Work Schedule App

The HotSchedules mobile app lets employees check their schedule, request time off, swap shifts, manage availability, and send messages. All shift requests require a manager's approval.

Forecasting and Reporting

When integrated with the POS, the tool pulls time and attendance, sales and guest data into the system. The forecasting engine shows past sales trends, which makes it possible to build schedules with the right amount of labor. There are also over 40 reports.

It is used in a multiple departments as a way to efficiently schedule about 180 employees. It helps address the accessibility of the schedule to our employees and allows for quick response to covering shifts and broadcasting essential information to our employees. It has reduced the amount of time needed to complete schedules as well as in finding coverage for shifts.

The logbook is also a very important aspect of HotSchedules that we use on a daily basis to convey messages between Managers and record the days events.

  • The release/swap function is really a well thought out idea that allows employees the freedom to adapt their schedule if necessary and managers the control to see what is going on with the shifts and where things can be improved.
  • The Logbook is one of the strongest attributes of HotSchedules because it allows all the information of day-to-day operations to be in one spot and can be accessed by all management.
  • The not allowing of shifts to be picked up if there are overlapping hours is very problematic and should be at the discretion of the manager to watch for these things, not the system.
  • The app should have the ability for managers to see and edit schedules. It would improve the versatility of the app and allow for better access outside of the office.
  • If a manager could add jobs, locations, and schedules to an employee while in the scheduler instead of moving out the scheduler and to the staff list to edit the availability it would make for a more flawless application of the scheduler and the jobs.

HotSchedules is well suited for a business that has more than 15 employees and wants to improve their staffing. It gives the employee ready access to their schedule on their phone instead of having to call in to work or find a printed schedule.

It would not be as well suited for a smaller business that sees the majority of its employees on a daily basis and can convey major topics with them in person.

We use HotSchedules to schedule FOH and BOH employees - the entire restaurant's work force.
  • Schedule posting and organization, obviously
  • Integrates with Micros so I can lock the schedule and avoid punching in early by employees
  • HotSchedules interface could stand to be more pliable. I run a twenty four hour business. My business day starts at 8am one day and ends at 8am the next day. It is virtually impossible to schedule overnight employees because the system recognizes the shift as the next day. Before the recent upgrade, it was much easier to schedule. When I inquired about going back to the old software, I was just told no. Now I'm looking for alternative programs
  • The budgeting tool is a mystery and is very rigid. It's based on a single type of schedule based on days of the week and business levels.
  • Any requests for training gets routed back to the online videos which neither provide any real training and there's no ability to ask questions in real time.
  • No up-to-the-minute information. You have to wait until the next day to see who is approaching overtime. I would love to get a text whenever an employee is approaching overtime, not based on a report.
  • No on-boarding software. No tip integration. No payroll intergration.
I would like real time reports based on the schedule and sales.

We use the application to schedule all team members in our retail sites. [It] Gives everyone a platform to use on their devices to stay update with schedules and make any modifications when needed.

  • I don't work with the scheduling anymore so I have not used it since that last couple of updates. I now just manage accounts.
HotSchedules is great for the restaurants because there are so many moving pieces and generally there are very few that have "set" schedules. It is easy to adjust by using the forecasting tools. If a company had a large employee base but all schedules are basically set or the same HotSchedules would not be as useful a tool.

It is currently only being used by the front of house staff and management. The kitchen is reluctant to use it. It does provide the FOH staff with easy access to their schedule from their mobile device. Management does not like the way a schedule prints out and finds it a bit hard to read, but overall, it is worthwhile.
  • Mobile access to schedules is key for the FOH employees.
  • As an owner who does not do the scheduling, I do appreciate being able to bring up my phone and look at the roster to know who is working and when.
  • Tracking availability schedules and food handler certs are certainly very helpful.
  • HotSchedules should move away from being connected to companies that promote stealing other employees. Jobsabi was not appreciated by this employer whatsoever.
  • Reporting - especially the posted schedule - is hard to read and doesn't have many options for different layouts
  • Give us the ability to hide past employees in the employee listing. It's ridiculous to have to see terminated or inactive employees.
Well suited for changing schedules and flexibility required by the front of house restaurant staff. Well suited for keeping track of certificates and availability. Definitely not necessary where schedules are more set and don't change much - a spreadsheet works great and the cost of HotSchedules is not necessary.

HotSchedules streamlined the scheduling process for us. Allowing employees to trade shifts online saved countless hours of time and frustration. I could manage the schedule no matter where I was. I highly recommend it.

We schedule the staff for our entire operation and it helps force staff to communicate with each other for changing shifts.
  • Ease of posting online.

