What is Smartsheet?

Smartsheet is an online project management and collaboration tool from Smartsheet.inc in Bellevue, Washington. The software has a characteristic spreadsheet like interface but contains the full panoply of features expected of project management and collaboration software, such as automated alerts, instantaneous updating and sharing across team members, resource management facilitating budgeting and task allocation, nested tasks organized in a hierarchy, a Gantt chart view, the ready production of exportable reports (e.g. Excel), and integration with email. Across spreadsheets cells can be linked allowing the creation of master spreadsheets that provide ready summaries or automated reports. Smartsheet's capabilities can be expanded with a multitude of apps (e.g. Dropbox, Google Apps) or integrated into combinatory solutions (e.g. with Salesforce) to tailor fit business needs. It supports full mobile access.

Three tiers cover Smartsheet's pricing options. The Basic level provides core features for small groups of individuals, while the Team level is recommended for groups of up to 50 people and supports more user features, allows multiple sheet creators, and has reporting functions. The Enterprise level is a custom fit tier for groups of greater than 50 individuals or companies, and may include dedicated support personnel if desired.

We utilize Smartsheet to track production of our learning activities in different grade levels. We have various milestones that we record completion dates of which allows users visibility of overall progress and identifies ownership. We label due dates and provide hyperlinks to existing assets in JIRA and Xinet, our digital asset management system.

The fact that Smartsheet is cloud based is an issue for financial use and confidentiality but it's a pretty dynamic tool for large scale production. An important factor to consider is cost for multiple administrators so an organization should estimate how many are required since there is a fee for multiple administrators but unlimited users.

Smartsheet is being used in several departments within my organization.

Smartsheet has improved our state and federal lobbying compliance process. It used to be a manual process; due dates were recorded in Outlook, data from multiple lobbyists was emailed to an admin who then emailed the data to legal. The legal bills were astronomical. Now lobbyists receive update requests prior to the reporting due date via Smartsheet and submit their data directly into the system. Legal does not get involved until all of the data is received, which has saved us thousands of dollars in legal expenses.

I have also created Smartsheet for exam development; they are using it for their exam copyright tracking and candidate security issues. We are also using it to track the Board of Directors goals throughout the year.

I am now using Smartsheet to manage all of my projects instead of Microsoft Project. This includes a web redesign project with many moving parts including coordination with two external agencies. The ability to send update requests / alerts via the system has saved me hours of work not to mention my sanity. We also have the project risk / issue log stored in the Smartsheet Workspace so anyone can access it at anytime and see the status of any given risk or issue.

When a new user interacts with Smartsheet they usually say, "Wow, this is cool!" and inquire about how they can start using it for their projects as well. I think it will be adopted by many other departments within the next few years.

  • You can program Smartsheet to send you a notification whenever there is a change to a particular column (or any column) in the sheet. This is a strength because when you collaborate with others you don't have to guess if they are entering data; you know.
  • You can set Smartsheet to highlight changes made to the sheet within the last hour, day, three days, etc. You can also set it to highlight changes made since the last time you viewed the sheet. This is a strength because you no longer have to compare the original document to the one with changes to see what has changed.
  • You can create a webform for any sheet which is very impressive. The webform recipients won't ever have to look at a spreadsheet; instead they will receive a nice simple survey with questions and their data will magically populate the sheet.
  • I would love it if Smartsheet had a Basecamp component. So if there was a right rail area where we could house project documents that didn't have to be attached to a specific row. My dream is to combine Smartsheet and Basecamp!
  • It would be great if update requests could be scheduled annually.
  • It would be nice to be able to assign a task to more than one contact. Right now it only allows one at a time.
I would say do you want your project team to have real time access to the project plan? Do you want to be able to send automatic reminders?

