certifications, etc. This is an area where Wrike definitely shines! I wish these resources were more in your face for new people, because it seems like a lot of coworkers didn't know all of this training was available to them.

There are a lot of bells and whistles in Wrike, and not all of it is easy or intuitive to understand once it's plopped in your lap. It's easier when there are a few choice people who understand Wrike as a platform and articulate it in such a way where it makes it easy to pass it along to others in the group

I have noticed that Microsoft Teams requires searching and doesn't allow for quick referencing of data files. I am annoyed by the fact that I have to constantly scroll through prior messages or try to find a specific message. I also do not like the fact that if there was a change to a task, we would have to verify it over a message instead of the quick view of a change and edit.

I found Ziflow to be much better than PageProof in several ways. The tools available for making comments and edits are more intuitive and there is a greater variety of tools and the version control features worked much better as well. Also their customer service was far better when it was necessary to interact with the company

Scalability
Wrike
The sky is the limit for what can be done in Wrike. We started with 1 use case and within 5 months we migrated several key business practices over to Wrike because they were easier to manage. Use cases so far: process improvement, management review, corrective actions, maintenance requests, month-end financial closing, and document management. As we grow, it's easy to imagine putting even more into Wrike where it becomes a cornerstone for how we do business

Wrike
  • Adding versions of a document streamlines our editing process, preventing us from reviewing outdated versions of a document. This feature saves time, especially when working with external contributors who may not know Wrike well.
  • Blueprints save time because we do not have to manually enter all the details when scheduling a recurring project.

  • Improved efficiency and time saved in making proofs and adding people to proofs with staging and template features.
  • Robust proofreading features for reviewers like comparing previous versions.
  • In my experience, customer service is quick to help with issues or outages (which aren't often).