  • Text or email staff with ease. Now I don't have to add/delete staff contacts in my phone.
  • It would be nice to have a free time clock function and since it's designed for restaurants, it specifies all shifts as either 'lunch' or 'dinner,' which confuses people at first.
  • I don't get a notification when employees request time off, so they still have to email me separately when they request a day, so I can approve or deny. This is also initially confusing to people.
  • I can't permanently delete employees from it. Every time I log in and go to the staff page, it lists every employee we've ever had until I change the view. Not a big deal, but kind of annoying when I'm in a hurry. On the other hand, it makes it easy when people come back to work, I guess.
  • It's been super-glitchy lately. Sometimes it won't let me log on and other times it won't accept the changes I'm making to an already posted schedule. I have to go back and double check that all of my changes went through. This is frustrating, especially at times of the year like this, when I'm struggling to get the schedule done on time & posted without issues with hotschedules.
Well suited for making staff fix their problems (getting time off, switching shifts).

We are a full-service restaurant with anywhere from 20-30 employees. Hotschedules has changed our way of doing business!! All employees are required to be a part of HotSchedules. It has helped make employees accountable for their time and job.
  • As an owner I can know what's going on in my business anywhere in the world.
  • Able to change scheduling on a dime when numbers change.
  • Great for communicating with one person or the whole staff.

  • Scheduling screens are difficult to read.

We use HotSchedules for all our company schedules. We love the ease of scheduling and approval of shifts. Requests off are easier with the program as well.

We currently use HotSchedules for 3 very different businesses, an entertainment center with 100+ employees, a restaurant with 50+ employees and a liquor store with 15 employees. It works for all 3 businesses and we find it VITAL to use the store logs to provide comparisons and insight from staff to better future events. From an HR standpoint, we keep a log of interactions with your staff, good and bad, providing proof for coachings, merit reviews and even labor audits. From a business operations viewpoint, we post in the logs regarding maintenance issues, new product introductions and customer requests. Todays' employees want their schedule information quick, HotSchedules provides a platform to share that information in the text messages, emails. The entertainment center uses the budget feature and we are working to introduce that feature to our other two businesses.

Is HotSchedules pricey? Yes and no. A product is only as good as the person that chooses to use all of the features, we value the store logs MORE than just using the scheduler. Add in that we occasionally use the budgetary segment, we believe we get more value out of HotSchedules.

Overall, I would highly recommend HotSchedules for any company - small, medium, and large!
  • Store Logs - the ability to record daily events. It provides the review for the monthly results, or even a staff members training progress.
  • Scheduler - divide your staff into various departments so your managers can focus on meeting guest needs in smaller groups. Also a great communication tool as it sends out the schedules in a way convenient to the staff member.
  • Reports - we only use 5 of 30+ reports, but those provide us material for managers to keep the business on track throughout the day.
  • Configuration is key - there can be bumps after bringing a new business into HotSchedules so the terminology has to be different for each one.
  • Scheduler - on the old one, there use to be a key that explained the hot keys, now its missing. Probably under Support, but it used to be on the scheduler screen.
This product is well suited for all businesses, but definitely, one where the business deals with daily interactions with customers. Retail, restaurants, and amusement parks all would benefit from the scheduler and store log features.

It probably would not be as beneficial in an office setting, unless it was strictly used for the scheduler feature. Also, if the operation is small in size (under 15 employees), I believe the price may prevent some from trying the product.

I work for a restaurant management company that provides HR, accounting, and payroll services. One of our clients utilizes Hot Schedules to manage employee schedules, avoid overtime, store Food Handler and TABC certification expiration dates, communicate via an internal messaging system, and sync directly with our POS system. I use it when auditing punch in/outs before processing payroll. HotSchedules allows us to stay organized and efficiently manage employee time spent at the restaurant.
  • HotSchedules minimizes time spent on making employee schedules with an organized, user-friendly layout.
  • HotSchedules allows users to track employee certification expiration dates and will send email notifications in advance of the expiration date.
  • HotSChedules has the ability to sync directly with our POS system, eliminating time that it would take to add employee information in two places.
  • The interface of HotSchedules could use some sprucing up with a more fresh, modern look.
HotSchedules offers flexibility and versatility to small and large restaurant clients alike. If you have multiple clients, HotSchedules allows you to toggle between whichever client needs your attention at that time. If you have employees that have ever-changing schedules, HotSchedules is a solid option as it allows employees to digitally switch or let go of shifts, and these changes make their way into reporting tools so that there are fewer discrepancies between time sheets and the schedule (for auditing purposes).