My organization used smartsheet to manager all implementation project plans and project documentation for product implementations. Smartsheet was also our tool for action item list tracking during UAT. It was a great way to share real time updates with clients allow visibility to all stakeholders.
  • The Notification feature is an excellent tool to send friendly reminders to project participants regarding status updates and approaching deadlines.
  • The export feature to multiple file types such as MS Project and MS excel allow for ease of sharing with stakeholders who prefer to use a traditional software.
  • The audit functionality within each sheet allows to Project Managers to easily identify changes and updates to plans and task lists.
  • I would love to see more templates and standard reports to use as baselines.
  • When using workspaces it would be nice to be able to set access by sheet. Only being able to set access by workspace can be limiting and force the user to create single sheets not joined by a workspace. This also means the user is limited to the color and themes that could be used when dealing with multiple clients.

As a Project Manager, I currently use SmartSheet as project management tool only. This system allows me to manage (via predefined templates) what milestones we are trying to achieve on each project, track the status of those milestones as well as send updates; request updates; set reminders for myself and run reports for the key stakeholders who need to be notified on the progress. I utilize the progress reporting with gantt charts and back out timelines for the business to better understand when they can anticipate the launch of a product. I also manage several reports within SmartSheet to allow me to automate some of the updates that I give on a weekly basis. This allows me to focus on the details of the project and working through tasks without having to spend a portion of my week making manual updates to a dashboard. This tool also allows me to set reminders for myself (as mentioned before) so I remember when and who I need to follow-up with while we are working through our launch plans. Because our Marketing team needs a specified amount of time to prep for a launch of a project, I pre-set reminders for myself to communicate with that team in advance so they are ahead of the game. This has really helped in managing the overall project.
  • Alerts: this functionality has been particularly helpful to me as a Project Manager because of the sheer amount of projects my organization runs simultaneously. I would never keep up and remember all of the details and schedules for each project.
  • Templates: this functionality has been very helpful for me.
  • KanBan Board View/Scrum Board View: As a Project Manager within an organization that utilizes Kanban it would be great to see functionality that would allow me to see tasks for a specific project or roll-up of all projects in a KanBan board view. Because my technical team works in a different system (only because of the KanBan board) it makes it difficult to manage projects within separate systems.
  • Dashboards: I would love to see SmartSheet start thinking outside the box with their reporting. I would love to be able to create a dashboard view instead of a report list view for my Management Team. This would allow greater visibility into what we are working on and status of each project. Not only would it give visibility but this allows for more automated information as I am updating projects the dashboard should automatically update as well.
  • Reporting on a Primary Column: There is a primary column in each sheet within SmartSheet. When running a report to roll-up several sheets you see the primary column which generally is the name of the line item you are working on. I have an issue as a Project Manager that each project goes through the same process (or real close) for every project, so the line items are named identically. When running the report you will see these same names show up multiple times because you are rolling up multiple sheets. The only work around is to add the name of the project in each line item to differentiate between them. It would be great if SmartSheet allowed you to view all line items within a report under the title of the project you are working on as an option.

Smartsheet was used to plan out and track our marketing efforts. We would input our timeline and would record our results from the initiative in Smartsheet. The department was the only group using the program. It helps keep all of the data surrounding the marketing plan in one spot which allows us to easily access and pull the data as well as compare the results. Most importantly it keeps us organized.

The Development team at SoloHealth uses Smartsheet to manage software release projects for our FDA approved SoloHealth Station Kiosks. Our development timeline requires strict adherence to deadlines and Smartsheet allows us to manage time efficiently. This is the best web tool I have found so far in my 7 years as a Business Analyst.

I evaluated Smartsheet to work with several work streams to replace excel and take advantage of automatic updates to one tracker. I reached out to Smartsheet to ask about use of the application with dedicated internal servers but did not get a response from company.

