ADP RUN

I have a small business (5 employees or less) with all salaried employees and think that RUN payroll is ideal for our needs. I would imagine that if our employees were hourly, it would be even more necessary due to increased complexity of the payroll. I am the only person in the business who uses it, so I can't give feedback on how it would work for a larger business. There is accountant access available, which is very helpful for getting our taxes done.

Pros

  • Timekeeping is simple. Users can access their timecards on multiple devices.
  • Employee portals allow users to keep their personal info up to date, and access paystubs and year end statements. No paper necessary.
  • Payroll can be run in just a few short steps.

  • Customer Service is #1. The consistent: turn-around time, accuracy, and abilities of the client representatives is impressive.
  • Ascentis listens to their customers' needs. One of our requests during implementation was rolled out to all clients around the time we went live. Another change we wanted to ESS was implemented overnight for a customer-wide roll-out. Their User Conference in 2013 was most worth-while.
  • The Ascentis Payroll System increased the efficiency of our department. We also increased the satisfaction of our employees and IT Department!
  • The Ascentis Third Party Check system streamlined garnishment deduction accuracy, reporting and payments. (This was one of our RFP points that only Ascentis could accommodate in the fashion desired.)
  • System Import/Export capabilities are very strong and user-friendly. Able to quickly turn-around bonus payrolls, incentive payrolls, adjustment checks for grossing up gift cards, Third Party Sick entries, etc.

Cons

  • I found adding a new employee a little complicated
Anna Cummins profile photo
  • We looked at the scheduling system available from Ascentis - in depth - it was almost what we needed for our paramedics, but not quite (NovaTime) - it would be great to move in that direction in the future.
  • A way to connect leave calendars to MS Outlook would be a wonderful tool.
  • The need to use remote desktop to get to Employee Manager and Setup Manager is cumbersome - people forget their passwords frequently - it would be nice to see Ascentis move toward web-based functionality for the entire thing.

I love this product and have no plans on changing. Despite how much I like Ascentis, changing providers is an enormous undertaking and not one that I plan on taking on again

Ascentis support usually responds to email in a timely manner - sometimes a quick phone call helps speed things up. Overall quite pleased with their support, although for the most part it is simply password resets for the RDP users. We hope to see a full web-based employee manager function soon.

In-Person Training

First, to clarify our "in-person" training was done mainly through Web-X meetings and conference calls. It was the closest thing we got to as far as an "in-person" training for this software. However, for the large majority of it, this type of training worked out well. We were able to share our screens and the trainer was able to share his/her screen. We could follow along with what we were doing in our database in real time and see how different functions worked and how manipulating our information could produce different results. It was also nice in that it provided for real-time results if something hadn't been coded correctly or we were having issues as to why something wasn't working the way we thought it should be. However, it did have some downsides in that we often had to rely on a conference phone and that made it difficult to hear people on both sides. Also, sometimes the trainers had internet difficulties when working from home and that caused issues with the WebX meetings.

Ascentis HR has a number of online training videos to watch on a number of different topics. I gave it a lower rating because there is not much interactivity with the videos and it seems to cater to really only one or two learning styles. Plus, one has to be pretty motivated to go to a separate area to access the videos and then pull up a specific one to watch it and then learn. From my experience, people know that they are there, many just don't take the time and effort to go find them and actually watch them - especially since the username and password are different from their normal username and password.

Don't skip steps. The customer support for Ascentis HR left it up to us how far we wanted to go with implementation of benefits for example. I was very glad that I elected to go into the detail implementation that I did rather than just doing the basics and waiting until later to complete the process.

Alternatives Considered

I have used both RUN by ADP and Xero Payroll and the ADP solution is a bit more robust and user-friendly.
Doug Fish profile photo
We selected Ascentis because the features and price were a reasonable match for our business objectives at the time. What stood out about Ascentis was the ability to customize and integrate with our internal tools. We are currently starting to evaluate other software and are becoming more aware of the limitations of Ascentis. That said, the price tag for additional functionality will be fairly high compared to Ascentis.

Return on Investment

  • RUN by ADP has been a positive addition to our operation because it allows us to process payroll (and pay the appropriate taxes) easily and simply.