With my previous employment I managed a staff of approximately 100 front of house employees between two different restaurants. The back of house did not utilize the system- a sister company of ours did try using it with the entire staff and shared to me the frustration that there was no way for department heads to separate the employees - all managers were receiving notifications for the entire staff. I will be implementing the system with my new company - a multi faceted business with 5 different departments and would love to see some way of organizing employees.
  • Organization & clarity. Eliminates confusion about schedule posting. Staff doesn't need to come to work to see their schedule.
  • Ease of access for employees- request time off, trade shifts.
  • Track labor costing and notifying when in danger of overtime.
  • Managers have the ability to turn off notifications from different departments - boh vs foh.
  • If an employee works for 2 different companies being able to see both their schedules on the app - link accounts.
  • When creating schedule if an employee is working 2 jobs allowing the out time to be visible when filtered.
[HotSchedules is well suited for] Managing staff where there are multiple departments and job codes; Messaging staff when there is information that needs to be communicated; A record of employee information, start date.

I have found hotschedules to be a very useful tool in managing front and back of the house schedules in a restaurant. It is easy for staff to contact each other and swap shifts. It facilitates communication to the entire staff at once. It helps with managing time off and managing labor expenditures.
  • The mobile app is very affordable and easy to use.
  • The schedule writing feature is intuitive.
  • It would be nice if employees could see everyone else's schedule, or who is working with them on the shift.
  • It would be nice to be able to write the schedule from the mobile app.
With a smaller restaurant and a smaller staff, it is not necessary to invest in hotschedules. With 200 seats and approximately 50 employees, it really is well-suited to the size of our business.

We use hotschedules for our delivery drivers, waiters, managers, cooks, and hosts. As soon as the schedule is done our employees receive a notification. It makes swapping shifts easier for them and members of management. It makes requests off much simpler. It also has other built-in features for managers like a built-in logbook and checklist. I think that hotschedules is an essential part of any successful business. The more employees you have the more useful it is.

Currently we use HotSchedules at one of our restaurant locations.
  • General management of scheduling. Condensed the time to build a weekly schedule.
  • Provided Forecasting. Once data was in place HotSchedules is a great tool to forecasting sales and labor.
  • Staff notes. Offered another avenue of staff education.
  • Simplify the functionality of the program as a whole. I'm far from computer literate and the system is a little tricky to navigate sometimes.
  • Easy method of calculating labor forecasting. Requires a lot of data.... Simplify in the beginning and have the capability to adjust as business levels adjust.
  • Would love to see a function with testing or quizzes for the staff members. Something we can assign to them and they are required to complete.
Larger staffed businesses will definitely see the benefits of HotSchedules.

Smaller staffed businesses should stick to old school methods if trying to cut costs.

HotSchedules is used as a scheduling tool for the restaurant clients that we support. We use the tool to create weekly schedules and to facilitate schedule related communication within our restaurants.
  • Create new schedules. The scheduling template is convenient and easy to use, so the user doesn't have to create new schedules from scratch.
  • Consolidate communication. Having one method of quickly communicating to employees is ideal and HotSchedules creates that platform for us.
  • Pricing - Good value.
  • Ability to pull all reports in Excel. Some are available in Excel, most in PDF, which isn't generally as useful as Excel.
  • HotSchedules doesn't address how to handle communication and scheduling with employees who are non-internet users. In the restaurant industry, not all employees are avid internet users.
  • We haven't found the additional tools provided, beyond the scheduling capabilities, to be useful in our workplace. This is not a dig at HotSchedules; we just haven't needed them.
Scheduling is well suited toward our small restaurant operations. I'm sure the other features are more appropriate for larger operations. We just haven't found them necessary.

It has been used by all 4 Chow locations for scheduling purposes and keeping track of Manager certifications.

I own a restaurant - we use it for scheduling only. We do not have our controls at work in place to allow us to use many of the other system's benefits toward budgeting etc... So currently we really only use the scheduling aspects. We rarely use the log book features etc.
  • Having an app available for the employees that seldom visit a computer is helpful to know that they are able to access at all times.
  • Allowing employees to communicate amongst themselves and or switch shifts etc.
  • Keeps track of messages etc. for manager/employee relations.
  • Scheduling a salaried manager is difficult when syncing to POS etc.
  • The app does not allow us to add a shift or delete a shift.
  • Now we cannot see when employees entered a request (so that we can grant the ones that gave most notice).
HotSchedules is great for restaurants because there is so much change and [so many] exchanges within the schedule each week. You can add employees mid schedule or terminate them etc. May not be appropriate if you have a lot of last minute labor - like on call shifts. I currently have a "work around" for on call shifts but there is no real programing for this need.