  • Use of Smartsheet can be widely adapted if there's provision to use internal servers
  • Company could improve response to queries re applicability of application in corporate enterprise system. I was able to speak to a customer rep from the company but unfortunately there's no plan for internal servers use

We use SmartSheet to manage and track all of our Advancement projects at my small liberal arts college. Two of our smartsheets have departmental user input forms and then my staff members use the SmartSheet as a queue of requests. We used it to manage our move to another building. We use it as a tool to manage and maintain our student worker's tasks-we add "things to do" all week and when she is here on Monday and Wednesday, she goes right to the list and works through it. As a manager, I love it because every night I get updates of all the changes and at a quick glance, I know the workload of my staff and can adjust as needed. The search functionality is also something that we have grown to love-often needing it to answer questions if someone is away on vacation or out sick. Everyone in my group says that "SmartSheet" helps them work SMARTER!!
  • Easy to build forms that can be hyperlinked so end users don't need an account.
  • Email updates about changes, which helps me manage staff workload and avoids me "checking" on projects. When I have one on one meetings with my staff, we can talk about issues and challenges rather than them giving me status updates.
  • Attachments and even more important- tracking versions of attachments.
  • The search feature has been wonderful-especially the fact that it can search in the whole account.
  • I love the conditional rule feature- I LOVE changing the font to "strikethrough" for complete tasks!
  • The import/export feature with Excel has been an amazing timesaver for our staff.
  • I am the admin, but some of my users have started adding their own "sheets" in the "Trial version" mode and I have to take ownership. Luckily, it isn't difficult, but just a small annoyance.
  • There are some features that we would like to see improved on the forms, such as multiple selects.
  • We would like to be able to use multiple filters on some fields that don't currently allow it.
The reasons why I chose SmartSheet were the low price, ease of use, and ease of collaboration. First, I did a trial and tested it, my staff fell in love with it and the price was fantastic. I have used MS Project for about 15 years, but was never happy because I couldn't easily share and I was the only one with access.

I would recommend it for smaller / simpler projects that don't have too many dependencies and interlinked tasks. I found that if you remove/add dependencies or adjust dates the related tasks can get out of sync. Think it would be more suited to small companies/teams that value the collaborative features of smartsheet.

We use it for project management in Marketing. The marketing department is assigned tasks in smartsheet but the projects we work on are for other departments and they have view only access to so they can see the status.
  • It is good for building reports. For example, I have a report that I use for all tasks assigned to digital engagement and I go through the list with the team each week.
  • It is good for collaboration. At our organization, we use the comment and discussion sections to provide notes and updates on projects and attach drafts and final products
  • It is good for scheduling and tracking. For example, when we have a print piece or email going out we put can put the start date and finish date and track the progress to meet deadlines.
  • Assigning multiple people to a task. I figured out how to do this but it took awhile.
  • For the most part its intuitive but some functions take awhile to figure out.
I think it's ideal for large organizations where different departments work together frequently. As I mentioned before, it takes awhile to get comfortable with so keep that in mind. If your organization is tech savvy it's not a problem.

Smartsheet is offered as a collaborative business software tool for all departments in my organization (1,000+). I'm not sure how widespread its usage is, but it's gaining popularity on our Performance Sales team. On this team, sales reps and account managers work very closely to ensure clients' ad campaigns are set up and executed correctly; sharing updates and data on Smartsheet improves communication in that relationship. Superior alternative to using Google Sheets/Docs.
  • Sharing -- Smartsheet is great at enabling users to email updates and time stamp multiple running 'Discussion' entries (which can be narrowed down by line item)
  • Cross-Sheet Linking -- Link sheets together so that values in one sheet populate or inform cells in a different sheet.
  • Format & Organization -- Contains most standard features you'd expect from word processing software, along with conditional formatting, indenting line items (which can be hidden under their parent lines), and various 'Views' (Grid vs. Calendar vs. Gantt)
  • Templates -- Smartsheet has a wide array of helpful templates to get you started based on what you're trying to accomplish. You can also save and share your own templates
  • Graphs & Charts -- They should incorporate graphing and chart-making features that enhance visualization and insight
  • Exporting -- Smartsheet does enable exporting (and importing) to Excel spreadsheets, but the formulas and formatting often get lost in translation, and the amount of time it takes to readjust and fix the issues dramatically reduce the value of exporting in the first place.

We ran a pilot with Smartsheet and now adopting it as an enterprise solution. It meets our collaboration use cases with spreadsheets, task management and project management plans, however is more lightweight and easy to use than Sharepoint. It also provides a quick and easy tool to create forms and surveys. Most importantly, it is very intuitive and has a lot of training videos on YouTube, as a result even not very tech savvy people were able to adopt it pretty quickly.
  • Advanced permissions management. I can provide my collaborators with the access to a specific row, and they won't be able to see the rest of the spreadsheet.
  • Variety of templates to quickly start your new project plan, to do list or product catalog.
  • Simultaneous collaboration: Smartsheet highlights who is currently viewing your sheet.
  • Rows can be easily dragged-n-dropped for quick reordering
  • Supported import from MS Project and Excel
  • I would like to be able to see the row or cell my collaborator is working in (like in Google Docs)
  • I would like to be able to create macros in Smartsheet
It worked best for me as an online project management tool, mostly because Smartsheet doesn't require the license for people to view/edit the sheets. In the past we've had to provide MS Project license to all users who needed to view the release or implementation plans, otherwise we would have to export these plans in Excel every time when updates were made for those without license. With Smartsheet I can just share the url and that's it. I can also prompt people to update their status from the specific item that needs to be updated. What's most important: everyone knows where the latest version of the project plan lives. In the past one of the release managers would send an email saying she is working on the doc and asking other managers not to update it. The updated project was scheduled to be sent out to our stakeholders on a weekly basis, as it has been too hard to merge all the changes on a daily basis.
Smartsheet is probably less useful, when you need to do a comprehensive data analysis with pivot tables and especially if you have the macro you like to apply. That's where Excel is still a better option. Though these types of documents are rarely of a collaborative nature.

We currently use Smartsheet in both our eCommerce Marketing department and Supplier Marketing department. Smartsheet allows us to coordinate projects in a cross-functional environment.
  • Cloud-based program. Easy for offsite/remote users to access.

We used Smartsheet to document projects that were due on a recurring basis and to track their completion and delivery. We also directly uploaded due projects to Smartsheet and used its discussion function to clarify questions about deliverables prior to delivery. We had multiple sheets for multiple lines of business inside a large national account.
  • Ability to attach multiple files on a row-by-row basis instead of one file per sheet
  • Ability to share sheets with relevant parties, which cuts down on email "noise"
  • Ability to set alerts to be notified when a particular change (i.e. delivery) is made
  • Check boxes to indicate completion
  • Easy to make several connected but distinct sheets for different lines of business
  • The notifications field was more challenging to set up than it needs to be
  • Drop-down versus open-ended edit capability could be confusing
  • The sheets you can view at one time shuffle and it can be annoying to toggle back to the one you next want to edit
I think that any project requiring a complex spreadsheet capability, with the ability to create viewing and editing permission levels and the capability to receive alerts when particular edits are made, and that require multiple files be uploaded to a single sheet would work particularly well. It can certainly be useful for smaller or less complex projects and that is where Smartsheet shines.

We used Smartsheet to tackle our unwieldy project list in Records Management. Smartsheet allowed us to organize in detail the 5 W's of the projects and prioritize for the most efficient way to completion. It was an easy was to stay updated and on track within each project and allowed management to see at any time how we were moving forward. It allows for clearer communication between team members without the email versions nightmare that occurs all too often. Smartsheet is easy to use and provided our team with the tools to accomplish tasks and projects professionally and honestly, made us look good!

Smartsheet is used across our organization as an alternative to heavier, more expensive project management softwares. It successfully addresses the needs of small companies looking for a online tool that can be accessed from anywhere and provides excellent customer support. Each of our project managers use this tool to manage their ongoing programs.
  • Gantt View is excellent for project timeline visualization
  • Dependent dates allow for easy date updates.
  • Ease of manipulating views makes using this tool a must
  • Smartsheet could create a means to better track tasks that are partially complete
  • Use of email alerts could be more integrated into the tool.
  • Use of excel based formulas would be helpful.
This tool is very well suited for small to mid sized companies who occasionally need a project management tool but do not want to invest large dollars in an enterprise wide solution. Key questions to ask during the selection process include how many users in my organization will use this tool and do I prefer to have a web based tool rather than software.