Hotschedules is used to manage and monitor our schedules, hours budgets as well as communication log between employees and staff. We currently use the communication logbook to track any issues between the management team. Our hr team uses the message services to communicate with staff on issues like insurance and communications. We use the forecast feature to budget our labor and appropriately schedule staff.
  • Budget forecasting to help with labor goals.
  • Predictive scheduling based on staffing levels and skill sets.
  • Manage request offs and vacations over multiple areas and staff.
  • Would like to add uploads to logbook so we can integrate HR into hotschedules, since we cannot show signed documents we cannot use the tool to 100% track disciple.
  • Make messaging available for above store access, I have to use 3 logins to manage 2 venues.
Great for managing a large staff in multiple areas to control costs as well as give your employees a tool to manage their own life, schedules and requests. Allows for the staff to get more involved with communication and feel like a part of the team.

We use HotSchedules on a daily basis for posting employee schedules and communicating with the staff. Our employees are able to request specific days off, swap shifts, input their availability and so much more. The biggest business problem that HotSchedules has helped us address is communication, which is vital to any business regardless of industry. The Logbook feature is especially helpful as the managers are able to communicate quickly and effectively regarding operations of the business/staff.
  • The Logbook: This is a great tool for communicating between staff members, especially for businesses where employees do not interact in person everyday. Employees can take a couple days off and return to work without missing a beat.
  • Employee Scheduling: Employees may easily view their upcoming schedules from anywhere, at anytime. In addition, the scheduling tool allows employees to easily submit their availability, which shows up on the schedule when the manager is creating the schedule for the week.
  • Hour Tracking: This is an extremely helpful tool for mitigating unnecessary payroll expenses. HotSchedules keeps track of all employee hours and alerts you when employees are approaching overtime. It even informs you of the exact time an employee will hit overtime.
  • Copying Schedules: Before the recent update, it was very easy to copy the previous week's schedule into the following week. It was a significant time saving tool for schedules that typically remain consistent from week to week.
  • Creating Templates: This function does not always work correctly. I have had to create a template several times because the previous template was not saved in the system. This could simply be user error however.
I personally believe HotSchedules is the perfect platform for any company. In today's society, there is a heavy reliance on technology. Simply observe your surrounding environment and you will see that almost everyone has a cell phone, laptop, tablet, etc. HotSchedules allows its customers to capitalize on this reliance of technology by connecting employers to employees instantaneously. Communication has never been so convenient. And everyone can agree that effective communication is critical to the overall success of any organization.

I own a restaurant and we use HotSchedules for front and back of house scheduling. This helps greatly with communication within the organization because everyone is connected. Things like shift changes can be completed within seconds with the click of a button. We also use the inventory platform which is great; it cut our count time in half!

I think Hotschedules is perfectly suited for the restaurant industry. Since schedules in the restaurant industry are rarely set, hotschedules is great because it allows staff to receive their schedules remotely as well as requesting time off and even changing availability.

[It's being used] Across the department for several different roles. Helps with call-ins by employees and streamlining the scheduling process. Has helped us to better address the needs of the department and provide a useful tool for the employees to better plan their life and work balance. Has greatly decreased call-ins throughout the department.

It is being used in multiple departments for scheduling employees. It provides an easy scheduling program that is user-friendly for our staff and schedulers.
  • It helps manage time off requests.
  • Gives the employees the resources to manage their schedules through multiple functions.
  • It makes writing a schedule simple and developing schedules with data easily accessible for labor control.
  • The override function was taken away for requests. If an employee has a request approved and if they change their plans and end up being able to work, the manager can not override the request and schedule said employee. Which was useful from time to time.
If you're managing a large schedule, you have multiple tools and indicators on a template to manage that schedule. Icons show hours for the week as well as predicted and wages for the week. The amount of reporting feels a little bulky, too many reports that make it difficult to find what you're looking for.

We currently use HotSchedules for scheduling across two of our four restaurants. We also take advantage of the logbook on a daily basis for both restaurants. Currently only our FOH is using HotSchedules but we will be implementing it into the BOH as well.

HotSchedules helped us to eliminate the breakdown in communication we were having with staff swapping shifts, shifts that became available, and changes to schedules. Having the ability to manage those changes in real-time and have everyone be accountable has made a huge difference for how we manage our labour and guest experience.
  • The ability to approve shift swaps helps us to manage labour, improve staff morale, and maintain strong communication.
  • The ease of creating the schedule with hot-keys and being able to duplicate schedules is a huge time saver and makes creating the schedule less of a burden.
  • The mobile app is very user-friendly both from an employee and employer perspective. As an employee, it's very easy to trade shifts, view your schedule and message staff members. As the employer it is easy to approve shift changes, view the logbook, toggle between restaurants, view the day's roster, and many other useful features.
  • It would be great if there was the option to "select all" in messages rather than having to individually select messages to delete.
HotSchedules was the perfect solution for our restaurants. Moving away from Excel spreadsheets to HotSchedules helped us to not only manage our labour better, but to improve the guest experience. Being able to effectively manage shift trades was one of the best benefits of transitioning to HotSchedules.
